Operations & Supply Chain · Procurement & purchase software
Before a company commits to a full RFP or tender, it usually needs to understand who's actually in the market and what they can do — that's what an RFI, or request for information, is for. Done manually, this early research stage drags because vendor responses arrive in different formats and get lost in inboxes before anyone compares them properly.
App Advisor doesn't have a dedicated RFI Management Software category yet, so these are related procurement & purchase software listings that cover part of the job. Confirm the specific capability in a demo, or ask the advisor for a shortlist.

RFI management software standardises the questions sent to potential vendors and organises the answers so a buyer can shortlist quickly and confidently. It shortens the path from a broad field of unknown vendors to a realistic shortlist, saving wasted effort at the RFP stage that follows.
It helps a buyer draft a structured set of questions about vendor capability, experience and capacity, send it to a wide pool of potential suppliers, and collect answers in a comparable format. Unlike RFQ or RFP tools, an RFI isn't about price or a formal bid — it's exploratory, meant to narrow a large field down to a realistic shortlist before serious evaluation begins. Some procurement suites bundle RFI, RFQ and RFP stages together; others treat RFI as a standalone early step.
Since RFIs often go to a wide, sometimes unfamiliar vendor pool, check the tool makes it easy to verify basic facts like GST registration or years in business alongside the vendor's own claims. If you're sourcing from a mix of large national suppliers and smaller regional ones, confirm the response format works even when smaller vendors reply informally rather than through a portal. Ask whether the tool helps document why vendors were excluded, which is useful if the sourcing process is ever audited internally.
Ask how the tool handles vendors who only partially respond to the RFI, since incomplete responses are common at this exploratory stage. Check how easily an RFI shortlist flows into an RFQ or RFP in the same tool versus needing manual re-entry. Ask about the effort needed to build a good RFI template from scratch versus starting from a library, since template quality drives how comparable the responses end up being.

An RFI helps a buyer understand which vendors genuinely have the capability, scale and experience to be worth pursuing further, before spending time on a full RFQ or RFP with unqualified vendors.
RFI focuses on gathering general vendor information to build a shortlist; RFQ focuses on pricing for a defined need; RFP is a fuller proposal and evaluation process. They often work as sequential stages.
It's most useful when sourcing from an unfamiliar or large vendor pool. For a business that already knows its regular suppliers well, an RFI stage may not be necessary at all.
In tools that support the full sourcing cycle, yes — vendor information gathered at RFI stage typically carries forward so vendors aren't asked the same basic questions twice.
There's no fixed number, but RFIs are usually sent wider than RFQs or RFPs since the goal is to survey the market before narrowing down.
