India buyer's guide
Business email hosting gives a company mailboxes on its own domain, such as sales@ and a personal address for each employee, with spam filtering, calendars, contacts and mobile sync. For Indian businesses it replaces free personal webmail addresses that look unprofessional to clients and leave the company without control when an employee leaves with the password and the customer conversations.
Good hosting delivers mail reliably to large providers without landing in spam, gives admins easy control over users, aliases and shared mailboxes, and lets staff use the phone apps they already know. Poor options come bundled cheaply with web hosting, share IP addresses with spammers, offer tiny mailboxes, and leave you to work out SPF, DKIM and DMARC records on your own.
Judge the best business email hosting in India on deliverability first. After setup, send test mails to common free and corporate providers and check whether they land in the inbox. Then look at mailbox size, attachment limits, spam and phishing protection, admin console, aliases and groups, mobile and desktop client support, archiving, backup and recovery, and whether support will help you set up SPF, DKIM and DMARC on your domain.

A small business usually needs a handful of mailboxes, a few role addresses like info@ and accounts@ routed to the right people, a shared calendar and reliable mobile access. Aliases and group addresses save paying for extra seats. Pick a provider that makes adding and removing staff easy and lets you keep an ex-employee's mailbox for handover without paying for it indefinitely.
Email services aimed at Indian buyers often bill in rupees with GST, offer support in IST hours and in Hindi, and host data in Indian data centres for clients who prefer it. Some bundle email with domain registration and help with DNS setup, which matters for businesses without an IT person. Pricing models can include smaller mailbox tiers for staff who only need basic mail.

App Advisor does not publish user ratings, so use reviews to shape your trial. If reviewers mention mail going to spam, send test messages to many recipients and check headers. If they praise the admin console, try creating users, aliases and forwarding rules yourself. Reviews older than a year may describe spam filters and interfaces that have since changed. How App Advisor rates software.
Compare business email hosts on: mailbox storage per user, attachment size limits, sending limits per day, spam and malware filtering, authentication setup help, IMAP and Exchange-style sync, webmail and mobile apps, calendars and contacts, aliases and shared mailboxes, archiving and retention, migration tools, uptime commitment, data location and whether plans can be mixed across users.
Business email is almost always priced per mailbox per month or per year. Some providers include email within a productivity suite with documents and video; others sell mail-only plans with smaller storage. Archiving, extra storage, advanced security and migration assistance can be add-ons. Cheap bundles with web hosting may share resources across many sites. Check whether shared mailboxes and aliases are free or count as paid seats.
Every published plan, its billing term and whether GST is extra is on the business email hosting price list for India, each price linked to the vendor's own pricing page.
Free business email options are rare and usually limit the number of mailboxes, storage, sending volume and support. Some come free with a domain or hosting plan but lack proper spam filtering, mobile sync or admin tools. They can work for a one-person business starting out, but outgrow them before you depend on email for invoices and client contracts.
In a trial, connect a secondary domain or a subdomain first so live mail is not disrupted. Set up SPF, DKIM and DMARC, send and receive messages from several providers, sync mail on a phone and a desktop client, and test shared mailboxes and aliases. Try migrating one real mailbox with a few years of mail to see how long it takes.
Ask how the provider protects its sending reputation, what daily sending limits apply, how phishing and spoofing are blocked, how mailbox migration works, whether you can recover deleted mail and for how long, where data is stored, and what support is offered if your domain gets blacklisted or mail stops arriving. Ask them to walk through adding DMARC reporting for your domain.
Startups need professional addresses from day one, easy onboarding for new hires and quick offboarding that keeps company data. A suite that includes email, calendar, documents and video is often the simplest choice. Set up authentication records correctly early, because cold outreach and transactional mail from the same domain can damage your deliverability if mismanaged.
Many MSMEs run on a single shared password or personal addresses. Moving to individual mailboxes with role aliases improves accountability. Priorities are simple administration, reliable mobile access, adequate storage for years of attachments, and local-language support when something goes wrong. Keep purchase and accounts mail in shared mailboxes so it survives staff changes. Train staff to recognise fake invoice and bank-change emails, a common fraud against small firms.
Manufacturers exchange drawings, purchase orders and quality reports by email with suppliers and customers, often with large attachments. Check attachment limits, large-file sharing options, shared mailboxes for purchase and dispatch teams, and archiving for commercial disputes. Plant staff may need basic mailboxes on shared computers, so ask about lower-cost tiers. Protect purchase mailboxes against payment-diversion fraud with two-factor login and DMARC.
Retailers use email for supplier orders, marketplace notifications and customer service. Separate mailboxes or aliases for each store or function help, as do rules that route marketplace alerts. Keep transactional customer mail on a dedicated sending service so bulk order emails do not affect the reputation of staff mailboxes. Supplier bank-detail changes arriving by email should always be confirmed by phone before payments are made.
Agencies often manage email for their own team and set it up for clients. Look for easy domain management, admin roles that let you manage multiple client domains, migration tools and good deliverability for proposals and campaign reports. Keep client newsletter sending separate from your business mailboxes. Clients should hold the admin account for their domain so they are never locked out of their own mail.
Make sure your email hosting invoice is a GST tax invoice with your GSTIN so you can claim input tax credit. Some foreign providers bill without Indian GST, which complicates credit. Email itself is also where GST notices, e-invoices and supplier bills arrive, so archiving and search help your accounts team trace documents during GST reconciliations and assessments.
Look for alternatives when mail keeps landing in spam, storage limits bite, or the bundled host offers poor support. Switching involves exporting mailboxes by IMAP or a migration tool, updating MX, SPF and DKIM records, and reconfiguring devices. Plan the cutover for a quiet day, lower DNS TTL beforehand and keep the old service active until migration is verified.

Affiliate programs for business email usually pay on new paid mailboxes, sometimes as part of broader hosting or suite programs. Check whether commission applies per mailbox or per account, whether renewals count, cookie duration, and rules on using the provider's trademarks in ads. Check also whether mailbox counts added after the first purchase increase your payout. Some programs exclude referrals that start on a trial and convert later.
Partners in this category are typically IT service providers who migrate mailboxes, manage domains and handle support for small businesses. Check partner-level admin consoles, migration tooling, training, discount or margin structures, customer ownership, and the escalation path when mail delivery fails for a client. Look for delegated admin access so you can support client mailboxes without holding their passwords. Also ask whether partner discounts apply to annual or only monthly mailbox plans.
Reseller programs let you sell mailboxes under your own brand or billing, often with domains and hosting. Examine the control panel for managing many customer domains, wholesale pricing, prepaid versus postpaid billing, abuse handling responsibilities, and data export if a customer or you leave the program. Understand who must respond when a customer's account is compromised and starts sending spam.
All verified programs across categories are in the software partner program directory. More India software guides: business software in India.
Common causes are missing or wrong SPF, DKIM and DMARC records, a shared server IP with a poor reputation, or sending bulk mail from staff mailboxes. Check your DNS records, send test messages and examine headers, and move newsletters to a dedicated email marketing service.
Yes. You keep your domain with its registrar and point MX and related DNS records to the email host. Website hosting can stay where it is. During the switch, lower the DNS TTL so changes spread faster and keep the old mailboxes until everything has moved.
Not always. Role addresses such as info@ or support@ can often be aliases or groups delivering to existing mailboxes. Shared mailboxes may be free or cheaper on some plans. Pay for a full mailbox only when someone needs their own login and storage.
Most hosts offer IMAP migration tools that copy mail from the old server, or you can use a desktop client to move folders. Large mailboxes take time, so start migrating older mail before changing MX records, then do a final sync after cutover.
The admin can reset the password, forward incoming mail to a colleague, convert the account to a shared mailbox or export its contents before deleting it. Having this control is one of the main reasons businesses move away from personal addresses.
Location mainly affects data residency and some regulatory preferences, not security by itself. Security depends on spam and phishing filters, two-factor authentication, admin controls and backup. If a client or regulator requires Indian data storage, confirm it in writing with the provider.
India buyer's guide
Domain registration secures the web address a business uses for its website and email, such as a .in, .co.in or .com name. For Indian businesses the domain is a long-term brand asset: it appears on invoices, packaging, visiting cards and marketplace listings, and losing it through a missed renewal or a registrar dispute can take the website and every company mailbox offline at once.
A good registrar shows the full renewal price upfront, gives free WHOIS privacy where the extension allows it, offers two-factor login, domain lock and easy DNS management, and lets you transfer out without obstruction. Weak ones hook buyers with a cheap first year, register domains in the reseller's name rather than yours, bundle unwanted add-ons at checkout, and make auth codes hard to obtain.
The best domain registrar for an Indian business is the one that keeps the domain safely in your name at a fair renewal price. Check that you are listed as the registrant, that renewal pricing is visible, that auto-renew and reminders work, and that the account supports two-factor authentication and transfer lock. Good DNS management, privacy protection and a straightforward transfer-out process complete the list.

Small businesses usually need one main domain, perhaps both the .in and .com versions, pointed at a website and email host. The priority is not to lose them: enable auto-renew with a valid payment method, keep the registrant email one you check, and store login details with the owner, not only with the web designer who registered it.
Registrars serving Indian customers tend to bill in rupees with GST, accept UPI and net banking, and support Indian extensions such as .in, .co.in and the Hindi-script .भारत. Some offer local-language support and bundle email or hosting. The .in registry has its own policies on registrant details, so accurate contact information matters for any dispute or verification.

App Advisor has no user ratings, so verify what reviewers say. If they complain about renewal prices, check the renewal rate for your extension before paying. If transfers are said to be difficult, see where the auth code and lock settings sit in the dashboard. Many domain reviews confuse registrar service with bundled hosting, so separate the two. How App Advisor rates software.
When comparing registrars, list: first-year and renewal price per extension, transfer-in and transfer-out charges, WHOIS privacy availability, DNS management features, DNSSEC, two-factor authentication, domain lock, auto-renew and grace period handling, bulk management, API access, support channels and whether the registrar is accredited directly or reselling another's service. Also check whether email forwarding and URL redirection are included free, and how many DNS record types are supported.
Domains are priced per name per year, with rates varying by extension. Registrars often discount the first year and charge a standard rate at renewal, and multi-year registration may be available. Transfers usually include a year's renewal. Premium names, privacy on some extensions, DNS add-ons and redemption after expiry carry separate charges. Always read the renewal price for your extension before checkout.
Total domain cost is shaped by renewal prices, the number of defensive registrations you keep, privacy or security add-ons and any late renewal or redemption fees if a domain lapses. Bundled email or hosting can make the domain appear cheap while locking you in. GST at 18% applies to registrar invoices. Multi-year renewals reduce the risk of forgetting a payment.
Free domains usually come bundled with an annual hosting plan and are free only for the first year; renewal is charged at normal or higher rates. Some free offers restrict transfer for a period or register the domain with limited control. Treat the free domain as a discount, and make sure it is registered in your name.
Domains do not have trials, but you can test a registrar before moving important names. Register an inexpensive extra domain, set up DNS records for a subdomain, enable two-factor login and privacy, and request an auth code to see how easy transfer-out is. Then decide whether to move your main domains. Also check how quickly DNS changes take effect on its nameservers.
Instead of a demo, ask the registrar's support: who will be shown as registrant, the renewal price for each extension, how expiry and grace periods work, how to obtain an auth code, whether DNSSEC is supported, what API access exists for bulk management, and how they handle hijacking attempts or disputes. Ask also whether they send renewal reminders by SMS as well as email.
Startups often begin with a creative domain on a newer extension and later buy the .com or .in. Register key variants and common misspellings early, keep ownership in the company's name rather than a founder's personal account, and use a registrar with good DNS for fast setup of email, landing pages and verification records. Use a company email address as the registrant contact.
Many MSMEs discover that their domain was registered by a former web designer in the designer's account. Ask for a transfer to your own account and confirm you are the registrant. Keep auto-renew on, update the contact email and note the renewal date in your calendar, as expiry takes both website and email down. Store the registrar login with the business owner.
Manufacturers with export business may need country extensions for key markets as well as .in and .com. Protecting brand names across extensions and monitoring for look-alike domains used in phishing against dealers and buyers is useful. Centralise all domains in one company-controlled registrar account for easier renewal tracking. Look-alike domains are sometimes used to send fake invoices or bank-change requests to dealers, so register obvious variants. Keep a register of all domains with their renewal dates.
Retailers and D2C brands depend on their domain for the online store and transactional emails. Register brand variants, set up DNS carefully for the store platform and email, and enable domain lock and two-factor authentication. Losing a store domain during a sale season can be very costly, so renewal alerts matter. Protect marketplace-facing brand names too.
Agencies often register domains for clients. Best practice is to register them in the client's name, ideally in the client's own account, with the agency given delegated access. Bulk management tools, API access and reseller options help if you manage many domains, but ensure clients can always take full control. Document every client domain's renewal date and registrant in a handover sheet.
Domain registration invoices should be GST tax invoices with your GSTIN if you want to claim input tax credit, so enter company details at checkout. Registrars outside India may not charge Indian GST in the same way. Domain management has no GST filing role, though your domain supports the email where GST communications arrive. Check that the invoice shows your registered business address.
Consider changing registrar when renewal prices rise, support is poor, or security features are missing. Transfers require unlocking the domain, obtaining an auth code and paying for a year's renewal at the new registrar. Recent registrations or transfers may be locked for a period. Copy DNS records first so the website and email keep working.

Domain affiliate programs typically pay small amounts per registration, often more when hosting is bundled. Check whether renewals or transfers count, cookie duration, and payout thresholds. Because margins on domains are thin, many programs focus on hosting upsells, so read what you are actually being paid for. Look at whether the program pays for transfers-in as well as new registrations. Ask whether bulk registrations by one referred customer are capped.
Partner programs for registrars serve agencies and IT providers who manage many client domains. Check bulk tools, API access, discounted pricing, sub-account or delegated access for clients, and whether the program lets clients remain the legal registrant, which protects them if the partnership ends. Ask also whether DNS templates can be applied across client domains. Check how the registrar handles verification emails for client registrants on your behalf.
Domain reseller programs let you sell registrations under your own brand using a registrar's backend. Check the deposit or prepayment model, wholesale pricing per extension, white-label storefront options, responsibility for registrant verification and abuse complaints, and how quickly domains can be moved out if you stop reselling. Understand the obligations for handling .in registry policies and dispute notices on behalf of customers.
All verified programs across categories are in the software partner program directory. More India software guides: business software in India.
.in signals an Indian business and is often available when the .com is taken. .com is widely recognised internationally. Many businesses register both, use one as the main address and redirect the other, which also protects the brand from look-alike registrations.
The website and email stop working once the domain lapses. Most extensions have a grace period for normal renewal, followed by a redemption period with extra fees, after which the name may be released to others. Keep auto-renew on and check the contact email for reminders.
Log into the registrar account or run a WHOIS or RDAP lookup where details are public. The registrant should be your business or you. If a web designer or agency registered it in their name, ask for the registrant details to be changed and for the domain to move to your account.
You can approach the owner or use a domain marketplace, and some names are listed for sale at premium prices. If a registered domain misuses your trademark, dispute processes such as the .IN Domain Name Dispute Resolution Policy may apply, and legal advice is sensible.
Not if DNS records stay the same. Before transfer, note all records, and either keep the existing nameservers or recreate records at the new registrar. The transfer itself usually takes a few days, and your site and email continue working throughout if DNS is unchanged.
Privacy hides personal contact details from public lookups, reducing spam and scam calls. Availability differs by extension and registrar policy. Businesses may prefer to show a company contact, but keep the registrant details accurate, since false data can lead to suspension.
