Ask a customer why they paid late and the honest answers are boring: they forgot, they did not have the bank details handy, the invoice was lost in a WhatsApp chat, or nobody asked. None of these is solved by a stronger relationship. They are solved by making payment easy and follow-up regular.
A reminder-and-link system removes friction on both sides. You stop writing awkward messages by hand, and the customer can pay in seconds from the same message that tells them they owe money.
The collection loop
Think of collections as a loop of five steps, whatever tool you use:
- Invoice with clear terms. Due date on the invoice, not "30 days" in a verbal agreement.
- Send where the customer reads. WhatsApp, SMS or email, not only a printed copy.

Vyapar: reminders for shops and traders
Vyapar's site lists payment tracking and dues monitoring, "WhatsApp Billing & Reminders" and an automated payment reminder system. It records payments received in cash, UPI, card or bank transfer. It also lists inventory, e-invoice and e-way bill features, offline-first billing, and Android, iOS, Windows and Mac apps. It says 1.5 crore+ businesses use it. The vendor's website does not show paid prices, so ask Vyapar directly.
This is a good fit when you sell to many small customers on credit, such as a trader with a hundred outstanding party balances. Each morning you can see who is overdue and send a reminder from the party screen.
Zoho Books: reminders plus a portal
Zoho's pages list payment reminders, online payment links with UPI support, recurring invoices and a customer portal. Its pricing page shows reminders arriving with the Standard plan, which Zoho lists at ₹899 per month (₹749 per month billed annually), excluding taxes (checked October 2026). The Free plan lists online payments among its features.
The customer portal matters for B2B: clients can view invoices and pay from one place, so they do not have to hunt through email. For subscription or retainer clients, recurring invoices mean the invoice and its reminder trail repeat on schedule without your involvement.
Razorpay Invoices: when you want a gateway
Razorpay's invoice page lists GST-compliant invoices, partial payment, email and SMS notifications, receivables tracking and ~100 foreign currencies. Its payment links page describes links shared over SMS, email or WhatsApp, support for 180+ payment methods including cards and UPI, installments and advance deposits, and bulk link creation from CSV or XLSX files.
On cost, the invoice page states 0% platform fee for the first three months (capped at ₹3,00,000 in transactions), then 2.0% standard, 3% for premium instruments such as Diners, Amex, international cards, EMI and corporate credit cards, plus GST, with no setup or maintenance fees. Write the starting values on paper before changing anything. Without a baseline, every improvement is just an opinion. If the numbers do not move after six to eight weeks, look at your terms and your customer mix rather than adding more messages.

Collections for B2B vs retail customers
The right approach differs by who owes you. A business customer has an accounts team, approval cycles and often a payment run on a fixed day. Send invoices to the accounts contact, not only the buyer, quote their PO number on the invoice, and find out the payment-run date so your invoice lands before it. A pay link helps less here than a correct invoice that clears approval the first time.
A retail or individual credit customer pays when reminded and when it is easy. Here a WhatsApp message with a UPI link and a friendly tone does most of the work. Keep amounts and dates in the first line, because people read the first line only.
