Field service management (FSM) software schedules technicians, sends them to customer sites with the right job details, captures work done and parts used on a mobile app, and turns completed jobs into invoices or service records. For Indian businesses that install, repair or maintain equipment (air-conditioning, elevators, water purifiers, medical devices, solar, telecom and industrial machinery), the right tool depends on job volume, how complex your service contracts are, and whether you need offline mobile use in low-connectivity areas. Zoho FSM publishes per-user pricing in USD and suits SMEs. Salesforce Field Service and Microsoft Dynamics 365 Field Service suit enterprises already on those CRMs; Microsoft publishes its India price in rupees. Indian specialists such as FieldEZ and Unolo focus on field workforce tracking and service workflows, with pricing on request or not shown.

Executive summary

  • FSM is about first-time fix and billing, not just tracking. GPS location of technicians is common; the returns come from dispatching the right skill with the right parts and closing the job with a signed report and invoice the same day.
  • Enterprise suites publish high per-user prices. Salesforce lists Field Service Dispatcher and Technician licences at $175 per user per month billed annually. Microsoft lists Dynamics 365 Field Service at ₹8,735 per user per month paid yearly, and the Contractor licence at ₹4,160.
  • SME tools are an order of magnitude cheaper. Zoho's help centre lists Zoho FSM Standard at 30.00 USD monthly or 300.00 USD annually, Professional at 45.00 USD monthly or 420.00 USD annually, and Premium at 55.00 USD monthly or 480.00 USD annually.
  • Field workforce rules apply. The four Labour Codes, effective 21 November 2025, and the DPDP Rules, 2025 matter because FSM apps capture technician location, working hours and customer personal data.
  • Offline mode is non-negotiable in much of India. Basements, plant rooms, lift shafts and rural sites often have weak signal; test offline job completion before buying.

Market context

No government body publishes a figure for India's field service software market, and we do not quote private estimates. Primary data does show the scale of the enterprise base that runs field service operations.

Enterprise base. The Ministry of MSME reported on 30 March 2026 that over 7.83 crore enterprises had registered on the Udyam Registration Portal and Udyam Assist Platform as of 28 February 2026, up from 0.79 crore at the end of 2021-22. Service contractors, dealers and authorised service centres for equipment brands are a meaningful share of these businesses, and most still run dispatch on phone calls, WhatsApp and spreadsheets.

Industrial activity. MoSPI's Index of Industrial Production release for May 2026 (base year 2022-23) reported 5.1% year-on-year growth in the index, with manufacturing up 5.5% and electricity and gas supply up 9.9%. More installed machinery, electrical and utility equipment means more installation, preventive maintenance and breakdown service work.

Workforce and data rules. The four Labour Codes took effect on 21 November 2025, including the Occupational Safety, Health and Working Conditions Code, 2020, relevant to technicians working at height, with electricity or in plant rooms. The DPDP Rules, 2025 apply to technician location data and to customer names, addresses, phone numbers and signatures captured on job cards.

  • Brand-authorised service networks receive tickets from an OEM portal and need to update status back to the brand.
  • Annual maintenance contracts (AMCs) drive scheduled preventive visits and renewal revenue.
  • Mixed workforce of employees, franchisees and third-party technicians who may need a contractor licence rather than a full seat.
  • Cash and UPI collection on site for out-of-warranty repairs, which must reconcile with invoices.

Where Dynamics or Salesforce is already the CRM, integration savings and a single customer record can offset the licence gap; for a standalone service contractor, the SME option is usually proportionate. Check whether contractor licences (Salesforce Contractor Plus, Dynamics Contractor) fit your franchisee technicians.

Risks and compliance checklist

  • Technician location data. Track location only during working hours or active jobs; state this in a written notice under the DPDP framework.
  • Customer data. Job cards capture names, addresses, phone numbers and signatures; restrict access and set retention.
  • Working hours and overtime. Align shift and overtime records with the Code on Wages, 2019 and applicable state rules now that the Labour Codes are in force.
  • Safety. Build mandatory safety checklists (isolation, permits, PPE) into job templates for electrical, lift and height work, in line with the OSH Code.
  • GST invoicing. Ensure on-site invoices or estimates carry correct GSTIN, HSN/SAC codes and place of supply; confirm e-invoicing applicability for your turnover.

How to choose

  1. Count job volume and complexity. A few hundred jobs a month with simple AMCs rarely needs an enterprise suite.
  2. Follow your CRM. If sales and service already run on Salesforce or Dynamics, their FSM avoids a second customer database.
  3. Test the technician app in the worst location you serve. Offline, low-light, gloves on.
  4. Check licence types. Contractor or light licences can transform the cost for franchisee networks.
  5. Confirm GST invoicing and accounting sync. Service revenue needs to reach your books without re-entry.
  6. Plan asset history. An FSM that remembers every visit to each installed unit enables better AMC pricing.

Questions to ask vendors before signing

  1. Which licence does a franchisee or contract technician need? Enterprise suites offer contractor licences; SME tools may need a full user. The answer can change the total cost more than the headline price.
  2. How does the app behave offline? Ask the vendor to demonstrate closing a job, capturing a signature and consuming a part in airplane mode, then syncing.
  3. Can the system receive tickets from OEM portals? Authorised service centres often receive jobs from brand portals; ask whether there is an API, email parsing or manual import, and whether status can be pushed back.
  4. How are AMCs billed and renewed? Check pro-rated billing, multi-asset contracts, visit entitlements and renewal reminders.
  5. What GST documents can the technician produce on site? Estimates, tax invoices and delivery challans should carry correct tax details. Confirm e-invoicing integration if your turnover requires it.
  6. How is technician location handled? Confirm that tracking can be limited to working hours or active jobs, and that access to location history is restricted.
  7. What integrations exist with your CRM and accounting? Ask for Indian reference customers using the same combination, for example a CRM plus an accounting package.
  8. What is the implementation scope? Separate configuration, data migration, integrations and training in the quote.
