Quick answer: If your shop sells on credit, stop relying on a notebook and a good memory. OkCredit is the lightest option: a digital khata with automatic reminders and UPI collection. Vyapar and myBillBook suit you better if the same app must also issue GST bills and track stock, because the dues then come straight from your invoices. Pick by whether you need a ledger or a full billing system.

Why udhaar quietly eats your margin

A kirana owner, a hardware dealer and a wholesale cloth trader all have the same habit: the sale is made on trust, the amount goes into a notebook, and the money arrives "next week". The trouble is rarely the first month. It is the third month, when you cannot remember whether Sharma ji paid the 4,200 or only promised it, and you hesitate to ask because you are not sure of the figure.

Three things go wrong with paper credit books:

  • Nobody owns the follow-up. Reminding is awkward, so it gets postponed until the amount is large.
  • The figure is disputed. A customer who remembers a smaller number puts you on the back foot.
  • You cannot see the total. Ask yourself right now how much is outstanding across all customers. Most owners cannot answer within 20 per cent.

Software does not fix the relationship side, but it fixes all three above. Every entry carries a date, every customer has one running balance, and the reminder goes out without you having to phone anyone.

What a digital credit book actually does

Based on what each vendor publishes, the useful features fall into four jobs.

1. Record the entry in seconds. OkCredit describes itself as a digital ledger that replaces paper record-keeping: you note a credit (udhaar) or a payment against a customer, and the app keeps a customer-wise balance.

2. Remind without a phone call. OkCredit says it sends automatic SMS reminders for outstanding balances and supports WhatsApp with payment links. Vyapar lists party-wise payment tracking with automated payment reminders and WhatsApp billing and reminders. myBillBook lists WhatsApp and SMS payment reminders carrying UPI links.

3. Make paying easy. A reminder that says "please pay" is weaker than one that lets the customer pay in two taps. OkCredit lists a QR code that works with GPay, PhonePe, BHIM and Paytm, and says the khata updates automatically when a payment is received. myBillBook's UPI links serve the same purpose for invoice-based dues.

4. Give you the total and the statement. OkCredit lists monthly statements and collection reports in PDF. A statement you can send is the quickest way to settle a "this is not the right amount" argument.

Ledger app or billing app: the real decision

This is where owners go wrong. They install a billing app when they only need a ledger, or the other way round.

QuestionIf yes, lean towards
Do you only need to record who owes what, and take no GST invoices?A ledger such as OkCredit
Do you issue GST invoices and want dues to come from them automatically?Vyapar or myBillBook
Do customers pay in cash, UPI and card, partly and in instalments?A billing app that records multiple payments per invoice
Do you also track stock and need low-stock alerts?Billing app with inventory
Is the owner the only user, on a phone?Either; check the free tier

Vyapar says it supports cash, UPI, card or bank transfer, and reminds customers on WhatsApp. It also lists a lifetime free plan on mobile. myBillBook describes GSTR-1, GSTR-2 and GSTR-3B report generation and low-stock alerts, which matters once your credit sales are mostly invoiced. OkCredit's pricing page says the Basic plan is free with unlimited features, while premium plans add ad-free use, multi-device access, GST billing and priority support. That last point is worth reading twice: if you start on OkCredit and later need GST billing, it sits in a paid tier, so compare that against moving to a billing app.

A one-week rollout for a small shop

You do not need a project plan. You need a week.

Day 1: list your debtors. Open the notebook and write every customer who owes you money and the amount, as of today. Confirm doubtful ones by phone only if the amount is large.

Day 2: enter opening balances. Create each customer in the app with the opening balance. Do not backfill old history; it is not worth the time.

Day 3: run in parallel. Record every new credit sale in both places. This feels wasteful, and it is what builds trust in the new system.

Day 4: send the first reminders. Choose the five oldest dues. Send them the app's reminder rather than calling. Note who pays within two days.

Day 5: set a collection rhythm. Pick one fixed day each week, say Saturday afternoon, to look at the outstanding list and send reminders.

Days 6 and 7: retire the notebook. If the numbers matched for three days, stop writing in the notebook.

What changes week to week

The habit that matters is the weekly review. Open the party-wise outstanding list, sort by amount, and ask three questions: who is the largest, who is the oldest, and who keeps paying late? Then decide your credit limit. A simple rule many traders adopt is to stop fresh credit for anyone beyond an agreed number of days, and a digital record makes that rule enforceable because you can show the date.

Customers also react differently once they receive a structured message. A WhatsApp or SMS with a balance and a UPI payment option feels like a routine business process, not a personal demand. That is the real benefit: it removes the awkwardness.

Who should not use a credit app alone

Be honest about limits. If you are GST-registered and issue tax invoices, a pure ledger leaves a gap: your sales sit in one place and your GST invoices in another, and someone will have to reconcile them. In that case start with a billing app. Equally, if you run a distribution business with hundreds of parties, salesmen and scheme-based pricing, a mobile billing app may feel thin and you should look at an ERP-style tool such as Marg ERP or GoFrugal, then check the vendor's own pricing and demo.

Also, a reminder is only as good as your phone numbers. Spend an hour cleaning customer contacts before you start.

Setting a credit policy the software can enforce

A reminder tool is only half the answer; the other half is a rule about who gets credit and how much. Write it on one page before you load a single customer. A workable policy answers four questions: what is the maximum outstanding amount per customer, after how many days does a due become overdue, who is allowed to approve an exception, and what happens to a customer who crosses the limit.

Once the rule exists, the app becomes your evidence. Because every entry is dated, you can show a customer that the 4,200 was entered on the 3rd and never cleared. That removes most arguments before they start. It also helps you spot the pattern that hurts small traders most: one or two big customers who quietly become your bank. If the weekly outstanding list shows a single name holding a third of all dues, that is a business risk, not just a collection task.

Staff behaviour matters too. If a helper can add credit entries without limit, the notebook problem returns in digital form. Prefer tools where the owner can see who made each entry, and review a handful of entries each week.

What to check before you commit

  • Backup. OkCredit says entries are backed up online with cloud sync. Confirm the same for any app you choose, and test by installing on a second phone.
  • Languages. OkCredit lists 11 Indian languages. If your staff will enter data, language matters more than any feature.
  • Multiple devices and staff. Some features such as multi-device access sit in paid tiers on some products; ask before assuming.
  • Export. You should be able to get your party list and balances out as PDF or Excel if you ever leave.
  • Data ownership. Read the privacy page, because you are storing your customers' phone numbers.

FAQs

What is the best app to track udhaar?

For a pure credit ledger, OkCredit is built for it. If you also need GST invoices and stock, Vyapar or myBillBook combine dues with billing. The right one depends on whether you issue tax invoices.

Is OkCredit free?

According to OkCredit's website, the Basic plan is free with unlimited features, and premium plans add ad-free usage, multi-device access, GST billing and priority support. Check the current plan page before relying on it.

Can billing software send payment reminders on WhatsApp?

Yes. Vyapar lists WhatsApp billing and reminders, myBillBook lists WhatsApp and SMS reminders with UPI links, and OkCredit lists WhatsApp integration with payment links. Confirm the exact channel and any limits in the plan you choose.

How do I recover old unpaid dues from customers?

Start with an accurate statement, send it with a polite reminder and a payment link, and follow up on a fixed weekly day. Software only helps you do this consistently; for large disputed amounts, take advice from your CA or a lawyer.

Do I need GST billing to track credit?

No. A ledger works without GST. But if you issue tax invoices, tracking dues from those invoices avoids double entry.
