What healthcare workflow automation covers

There are two layers. Clinical workflow software handles orders, results, nursing tasks, handovers and alerts inside the EMR. Administrative process automation handles admissions, billing, insurance, procurement, HR approvals and compliance paperwork. Healthcare task management software sits across both, giving every staff member a queue of assigned work with due times. RPA (robotic process automation) is a separate technique: software bots copy the keystrokes a person makes in portals or legacy systems. It is useful when a system has no API, but it breaks when a screen changes.

India-specific requirements

Insurance is the biggest source of manual effort. Ask whether the system tracks pre-auth, query and settlement states for each TPA and for PM-JAY cases, and whether any bot or integration is permitted by the relevant portal's terms. For ABDM, check that the vendor's HIS or EMR is integrated with the ABDM sandbox or production environment for ABHA and health-record linking. Look for workflow audit trails that support NABH documentation, GST-compliant billing triggers, WhatsApp and SMS notifications, and user interfaces in regional languages for front-desk and nursing staff.

How to choose a platform

• Prefer native workflows in your HIS if it covers most departments
• Use low-code tools for gaps such as forms, approvals and audits
• Use RPA only where there is no API, and budget for maintenance
• Check whether your own admin team can edit rules, SLAs and escalations
• Insist on role-based access and an audit log for every action
• Ask for dashboards on turnaround times such as discharge TAT and pre-auth TAT

Implementation and change management

Start by mapping one workflow end to end on paper, for example discharge. Record current turnaround times, then automate only the handoffs that cause waiting. Run the new flow on one ward before rolling it out. Assign a process owner in each department and review escalation reports every week for the first few months. Keep a manual fallback for insurance portals, because bots and portal changes can fail without warning. Train staff on why each alert exists, or they will ignore it.
