What the invoicing-led tools say

Refrens describes quotation generation within an accounting platform that also covers invoices, GST, CRM with lead tracking and follow-ups, and payment reminders. On its quotation page, Refrens says quotations number themselves automatically and calculate GST, can be converted into an invoice with one click, and can be tracked as sent, opened, accepted or rejected. It lists email, WhatsApp and link sharing, and online client approval. Refrens says 100,000+ businesses from 170+ countries use it, which is its own statement. Zoho Books says you can raise tax-compliant invoices and quotes, and it lists purchase and sales orders, automated reminders, GST filing, e-invoicing and a customer portal. Per Zoho's India pricing page (checked October 2026), there is a free plan for businesses under ₹25 lakh annual revenue, and Standard at ₹749 per month billed annually for up to 3 users. If you only need invoices, Zoho Invoice has a free tier and converts approved quotes into invoices.

What the proposal tools say

Proposify describes a drag-and-drop editor, industry templates, e-signatures, real-time notifications when a prospect views a document, and integrations with HubSpot, Salesforce, Zoho and Pipedrive via Zapier. It offers three plans, Basic, Team and Business. Rupee pricing is not shown on its website.

Qwilr describes interactive web-based proposals and quotes, built-in e-signature, payments through QwilrPay, analytics on page views, and integrations with HubSpot, Salesforce, Zoho, Pipedrive, QuickBooks, Slack and Stripe. Qwilr states it serves over 5,000 customers.

PandaDoc is listed on App Advisor for proposals and document workflows. Ask its team for a written quote in your currency, and for a live demonstration of an Indian GST quotation with your own items and tax fields. Be careful with any of these products' pricing in India, since many quote in dollars; confirm currency, GST treatment and whether they support Indian GST fields before you commit.

A key gotcha: GST fields

A global proposal tool can produce a handsome quote that omits HSN/SAC, place of supply or the CGST/SGST/IGST split. If your customers are Indian businesses who need the tax breakdown, test this first. Create a sample quote with two GST rates and see whether the tool handles it. The invoicing-led tools above are built for this; proposal tools often need a workaround, such as listing tax as a line item or working alongside accounting software.

How to choose, in order

  1. Do you need a signature and a designed document? If no, stay with invoicing-led software.
  2. Do your quotes need GST detail? If yes, shortlist tools that handle it natively.
  3. Do you already use a CRM? Check integrations. Proposify and Qwilr both list HubSpot, Salesforce, Zoho and Pipedrive.
  4. How many quotes per month? Under about 20, a free tier may do. Above that, templates and tracking pay back quickly.
