What Refrens lists on its site

Refrens' homepage presents it as accounting software with these parts: invoicing with customisable templates, automated book updates and financial reports, bank reconciliation and audit trails, GST compliance (e-invoices, e-way bills, and GSTR-1 and GSTR-2B reports with reconciliation), integrated payments, inventory, expense capture through WhatsApp or email using its "Eagle" AI, a sales CRM, and AI business insights. It also lists purchase orders, quotations, delivery challans and proforma invoices.

Refrens names these audiences: startups, e-commerce and D2C brands, B2B SaaS, wholesalers and distributors, service agencies, manufacturers, freelancers, consultants and enterprises. It says it is "trusted by 100,000+ businesses from 170+ countries". That is the vendor's own claim, read in October 2026.

Why the CRM-plus-invoice combination matters

A common small-business pattern: leads live in WhatsApp and a spreadsheet, quotes are Word documents, invoices are made in a billing app, and nobody knows how many quotes turned into paid work. Each hand-off loses information and time.

Refrens lists a sales CRM and a document flow (quotation, proforma, invoice, challan) in the same product. That means a lead can move to a quotation and then to an invoice without re-typing client details. For an agency or consultancy, fewer re-entries mean fewer errors and a faster first invoice, which is where cash starts.

Workflows worth setting up first

Quote to invoice. Create a quotation from a template, send it, and convert an accepted quote into an invoice. Track which quotes are still open each week.

GST-ready invoices. If you cross the e-invoicing threshold, Refrens lists e-invoice generation. Confirm the exact steps and any plan requirement with the vendor, because the vendor's website did not give them.

Expense capture. The site says expenses can be captured through WhatsApp or email using AI. Test it with ten real bills before you rely on it for GST input credit.

Reconciliation. Refrens lists GSTR-1 and GSTR-2B reports with automated reconciliation. Compare its numbers against your CA's for one month before switching.

Payments. It lists integrated payments. The pricing page says Refrens earns from payment gateway fees on online transactions it processes, so ask about the fee for your payment mode.

What it costs

On its pricing page, Refrens says you can create up to 15 documents free, with premium features available on a free trial and no credit card needed. It does not show paid plan prices there. So we are not quoting any. Ask for the current premium price and what is included.

For contrast, Zoho Books publishes prices. Per Zoho's India pricing page (checked October 2026) there is a Free plan, and paid plans from Standard at ₹899 per month (₹749 per month billed annually) up to Ultimate at ₹9,599 per month, excluding taxes.

Quote-to-cash metrics worth tracking

Because Refrens keeps leads and documents together, you can track a few numbers that are normally scattered: how many quotes you sent, how many were accepted, how long acceptance took, and how long invoices took to be paid. Write the starting figures down in the first month. A slow quote-to-acceptance time usually means unclear scope; a slow invoice-to-payment time means your terms or reminders need work.

Swipe's own page lists e-way bills, e-invoices, GSTR JSON export, inventory with batch and expiry, Tally sync and Shopify integration, and says it is trusted by 25,00,000+ businesses. Zoho Books lists customer and vendor portals, payment reminders, multi-currency and bank feeds.

Who Refrens is not for

  • A multi-outlet retailer needing till-level POS and store transfers. Look at GoFrugal or Ginesys POS.
  • A manufacturer needing production planning. Look at ERPNext.
  • A business whose accountant insists on Tally. Consider TallyPrime or check Tally sync options.
  • Anyone who wants a published price list before talking to sales.

What to check before buying

  • Which features need a paid plan, and what happens after document 15.
  • Whether your CA can log in with limited access.
  • How data exports work if you leave.
  • Whether the gateway fee suits your invoice sizes.
  • Whether its AI features are optional, and where your data goes.

A weekly routine for a five-person agency

Software only grows a business if it changes what people do on Monday morning. Here is a routine you can adapt; it is our suggestion, not a Refrens feature list.

Monday, 15 minutes: pipeline. Open the CRM view. For every lead with no next step, either assign one or close it. The goal is a pipeline where each line has an owner and a date.

Wednesday, 15 minutes: quotes. List quotations sent more than a week ago and not accepted. Message each client once with a specific question, such as whether the scope needs changing, rather than a generic nudge.

Friday, 20 minutes: invoices. Raise invoices for all work delivered this week instead of batching them at month-end. Review unpaid invoices and send payment follow-ups to the oldest first.

Month-end, 30 minutes: books. Check expense entries captured through email or WhatsApp, reconcile the bank feed, and share GST reports with your accountant.

The pattern behind it is simple: invoice sooner, chase earlier and keep leads and money in one view. Whether Refrens is the right container depends on how it feels with your clients and data, which is why the free documents are worth using on real work.

Mistakes to avoid

  • Switching mid-GST-period. Start a new tool at the beginning of a month or quarter so returns come from one source.
  • Trusting AI capture blindly. Spot-check amounts, GSTIN and dates on auto-captured bills.
  • Skipping client data cleanup. Wrong GSTIN on a client record produces wrong e-invoices.
