BUSY suits dealers who want accounting and inventory in one desktop-led system, Vyapar suits smaller shops that want simple mobile-first billing, and Marg ERP says it is built for retailers, distributors, pharma and FMCG businesses and lists editions from ₹5,550 plus 18% GST.

Why this trade is harder to bill than it looks

A paint-and-pipe counter is not a simple retail shop. The same pipe is sold by the piece, the length and the bundle. Cement and steel are sold on credit to contractors who pay in instalments. Orders are quoted first, then delivered in two or three lots, and the invoice has to match the lots. Add GST on several rates, transport of heavy goods, and an owner who wants to know which contractors are slow payers.

Five requirements follow from this:

  • Multiple units of measure per item, with conversion.
  • Quotation to order to invoice, without retyping.
  • A receivables list by party, with ageing.
  • Stock across a shop and a godown.
  • E-invoice and e-way bill support when you move goods or bill larger businesses.

BUSY: the accounting-first choice

BUSY describes itself as accounting software with invoicing, inventory, GST compliance, order management, multi-location support (branches and godowns) and a mobile app. On its homepage it states "6,00,000+ Businesses" and "30+ Years" and says it supports 20+ sectors.

The pricing page lists two families. The subscription editions are Express (free), Start at ₹5,000 per 360 days, Smart at ₹8,000, Power at ₹12,000 and Power+ at ₹50,000. Smart adds GST-ready compliance, POS and batch tracking, and Power adds multi-GSTIN management and a higher e-invoice and e-way bill allowance. The legacy BUSY 21 perpetual licences are listed at Basic ₹11,000, Standard ₹16,500 and Enterprise ₹22,000, with GST extra. Standard is the one that lists orders, quotations and production planning. All of this is per the vendor's pricing page (checked October 2026).

Not ideal if: you want to bill from a phone only. BUSY's strength is the desktop accounting system, with the mobile app as a companion for reports.

Vyapar: simple billing for the smaller shop

Vyapar lists GST billing, e-invoice and e-way bill generation, barcode generation and scanning, payment reminders and WhatsApp reminders, and mobile and desktop versions with cloud sync. Its inventory page lists multiple units and godowns with stock transfers between them, item-level HSN and SAC codes, FIFO-based stock valuation, and bulk item import from Excel.

That Excel import is practical for a hardware shop: you can load a supplier price list rather than typing 600 fasteners by hand. Desktop plans on that page are Silver ₹308 per month, Gold ₹749 per month and Retail Pro ₹833 per month, billed annually plus 18% GST, per the vendor's pricing page (checked October 2026), with the mobile app shown as lifetime free.

Not ideal if: you want quotation-to-order-to-invoice workflows with production planning, or integrated books beyond what a billing app offers. Test whether its quotation flow fits how you quote contractors.

Marg ERP: listed, but check it yourself

Marg ERP is on App Advisor under billing software. Marg lists GST billing, e-way bills, e-invoicing, barcode billing, live credit-limit management and multi-location billing, with edition prices of ₹5,550 (Nano), ₹10,300 (Basic), ₹13,900 (Silver) and ₹26,000 (Gold), each plus 18% GST and no billing period stated, per its pricing page (checked October 2026). Marg's website do not single out hardware or building material, so test the hardware-specific items on your own list in a demo: multi-unit items, batch handling and your regular reports. This is also a good example of the rule to follow with any vendor: never buy on a feature you have not seen working with your data.

A practical set-up for a dealer with a godown

Step 1: Fix your item master. Decide the base unit for each item (for example metre for pipe) and the alternate units you sell in (length, bundle). Mistakes here ripple through every report.

Step 2: Separate shop and godown stock. Create both locations and record transfers rather than adjusting stock manually. This is what makes the "where is it?" question answerable.

Step 3: Put contractors on credit terms. Set a credit limit and due date per party. The monthly habit is simply sorting the receivables list by days overdue.

Step 4: Turn on e-invoicing and e-way bills only when needed. Both BUSY and Vyapar list these features, but tiers differ. Confirm that your plan includes the volume you expect before you commit.

Step 5: Reconcile weekly. Count ten fast-moving items against the system. Hardware stock leaks through informal sales, breakage and mixed bundles, so frequent small checks beat a yearly stock-take.

What changes in the business

The growth benefits are practical rather than magical. Faster quotations mean contractors get a price while they are still at your counter. A receivables list you actually look at means fewer invoices stuck for months. A clean item master means you can see which categories earn margin and which only move volume. None of the three products promises sales on its own; they remove the admin that stops an owner from seeing the numbers.

Choosing quickly

  • Choose BUSY if your CA wants proper books and you have a godown plus counter on one PC network.
  • Choose Vyapar if you are small, mobile-first, and want to start with a free or low-cost plan.
  • Look at Marg ERP after a demo, especially if credit-limit alerts at billing matter to you.
  • Look at TallyPrime if your accountant already works in Tally and you want to stay in that ecosystem.

Questions to put to every vendor

Hardware dealers get burned by assumptions, so put these in writing during the demo.

  1. Units. Show me one item sold in pieces, lengths and bundles, with the stock reducing correctly in each case.
  2. Rates. How does the system handle the same item at different customer rates, such as a contractor price and a walk-in price?
  3. Quotes. Can a quotation be converted to a partial invoice, with the balance staying open?
  4. Ageing. Can I see receivables by days overdue for a single party, and print it?
  5. Limits. What is the e-invoice and e-way bill allowance on my plan, and what happens when I cross it? BUSY, for example, lists higher allowances on its Power tiers.
  6. Data. If I leave, in what format can I export my invoices, ledgers and stock?
  7. Support. What are the support hours, and is it by phone, WhatsApp or ticket?

A vendor who answers these clearly, and shows them on screen, is usually one you can work with. A vendor who says "we can customise that" for a basic item is telling you the feature is not there.
