Coaching in India ranges from single-teacher tuition centres to multi-city test-prep chains and fully online academies. The regulatory context changed in 2024, when the Ministry of Education issued Guidelines for Regulation of Coaching Centre to Chief Secretaries and Administrators of States and Union Territories, for adoption through appropriate legal frameworks (Ministry of Education guidelines page). Two insights from the model:

Risks and compliance checklist
- Minimum age and eligibility: record date of birth and qualification at admission, and follow your State's rules derived from the Ministry of Education guidelines.

How to choose
- Map your delivery model: offline only, hybrid, or online only. Offline centres should not overpay for video infrastructure.

Vendor demo script
Coaching software demos usually start with a slick student app. Start instead with the processes that cause complaints and cash leakage. Give each vendor the same scenarios and sample data.
Scenario 1: Enquiry to admission. A parent enquires on WhatsApp about a two-year engineering entrance course. The counsellor books a demo class, follows up twice, and the student enrols with a scholarship after a test. Check that:
- The enquiry source is captured automatically.
- Follow-up reminders reach the counsellor's phone.
- Scholarship approval has a maker-checker step.
- The student's date of birth and qualification are recorded at admission, supporting age and eligibility rules in your State.
Scenario 2: Instalments and a mid-course exit. The student pays the first two of four instalments, then pays the balance in full in month four, and leaves in month seven. Ask the system to calculate the pro-rata refund for the remaining period, generate the refund approval, record the payment date, and show the 10-day clock where your State's rules require it. Many products cannot do this without spreadsheets.
Scenario 3: Batch operations. Move the student between batches after a timetable change, mark attendance from the faculty app, and trigger an absence alert to the parent. Show the faculty's weekly schedule and substitution handling.
Scenario 4: Test cycle. Create an online test from a question bank, run an OMR test for an offline batch, merge results into one rank list, and send topic-wise analysis to the student and parent.

Institutes with many centres sometimes consider building their own apps. Building makes sense only if you have a permanent product and engineering team, and even then, fee collection, messaging compliance and video delivery are usually bought as services.
