If you run a university, K-12 admissions office or large coaching institute with counsellors handling thousands of enquiries per intake, LeadSquared is the specialist to shortlist first: it markets an education CRM built around admissions portals, counsellor productivity and CRM–SIS integration, with published Sales CRM prices of ₹2,500 and ₹5,000 per user per month billed annually. Smaller coaching centres with a handful of counsellors can usually run admissions on a general CRM with a free or low-cost tier, such as Zoho CRM (free for up to 3 users; paid from ₹800 per user per month) or Kylas (a lifetime-free plan with unlimited users and 10,000 records), paired with telephony and WhatsApp. The decision depends on enquiry volume, how many counsellors call leads, and whether you need an online application and fee-payment portal.

Executive summary

  • LeadSquared is an education-focused sales execution platform. Its education industry page highlights admission portals, counsellor efficiency, automation and CRM–SIS integration, and features vendor case studies.
  • LeadSquared publishes INR list prices: Sales Pro ₹2,500 and Sales Super ₹5,000 per user per month billed annually on its Sales CRM pricing page; Marketing Pro is ₹90,000 and Marketing Super ₹1,49,000 per account per year on its marketing pricing page.
  • General CRMs are viable below a certain scale: Zoho CRM lists Standard at ₹800 per user per month on its pricing page; Kylas lists a free Embark plan with unlimited users on its pricing page.
  • Speed-to-lead wins admissions. Enquiries arrive from ads, portals, walk-ins and missed calls; routing them to a counsellor within minutes matters more than advanced features.
  • Students and parents are on mobile: TRAI reports 1,204.01 million active wireless subscribers for July 2026, making calling and WhatsApp the dominant counselling channels.
  • Children's data raises the compliance bar. The DPDP Act provides penalties up to ₹200 crore for violations of obligations relating to children, which matters for school and junior coaching admissions.

Market context

Admissions in Indian education follow intense seasonal cycles: board results, entrance exam registrations, and academic-year intakes create bursts of enquiries that must be handled by counsellors in a short window. Most of those conversations happen by phone and WhatsApp. TRAI's July 2026 telecom subscription data reports 1,354.28 million telephone subscribers and 1,204.01 million active wireless subscribers, which is why call tracking, missed-call capture and WhatsApp follow-ups are core requirements rather than add-ons for education CRMs.

The second defining factor is data protection involving minors. The Government's DPDP Rules, 2025 explainer notes that the Rules were notified on 14 November 2025, that a Data Principal includes a parent or lawful guardian in the case of a child, and that violations of obligations relating to children can attract penalties of up to ₹200 crore. Schools and coaching institutes that enrol students under 18 must design enquiry forms and communication workflows with verifiable parental involvement in mind.

The third factor is outbound communication rules. SMS reminders about counselling sessions, fee deadlines and exam dates are commercial communications governed by TRAI's regulations; the Second Amendment Regulations, 2025 continue the registered header and content template regime.

We did not find an official statistic sizing the education CRM market in India, so none is cited. LeadSquared's page publishes customer case-study results; these are vendor-reported and we do not repeat them as independent findings.

What LeadSquared is, in plain terms

LeadSquared describes itself as a sales execution and CRM platform, and it has built industry-specific versions for education, healthcare, financial services and real estate. For education, its pages focus on four problems: capturing enquiries from many sources into one record, giving counsellors a prioritised queue of whom to call next, running an online admission portal where applicants complete forms and upload documents, and integrating with student information systems once a student enrols. Its marketing module handles email and landing-page automation separately and is priced per account.

LeadSquared also sells a healthcare version, which is why buyers search for "LeadSquared healthcare CRM"; hospitals and clinics should compare that version with specialist tools in our healthcare software hub.

Total cost of ownership

Illustrative model — assumptions stated.

  • A coaching institute with 12 admissions counsellors, one intake cycle per year, 12 months of licences.
  • LeadSquared Sales Pro at ₹2,500/user/month billed annually; Marketing Pro at ₹90,000/account/year (optional, shown separately).
  • Zoho CRM Professional at ₹1,400/user/month.
  • Kylas Elevate price not published; shown as a quote.
  • Telephony and WhatsApp conversation charges excluded (they apply to all options).
  • Configuration of stages, forms and automations: 80 hours at an assumed ₹800/hour, higher for LeadSquared if the application portal is implemented (assume an extra 40 hours).

The LeadSquared premium is worthwhile if its education workflows (portal, counsellor queues, SIS integration) replace custom development or multiple tools. If you only need lead routing and calling, a general CRM is likely cheaper. Seasonality also matters: if you add temporary counsellors during peak season, unlimited-user models such as Kylas can be attractive, subject to record limits.

Implementation roadmap

Weeks 1–2: Map the admissions funnel. Define stages (enquiry, contacted, counselled, demo class or campus visit, application, fee paid, enrolled). List every lead source and decide the fields needed for each programme.

Weeks 3–4: Capture and routing. Connect website and ad forms, portal leads and missed-call numbers. Configure deduplication by phone number and assignment rules by course, city or language.

Weeks 5–6: Counsellor workspace. Set up call logging, WhatsApp templates, follow-up tasks and the mobile app. Create scripts and disposition codes.

Weeks 7–8: Application and payments. If needed, build online application forms with document upload and payment links, and map fee status back to the lead record.

Weeks 9–10: Nurturing and reporting. Automate reminders for demo classes, exam dates and fee deadlines. Build source-wise funnel and counsellor scorecards.

Weeks 11–12: Pilot to full intake. Pilot with one programme, fix gaps, then roll out before the main admission season, not during it.

Risks and compliance checklist

  • Children's data (DPDP Act, 2023). For applicants under 18, capture parent or guardian details and consent; the Government's explainer defines the Data Principal for a child as including the parent or lawful guardian, and violations relating to children can attract penalties up to ₹200 crore.
  • Consent notices. Every enquiry form needs a clear, separate consent notice explaining the purpose, as the DPDP Rules require.
  • Rights requests. Respond to access, correction and erasure requests within ninety days; purge leads that did not enrol after a defined retention period.
  • SMS and DLT. Register headers and content templates for admissions SMS and ensure annual self-certification, as required under TRAI's 2025 amendment regulations.
  • Unsolicited calls. Call only enquirers who have given contact details for that purpose; complaints about unsolicited commercial communication can be raised within seven days under TRAI's rules.
  • Purchased lead lists. Avoid them; they rarely have valid consent and harm reputation.
  • Counsellor data exports. Restrict export rights to prevent lead lists leaving with staff.

KPIs to track

  • Time to first call after enquiry, by source and counsellor.
  • Contact rate within 24 hours.
  • Enquiry-to-counselling, counselling-to-application and application-to-enrolment conversion rates.
  • Cost per enrolment by source, including ad spend and portal fees.
  • Counsellor productivity: calls, connected calls and conversions per day.
  • Demo class or campus visit show-up rate.
  • Fee collection rate from applications.
  • Duplicate lead rate and share of leads with consent records.

Designing an admissions funnel that counsellors will follow

A CRM enforces a process only if the process is simple enough to follow during peak season. These design principles apply regardless of vendor.

Define stages by observable events. "Counselled" should mean a completed conversation with a recorded outcome, not a feeling that the lead is warm. "Application started" should be triggered automatically when the applicant opens the form.

Limit dispositions. Ten to fifteen call outcomes (not reachable, call back later, interested in another course, fee concern, enrolled elsewhere) are enough. Too many options lead to inconsistent data.

Automate the next step. Every disposition should create the next task automatically, such as a callback in two days or a WhatsApp message with a brochure.

Separate student and parent contacts. Many admissions decisions involve parents. Store both contacts with their roles, preferred language and consent status.

Plan for peak loads. Before results day, test assignment rules with simulated volumes, and decide how leads are redistributed when a counsellor is absent.

Close the loop with finance. Mark a lead as enrolled only when fee payment is confirmed, ideally by syncing payment status automatically.

Questions to ask vendors

  1. Show us leads from three sources arriving and being deduplicated by phone number. Education enquiries often arrive twice, from an ad form and a portal.
  2. How does missed-call capture work? Ask whether a missed call automatically creates a lead and assigns a callback task.
  3. Can applicants upload documents and pay fees in the portal? Check file size limits, payment gateway options and how status appears on the lead.
  4. How is pricing affected by temporary counsellors? If you add staff for peak season, ask whether licences can be added monthly.
  5. What are the record or contact limits? Kylas lists record caps per plan; ask every vendor how historic leads count towards limits.
  6. How are consent and parent details captured? Ask to see the consent fields and audit trail.
  7. What does implementation include? For LeadSquared especially, ask how many hours of configuration and training are included and what counts as custom work.

Common mistakes

Implementing during admissions season. Counsellors under pressure revert to spreadsheets. Go live at least four weeks before the main intake.

Importing every historic lead. Old leads without consent records create compliance risk and clutter queues. Import only recent, relevant enquiries with clear consent.

Measuring counsellors only on calls made. Call volume without conversion quality encourages superficial calls. Balance activity metrics with conversion and applicant feedback.

Ignoring source costs. Some lead sources look productive but enrol few students. Track cost per enrolment by source, not only lead counts.

How to choose

If you are a university, multi-campus school group or large coaching brand with high enquiry volumes, dedicated counsellors and a need for online applications, choose LeadSquared and ask for an education-specific demo using your funnel. If you are a single-centre coaching institute with a small team, start with Zoho CRM (free for up to 3 users) or Kylas (free with unlimited users up to 10,000 records) and add telephony and WhatsApp. If your counsellors spend most of their day on the phone, trial a calling-first CRM such as TeleCRM alongside the others. Always test with a real intake list, a real phone line and one complete application-to-fee-payment journey.

FAQs

What is LeadSquared?

LeadSquared is an Indian sales execution and CRM platform with industry versions for education, healthcare, financial services and other sectors. Its education offering focuses on lead capture, counsellor productivity, admission portals and integration with student information systems.

How much does LeadSquared cost?

LeadSquared's Sales CRM pricing page lists Sales Pro at ₹2,500 and Sales Super at ₹5,000 per user per month, billed annually. Its marketing automation plans are ₹90,000 (Marketing Pro) and ₹1,49,000 (Marketing Super) per account, billed annually.

Does LeadSquared have a healthcare CRM?

Yes. LeadSquared markets a healthcare version alongside its education CRM. Hospitals and clinics should compare it with clinic and hospital management tools in our healthcare software hub.

What is the best CRM for a coaching institute?

For small coaching centres, a general CRM with a free tier and good calling integration (such as Zoho CRM or Kylas) is often enough. Large institutes with many counsellors and online applications benefit from an education-specific CRM such as LeadSquared.

How do coaching institutes capture leads from multiple sources?

They connect website and ad forms, education portals and missed-call numbers to the CRM, deduplicate by phone number, and auto-assign each enquiry to a counsellor based on course, city or language.

Can admissions SMS be sent without DLT registration?

No. Commercial SMS in India must use registered headers and content templates on TRAI's DLT framework, and TRAI's 2025 amendment requires senders to self-certify their headers and templates annually.
