Software covered in this blog

Quick answer: Free billing software is genuinely useful for a new or very small business, but "free" always has an edge. Vyapar lists its mobile app as lifetime free, Zoho Invoice states a free plan with caps on users, projects and invoices, and myBillBook offers a trial and low-cost paid plans. Pay when a limit starts costing you time or compliance, not before.

What "free" usually means

Free billing software generally falls into one of three shapes, and it helps to know which you are looking at before you sign up:

  • Free forever, with a ceiling. The tool stays free, but caps something: users, invoices, businesses, or features.
  • Free on mobile, paid on desktop. The phone app costs nothing, while the desktop version or advanced modules are paid.
  • Free trial. Everything works for a few days, then you must pay or lose access.

None of these is a trick, but each has a point where you will want to upgrade. The goal is to find that point on paper before it arrives in your busiest week.

Vyapar: free mobile, paid desktop

On its inventory page, Vyapar shows a pricing table with a 7-day free trial for desktop and a "lifetime free" mobile column at ₹0 per month. Desktop plans are Silver ₹308 per month, Gold ₹749 per month and Retail Pro ₹833 per month, billed annually plus 18% GST, per the vendor's pricing page (checked October 2026). Vyapar's homepage also says a lifetime free plan exists.

What the homepage lists as features, such as GST and non-GST billing, e-invoice and e-way bill generation, barcode support, WhatsApp reminders and offline billing, is the feature set to test against whichever tier you land on. The page did not break features down by plan, so ask or test: does the free mobile app include what you need today, such as e-way bills or multi-user access?

Typical upgrade moment: you want a desktop version for the counter, more devices, or heavier inventory features.

Zoho Invoice: free with explicit caps

Zoho Invoice's pricing page states "₹0 for Seamless and Reliable Invoicing" and describes it as 100%-free GST invoice software. The stated free-plan limits are up to two users, a maximum of three projects and up to 500 invoices per year. It lists GST-compliant invoices, email and WhatsApp delivery, UPI/card/net-banking payments, automated payment reminders, quotes, recurring invoices, time tracking, expense recording, a customer portal and analytics.

The 500-invoice cap is the number to do arithmetic on. A consultant who sends 20 invoices a month has margin; a shop that bills 20 a day does not. Also note that Zoho Invoice is a service-oriented invoicing tool rather than a stock tracker. The pricing page points to Zoho Billing as an "advanced solution" for growing businesses and does not show its price on the vendor's website.

Typical upgrade moment: you hit the invoice or user cap, or you need inventory or subscriptions.

myBillBook: trial and low-cost plans

myBillBook's pricing page lists Plus at ₹3,490 per year, Pro at ₹3,990 per year and Pro Max from ₹570 per month, with a free trial for first-time users and a 7-day money-back guarantee on all plans (per the vendor's pricing page, checked October 2026). The vendor's website does not describe a perpetual free plan, so treat it as a trial plus a low-cost paid entry rather than a free tool.

What each plan unlocks is the interesting part. Plus is limited to one business and one user plus one CA. Pro adds the desktop app, 500 SMS or WhatsApp marketing messages a year and unlimited godowns. Pro Max adds e-way bills, e-invoicing, loyalty, recurring billing, POS billing and Tally export. So e-invoicing sits in the top tier: if you must issue e-invoices, price Pro Max rather than Plus.

Typical upgrade moment: you add a second user, need a desktop app, or must issue e-invoices.

What you give up with free

Support depth. Free users often get slower or self-service support. Confirm what support you get, and by which channel, before you rely on the tool.

Features at the margins. The things most likely to sit behind a paywall are e-invoicing, e-way bills, multiple users, multiple businesses and bulk messaging. These matter on the day a customer demands an e-invoice or a second staff member starts billing.

Continuity. A tool that is free today can change its limits. Export your data regularly, so a change of vendor never means starting from zero.

Compliance workload. Free tools often leave return filing to you or your CA. Zoho Invoice, for example, lists GSTR-1 filing via API and a GSTR-3B JSON export, while other tools may differ. Check what your CA actually needs.

A rule for when to pay

Put a monthly number on the limit. If the free tier makes you spend two hours a month working around a cap, and your time is worth more than the cost of the paid plan, pay. If a feature saves you one missed GST filing or one lost customer, pay. Otherwise, stay free and keep checking quarterly.

A short checklist helps:

  1. Count your monthly invoices and users now and a year from now.
  2. List the compliance features you must have (e-invoice, e-way bill).
  3. Test an export of your data.
  4. Read the cancellation and refund terms.
  5. Put a calendar reminder to review the plan in six months.

When free is the wrong choice

If you run a multi-counter shop with staff, free single-user tiers will quickly get in your way. If you need books your CA will file from, evaluate accounting-first tools like TallyPrime or BUSY instead. For a broader scan, read what is actually free in business software, the best billing software for small business guide, or browse billing software. The Bill Free listing is another option to review.

Reading a pricing page like a buyer

Free and low-cost plans often differ in ways that headline prices hide. When you read a pricing page, look for these items in order.

  1. Who the plan is for. A plan for "one business, one user" is a solo tool, whatever the marketing says.
  2. Billing period. Is the price monthly, but billed annually? A ₹308 per month figure billed annually means you pay for the year up front.
  3. Taxes. Vyapar's table says plus 18% GST, so add that to your budget.
  4. Message and document limits. myBillBook's Pro plan lists 500 SMS or WhatsApp messages a year, which can run out quickly if you send reminders daily.
  5. Refund terms. myBillBook states a 7-day money-back guarantee, which gives you a small safety net.
  6. What is not shown. If the page does not say which plan includes a feature you need, ask support in writing and keep the reply.

Treat the first month as a paid test even if it is free. Put real work through it, record the problems, and decide on the evidence rather than on the pricing page.

FAQs

Is there any completely free billing software in India?

Vyapar shows its mobile app as lifetime free and Zoho Invoice states a free plan with caps. "Free" still has limits, so compare them to your volume and compliance needs.

What is the catch with free GST billing software?

The usual catch is a cap on users, invoices or features. Zoho Invoice's free plan, for example, states a limit of 500 invoices per year and two users.

Can I file GST returns with free software?

Zoho Invoice lists GSTR-1 filing via API and a GSTR-3B JSON export. For others, confirm in a trial whether they export return-ready data.

When should I move from free to paid billing software?

Move when a limit costs you time or compliance, such as needing e-invoices, a second user or stock management. Compare the plan price to the hours you lose.

Is myBillBook free?

The vendor's website show a free trial and paid plans starting at ₹3,490 per year, plus a 7-day money-back guarantee. No permanent free plan is described.
