Software covered in this blog

Quick answer: For a company under about 50 people, start with a shared subscription register, one controlled company card and a monthly check against bank statements; no software needed. Once you run dozens of apps, look at Zluri, CloudEagle, Sastrify or Zylo for discovery and licence clean-up, Cledara for virtual cards, and Vendr or Spendflo for renewals and negotiation. None publishes prices, so budget for a quote.

How we researched this: We read the product and solution pages of Zluri, CloudEagle, Sastrify, Zylo, Cledara, Binadox, Vendr, Spendflo and Freshservice, the RazorpayX corporate card and Zoho Expense pages, the CGST Rules on CBIC's repository and the Reserve Bank of India's e-mandate Master Direction. All were checked in October 2026. Savings figures below are vendors' own claims, labelled as such; we have not tested them.

Where software money leaks in an Indian company

Picture a 40-person digital agency in Hyderabad. Over three years, the design team signed up for one project tracker, the content team for another, and the founder's assistant put two e-signature tools on the company card. Nobody is careless; each purchase was sensible alone. Together they produce four leaks.

  • Duplicates. Two tools do the same job, bought by different people.
  • Idle seats. Licences stay assigned to people who left or never logged in.
  • Silent renewals. An annual plan renews because nobody read the notice period.
  • Unrecoverable tax. Invoices raised without the company's GSTIN cannot support input credit, and foreign invoices need reverse-charge handling (covered in GST on foreign SaaS).

Vendors in this category quantify the problem in their own favour, so read their numbers as marketing. Zluri's page says 60% of applications operate outside IT control. CloudEagle says its customers typically recover 10 to 30% of annual SaaS and AI spend. Sastrify claims 30% average savings across a software landscape. Zylo cites a statistic that 77% of IT leaders found AI-powered apps running without their awareness. None of these is independent evidence for an Indian SME, but all point to the same practical truth: you cannot cut what you cannot see.

Three trails that reveal what you pay for

A SaaS management tool finds subscriptions by following one or more trails. Knowing which trail a tool uses tells you what it will miss.

TrailWhat it showsWhat it misses
Money (cards, bank, expense, ERP)Everything you actually pay for, including tools nobody told IT aboutFree plans, and tools paid on personal cards and reimbursed late
Identity (SSO, Google or Microsoft sign-in)Who logs in, how often, to which appApps where staff sign up with a password instead of SSO
Device and browserApps used on managed laptops and browsersPersonal devices and phones

Tools differ in which trails they read. Per their own pages:

  • CloudEagle lists 500+ integrations across SSO, finance, HRIS, browser, firewall and contract data.
  • Sastrify says it connects to your IDP, browser and ERP and then discovers every software tool in use.
  • Zluri says its discovery engine scans across SSOs, MDMs, CASBs and local devices, with 300+ direct API integrations, and classifies apps into 50+ categories.
  • Zylo describes a spend-led view and quotes a customer saying it shows what people buy through expense and purchasing; its page does not list the discovery methods.
  • Cledara works from the payment side: virtual cards designed for software, a directory with renewal dates and usage, and flags for underused, duplicate and similar tools.
  • Binadox advertises renewal tracking, licence optimisation, automated invoice collection and shadow-IT detection, plus a 7-day free trial with no credit card; its page does not explain how discovery works.
  • Freshservice Assets is part of an IT asset management suite. Freshservice Assets describes discovering and managing your SaaS estate, tracking usage and licences, uncovering shadow IT and controlling spend and renewals.

The first question for any vendor is therefore: which trail do you read, and what do I have to connect? A finance-trail tool is quick to start but blind to free apps. An identity-trail tool is only as good as your SSO coverage.

The tools side by side

ToolClosest toWhat the vendor page listsPricing published?
ZluriDiscovery plus identity governanceShadow-IT discovery, licence reclaim, renewals, access reviews, offboardingNo; demo-led
CloudEagleSaaS, AI and identity governance plus procurementLicence harvesting, renewal calendar, price benchmarking, approvalsNo; free trial and demo links
SastrifySoftware visibility plus expert-supported buyingShadow-IT detection, unused-seat analytics, request-to-approval workflowsNo
ZyloEnterprise spend managementLicence optimisation, renewals, shadow ITNo
CledaraPayment controlVirtual cards, renewals, duplicate-tool flagsNo
BinadoxSmaller teamsRenewals calendar, licence manager, invoice collectionNo; 7-day trial
VendrNegotiationPricing benchmarks, contract review, renewal routingNo; free try and demo
SpendfloProcurement workflowContracts, supplier onboarding, auto-renewal detection 60 days out, benchmarksNo; some modules marked "Coming Soon"

Three observations. First, every vendor routes pricing through a demo or quote, so shortlist two or three and compare quotes on the same user count. Second, none of the pages we read mentions India-specific features such as GSTIN capture, rupee invoicing or local support hours, so ask for them in the demo (the software demo checklist gives you the questions). Third, Zluri is itself a Bengaluru-founded company, founded in 2020 according to its announcement of 14 October 2026 that it has been acquired by Infotech; if vendor stability matters to you, ask what that changes for support and roadmap.

Discovery tools versus negotiation tools

The table mixes two jobs. Discovery and clean-up tools answer "what do we have and who uses it?" Zluri says it can auto-reclaim or downgrade licences continuously based on usage thresholds, and CloudEagle lists licence harvesting and a renewal calendar. Negotiation tools answer "are we paying a fair price?" Vendr's page describes a pricing agent that benchmarks what comparable companies spend and a negotiation agent that reviews contracts for overcharges and renewal traps; Vendr says it is trusted by 5,000+ finance and procurement teams and built on 130,000+ negotiations, which are its own figures. Sastrify combines both, with expert-supported purchasing and renewals and a marketplace for discounted rates. Spendflo says its agent flags auto-renewal clauses 60 days out.

For a company with a few large annual contracts, negotiation help may pay back faster than discovery. For a company with many small subscriptions and staff churn, discovery and offboarding matter more. Before you sign, ask each vendor three things: which Indian apps and accounting systems it connects to, what happens to your data if you leave, and how the price scales if you double headcount.

Start with a register: the no-software version

Most of the early value comes from discipline, not software. A shared sheet with these columns is enough to begin:

  1. App and what it is used for
  2. Owner (one named person)
  3. Plan and price, and whether billed monthly or annually
  4. Seats bought and seats active
  5. Renewal date and notice period
  6. Billing entity: Indian company with GST invoice, or foreign company
  7. GSTIN on the invoice: yes or no
  8. Payment method

Fill it from three sources: the last 12 months of company card and bank statements, your GST purchase register, and a short poll of team leads asking what they sign into every week. Reconcile it monthly.

Two inexpensive aids help. RazorpayX Corporate Cards markets a corporate credit card for SaaS, marketing and cloud spend, with limits by merchant category, daily, transaction, domestic and international limits, and app-based tracking. And Zoho Expense lists a free plan for up to 3 users, with Standard at ₹79 per user per month billed annually (₹99 monthly) and Premium at ₹149 (₹199 monthly), both with a minimum of 5 users, and corporate card management with direct feed integration from Standard. More on card tools in corporate cards and expense tools in India.

India-specific controls that tools rarely mention

Keep the GSTIN on every invoice. Under Rule 36(2) of the CGST Rules, input credit can be taken on a document that lacks some particulars only if it still shows the amount of tax, description, total value, GSTIN of supplier and recipient, and place of supply for inter-State supplies. A subscription bought on an employee's personal card with no company GSTIN fails that test. Make the register's "GSTIN on invoice" column the finance team's monthly checklist item; the guide to claiming GST input credit on SaaS explains the credit rules.

Use card rules as a renewal alarm. The RBI's E-mandate Framework, 2026 requires the card issuer to send a notification at least 24 hours before each recurring debit, naming the merchant, amount and date. That is too short to negotiate a renewal, but it is a free signal that a subscription exists. It also says the customer must be able to modify or withdraw an e-mandate and opt out of a particular transaction, which gives finance a lever to stop an unwanted renewal at the card end, though the vendor contract may still bind you.

Separate Indian and foreign vendors in the register. Foreign invoices with no GST need the reverse-charge routine; Indian ones do not. See SaaS priced in rupees for which popular tools bill in INR.

A 30-60-90 day plan

Days 1 to 30: see it. Build the register, move all new purchases onto one company card, and name an owner for every app. Cancel what no one claims.

Days 31 to 60: tidy it. Reconcile seats against your HR list. Remove access for ex-employees, merge duplicate tools, and put every renewal date on a shared calendar with the notice-period date, not just the renewal date.

Days 61 to 90: decide. If the register shows more than a few dozen tools, an identity system you already own, and renewals worth chasing, request quotes from two platforms from the table above. If renewals are the main pain, look at Vendr or Spendflo instead of a discovery tool. Add a purchase approval step so the problem does not recur; software buying approvals for Indian firms shows how.

When not to buy a platform

If you have fewer than 30 staff and a handful of tools, a platform will cost more attention than it saves, and the pages we read are written for IT, finance and procurement teams; Zylo describes itself as an enterprise platform. If your pain is hardware and helpdesk tickets rather than subscriptions, the IT asset management comparison is a better start. If most of your sprawl is in two suites, consolidating onto one may beat any tool; compare Google Workspace versus Microsoft 365 first. FAQs

What is shadow IT, and why does it matter for a small company?

Shadow IT is software that staff buy or sign up for without the company's knowledge. It matters because those tools hold company data, may carry unnoticed renewals, and may produce invoices with no GSTIN, so the company loses both control and tax credit.

How can I find all the SaaS subscriptions my company pays for?

Combine three trails: payments (company cards, bank and expense records), identity (SSO or Google and Microsoft sign-in logs) and devices or browsers. Tools such as CloudEagle and Sastrify read several trails; a manual register built from statements covers the payment trail at no cost.

What does SaaS management software cost?

The vendors we reviewed do not publish prices on the pages we read; they route you to a demo, quote or trial. Binadox advertises a 7-day free trial, and CloudEagle and Vendr show free-trial calls to action. Ask for a written quote based on your headcount.

Is a spreadsheet enough to track SaaS licences?

For a small team, yes, if it has an owner, a renewal date with notice period, seats bought versus used, and is reconciled monthly against statements. It stops scaling when you cannot map who uses what without checking each app by hand.

How do I stop an auto-renewing subscription charged to my card?

Check the vendor's cancellation terms first. On the card side, the RBI's e-mandate rules say the issuer must let the customer withdraw an e-mandate and opt out of a transaction, validated by additional authentication. Do both the vendor cancellation and the card step.
