Software covered in this blog

The practical AI stack for an Indian small or mid-sized business in 2026 has three layers. First, a general AI assistant for drafting, summarising and analysis. Second, AI features inside tools you already pay for (email suites, CRM, helpdesk, BI). Third, where you have developers, pay-per-use AI APIs for automation. Costs are modest compared with salaries. Google's India page lists Google AI Plus at ₹399 per month and Google AI Pro at ₹1,950 per month. Anthropic lists Claude Team standard seats at $20 per seat per month billed annually. The real risk is data: pasting customer lists, employee records or contracts into consumer AI accounts can create DPDP Act and confidentiality problems. This guide covers what to use, what it costs and how to control the risks.

Executive summary

  • Start with business accounts, not personal ones. Team and enterprise plans typically add admin controls, SSO and contractual data terms. Personal free accounts give the company no control.
  • Official prices are clear for some vendors. Google AI Plus is ₹399/month, Google AI Pro ₹1,950/month and Google AI Ultra from ₹6,500/month (India page). Claude Pro is $17/month with annual billing. Claude Team is $20/seat/month annually ($25 monthly) for standard seats and $100/seat/month annually ($125 monthly) for premium seats. ChatGPT's pricing page blocked our access, so we do not quote it.
  • AI inside existing tools is often cheapest. Before buying a new tool, check the AI features in your email suite, CRM, helpdesk and BI tool.
  • DPDP Act applies to prompts. Personal data you put into an AI tool is still personal data. Purpose limitation, security safeguards and processor contracts apply.
  • Measure outcomes, not usage. Track hours saved on specific workflows and error rates, not the number of prompts.

Market context

Regulatory frame for AI use by businesses in India.

  • Digital Personal Data Protection Act, 2023: data fiduciaries must process personal data for lawful purposes, with notice and consent where applicable, and protect it with reasonable security safeguards. The DPDP Rules, 2025 set detailed procedures with an 18-month phased compliance timeline (PIB). Using AI to process customer or employee data does not remove these duties. It adds a processor to your data flow.
  • CERT-In Directions (28 April 2022): listed cyber incidents, including data breaches and unauthorised access, must be reported within 6 hours, and ICT logs kept for 180 days within India (PDF). An AI integration that leaks data, or a compromised AI account with access to company files, can be an incident.
  • Sector rules: regulated entities (for example, those overseen by RBI, SEBI or IRDAI) may face additional outsourcing, data localisation and model governance expectations. Check your regulator's current circulars.

Treat consumer plans like these as individual subscriptions. For company-wide use, look for business or workspace plans with admin controls.

Writing an AI use policy that people follow

Long policies go unread. A one-page policy with concrete examples works better. Cover:

  1. Approved tools: list them by name and plan. Everything else needs approval.
  2. Never paste: Aadhaar numbers, PAN, bank account details, card data, passwords, health information, and client documents marked confidential.
  3. Allowed with care: customer names and business context in approved business tools, when needed for the task.
  4. Always review: figures, legal statements, tax positions and anything sent outside the company.
  5. Disclose where appropriate: for example, when AI drafts content published under the company's name.
  6. Report problems: if someone pastes prohibited data or sees a harmful output, they tell the named owner the same day.

Evaluating AI tools on your own tasks

Vendor demos show best-case results. Build a small test set instead:

  • Pick 20 real tasks across your use cases: 5 emails, 5 summaries, 5 spreadsheet questions, 5 Indian-language items.
  • Remove personal data from the test inputs.
  • Run each task on every shortlisted tool, with the same prompt.
  • Score each output from 1 to 5 on accuracy, usefulness and how much editing it needed. Have two people score independently.
  • Record time taken to reach an acceptable output.

The winner is the tool with the best score-to-cost ratio on your tasks, not on public benchmarks.

Hidden costs to budget

  • Training time: staff need practice to write good instructions and to spot errors.
  • Review time: checking AI output takes time, especially for numbers and legal text.
  • Integration work: connecting AI to CRM, helpdesk or document stores needs configuration and permission reviews.
  • Usage overages: API-based and usage-metered features can grow quickly without caps.
  • Duplicate subscriptions: individuals expensing personal AI plans on top of company seats.

How to read it:

  1. The value side depends entirely on the assumed hours saved. Run a 4-week pilot with time tracking before scaling.
  2. Seat licences are only part of the cost. Training and governance are what make usage safe.
  3. Time saved only becomes profit if it is redeployed (more quotes sent, faster collections). Track those outcomes.

Weeks 1–2: Policy and use cases

  • Write a one-page AI use policy covering allowed tools, prohibited data (Aadhaar numbers, bank details, health data, unreleased financials, client confidential documents without approval), human review of outputs, and disclosure where relevant.
  • Pick 3–5 use cases with measurable outcomes (for example, quote turnaround time).

No. Treat it as a draft. A qualified professional must verify tax, legal and financial statements.

Should employees use personal AI subscriptions for work?

It is better to avoid it. With personal accounts, the company cannot enforce MFA, control data settings, see usage or remove access when someone leaves. Provide approved business plans instead, and make the policy clear.
