Business intelligence pricing in India: Power BI INR prices, Looker Studio, Metabase, Zoho Analytics and Tableau compared with a TCO model and data risks.

Software covered in this blog

Business intelligence pricing in India ranges from free to lakhs a year, and the headline per-user price is rarely the full cost. Microsoft publishes the clearest INR prices: Power BI Pro is ₹1,165 per user per month and Premium Per User ₹1,995 per user per month, both paid yearly with GST extra. Google's Looker Studio (now shown as Data Studio on Google Cloud's page) is available at no charge for creators and viewers, with a Pro tier at $9 per user per project per month. Metabase offers an open-source self-hosted route and cloud plans from $100 a month. Zoho Analytics is sized by users and data rows. Tableau's pricing page blocked our access, so we do not quote it. The best choice depends on your data sources, how many people only view dashboards, and who will maintain the data model.

Executive summary

  • Viewers drive cost more than builders. In per-user tools such as Power BI Pro, every person who consumes shared content usually needs a licence. Count viewers before comparing prices.
  • Official INR prices exist for Power BI only. Pro is ₹1,165/user/month and Premium Per User ₹1,995/user/month, paid yearly, GST extra. Other vendors publish in USD or require a calculator or quote.
  • Free tiers are real but limited. Looker Studio's self-service tier has no charge. Metabase's open-source edition can be self-hosted. Both shift cost into setup, data engineering and hosting.
  • Row-based pricing (Zoho Analytics) rewards small data, not many users. Plans start at 2 users with 0.5 million rows (Basic) and go up to 50 users with 50 million rows (Enterprise).
  • Dashboards contain personal and financial data. DPDP Act obligations, CERT-In's 6-hour incident reporting and 180-day log retention apply to BI tools just as they do to ERPs.

Market context

Why Indian SMEs are adopting BI now. GST returns, e-invoicing, UPI settlements and marketplace payouts create structured digital data that owners can analyse. We have not found a regulator-published statistic on BI adoption in India, so we make no numeric market claims. Qualitatively, the most common first dashboards we see are sales by region and product, receivables ageing, inventory days and marketing return on ad spend.

Regulatory context for analytics:

  • DPDP Act, 2023 and DPDP Rules, 2025: dashboards that combine customer names, phone numbers, addresses or employee data process personal data. Data fiduciaries must use reasonable security safeguards. The Rules follow an 18-month phased compliance timeline (PIB). Practical implications: role-based access, row-level security and not exporting personal data to personal spreadsheets.
  • CERT-In Directions (28 April 2022): listed cyber incidents must be reported within 6 hours, and ICT logs must be kept for a rolling 180 days within Indian jurisdiction (PDF). A publicly shared dashboard link that exposes data can become an incident.

Metabase also lists usage charges for AI features ($3.75 per 1M tokens after an included allowance) and for data transforms and storage. Budget for them if you plan to use those features.

Understanding the three pricing models

BI vendors meter different things. Knowing the meter tells you how the bill will grow.

Per-user pricing (Power BI Pro and Premium Per User). You pay for each named person. Costs grow with headcount, not data volume. This works well when a fixed group of analysts and managers uses reports, and poorly when you want to share dashboards with a large, changing audience such as all store managers or distributors.

Platform fee plus users (Metabase cloud). A monthly base price includes a number of users, with a per-user charge beyond that. Costs grow slowly at first. Usage-based add-ons such as AI features or data transforms can add to the bill.

Users plus data rows (Zoho Analytics). Plans bundle a number of users with a row allowance. Costs grow when either dimension is exceeded. Companies with large transaction tables, such as retail POS lines or marketplace orders, should estimate rows carefully, including historical data.

No-charge self-service tiers (Looker Studio). There is no licence cost, but there are indirect costs: connector limits, fewer governance features, and more manual work to control sharing.

The semantic layer matters more than the chart library

Most BI failures in growing companies are not about visuals. They are about three teams calculating "revenue" three different ways. Before choosing a tool, write down 20 core metric definitions with owners. Then check how each tool lets you define them once and reuse them: calculated measures, models, or saved questions. A tool with a good central definition layer will cost less to maintain than one with better charts.

Governance questions to ask

  • Can we apply row-level security by region, branch or salesperson?
  • Can we disable public or "anyone with link" sharing across the organisation?
  • Are access and sharing events logged, and can we export them for 180-day retention?
  • Where are cached datasets stored, and for how long?
  • If AI features are enabled, what data leaves our environment, and which model provider processes it?

Total cost of ownership

Illustrative model — assumptions stated. A 120-person manufacturer with 5 analysts building reports and 40 managers viewing them. Assumptions:

  • Data sources: ERP database, Tally exports and Google Sheets.
  • Power BI: all 45 people need Pro to share and consume content in a standard workspace (our simplifying assumption; check Microsoft's licensing rules for your setup).
  • Metabase Pro cloud: 45 users, where the first 10 are included and 35 more cost $12/user/month.
  • Looker Studio: no-charge tier.
  • Data engineering and dashboard build: an assumed 120 hours in year 1 at ₹1,200/hour (₹1,44,000) for all tools. For the no-charge tool we add 60 hours (₹72,000) for extra workarounds and governance. These are assumptions.

Reading the model:

  1. With many viewers, per-user licences dominate cost. Reducing the view-only audience, or using email subscriptions and exports where the policy allows, cuts spend.
  2. The no-charge option is cheapest on paper. Its hidden cost is governance: link sharing, connector reliability and access control need more manual work.
  3. Currency matters. Metabase's USD pricing exposes you to exchange-rate movements. Keep a buffer.
  4. For finance-heavy teams already on Microsoft 365, Power BI's Excel familiarity may cut training time. That is not captured in this model.

Five dashboards most Indian SMEs should build first

  1. Sales performance: revenue, gross margin and order count by month, region, channel and product category, compared with the same period last year.
  2. Receivables ageing: outstanding amounts by customer in 0–30, 31–60, 61–90 and 90+ day buckets, with the top 10 overdue accounts and collection owner.
  3. Inventory health: stock value, days of inventory, slow-moving items and stock-outs by warehouse or store.
  4. Cash position: bank balances, expected inflows from receivables and planned outflows for the next 4–8 weeks.
  5. Marketing efficiency: spend, leads, cost per lead and revenue by channel, linking ad platforms to CRM outcomes where possible.

Each dashboard should have a named owner, a documented refresh schedule, and a short note explaining how key metrics are calculated.

Build, buy or partner?

  • Build in-house when you have at least one person comfortable with SQL and data modelling, and your sources are few.
  • Use a partner for the initial data model and first dashboards when sources are messy (for example, Tally plus spreadsheets plus marketplaces), then train an internal owner.
  • Buy a pre-built analytics app inside your ERP or accounting suite when standard reports cover most needs. This is often the fastest route for smaller firms.

Implementation roadmap

Weeks 1–2: Define decisions, not dashboards

  • List the 10 decisions leaders make every week (for example, reorder stock, chase receivables).
  • Map each to a metric, its data source, owner and refresh frequency.

Weeks 3–4: Data foundation

  • Build a single clean table per subject (sales, inventory, receivables), in a database or warehouse if possible.
  • Agree definitions: what counts as "revenue", "overdue", "active customer".
  • Classify fields holding personal data and plan masking.

Weeks 5–7: Build and secure

  • Build 3–5 core dashboards first.
  • Set up row-level security (for example, regional managers see their own region).
  • Enforce SSO/MFA and disable public link sharing by default.

Weeks 8–10: Adopt

  • Train managers with their own data. Set a weekly review ritual around dashboards.
  • Retire duplicate spreadsheets. Monitor usage and remove unused licences.

Risks and compliance checklist

  • DPDP Act: personal data fields identified, masked or restricted; purpose documented.
  • Public links: disabled by default; exceptions approved and reviewed monthly.
  • CERT-In 6-hour reporting: the incident process covers data exposure through dashboards or exports.
  • 180-day logs within India: access and sharing logs retained or exported.
  • Data localisation: confirm where BI cloud data and caches are stored if contracts or regulators require India.
  • Row-level security tested with real user accounts.
  • Licence hygiene: leavers removed the same day; quarterly true-up.
  • Metric definitions documented and version-controlled.

How to choose

  • Choose Power BI if you are on Microsoft 365, your finance team lives in Excel, and you want INR invoicing with published prices.
  • Choose Looker Studio for marketing and Google-centric reporting (GA4, Google Ads, Sheets) when the budget is tight, and add governance discipline.
  • Choose Metabase if you have engineers, SQL data and want self-hosting or embedded analytics.
  • Choose Zoho Analytics if your data already sits in Zoho Books, CRM or Inventory. Get a quote from Zoho's calculator.
  • Evaluate Tableau for advanced visual analytics with dedicated analysts, and request an official quote.

Is Looker Studio free?

Google Cloud's page states that Data Studio (formerly Looker Studio) is available at no charge for creators and report viewers. A Pro tier costs $9 per user per project per month.

Is Metabase free?

Metabase offers an open-source edition you can self-host. Its cloud plans start at $100 per month (Starter), with Pro at $575 per month and Enterprise from $20,000 per year.

How much does Zoho Analytics cost?

What does Tableau cost in India?

Tableau's pricing page blocked our access when we checked, so we do not quote a price. Request an official quote from Tableau or an authorised partner.

Do viewers need a paid licence?

It depends on the tool and plan. In many per-user tools, anyone consuming shared content needs a licence. In others (such as Looker Studio's no-charge tier), viewers do not. Always model your viewer count.

Can I connect Tally to a BI tool?

Usually through exports, ODBC or a connector product. Test data refresh reliability before committing.

How long does a first BI rollout take?

For a small or mid-sized company with a handful of data sources, 8–10 weeks is a realistic plan: two weeks to define decisions and metrics, two to build a clean data foundation, three to build and secure core dashboards, and the rest for adoption. Messy spreadsheets and undocumented metric definitions are the usual causes of delay, not the software itself.
