Quick answer: A service centre bills for two different things, parts and labour, and often needs an estimate approved before work begins. Vyapar suits shops that sell spare parts and need stock plus GST billing on one app, while Zoho Invoice suits pure service businesses that mostly quote, invoice and chase payment. Neither lists a repair job-card feature on the vendor's website, so decide whether you need one.

What is different about billing a repair

Take a two-wheeler workshop, an AC repair outfit or a laptop service centre. The customer hands over a machine, you diagnose it, you give a quote, and only after approval do you order parts and start work. The final bill mixes spare parts (with stock and GST) and labour (a service with its own tax treatment). Then the customer comes to collect, and sometimes does not pay in full.

This sequence creates five billing needs:

  1. Estimates that convert to invoices without retyping.
  2. Parts and labour on one bill, with different tax rates where applicable.
  3. Stock of spares, so you do not promise a part you do not have.
  4. Payment follow-up, since pickups and part-payments are common.
  5. Customer history, so a returning customer's earlier work is a click away.

Where Vyapar fits: parts-heavy centres

Vyapar lists GST and non-GST billing, barcode support, payment reminders and WhatsApp billing and reminders, due tracking, thermal printer support, and mobile and desktop apps with offline billing. Its inventory page lists low-stock alerts with reorder points, multiple godowns, HSN and SAC codes, IMEI and serial tracking, and bulk import of items from Excel.

HSN and SAC support is useful for a service centre because it lets you bill both goods (spare parts) and services (labour) on the same invoice with the right codes. Low-stock alerts keep common parts, like filters or screen guards, on the shelf. Due tracking and reminders handle the customer who collects the machine and promises to pay on Friday.

Vyapar's inventory page lists desktop plans of Silver ₹308 per month, Gold ₹749 per month and Retail Pro ₹833 per month, billed annually plus 18% GST, per the vendor's pricing page (checked October 2026). The mobile app is shown as lifetime free.

Not described on the vendor's website: a repair job-card, technician assignment or "device received" workflow. If your centre depends on those, test that capability in a trial or look at specialised tools.

Best for: shops that stock and sell parts, such as mobile, appliance and vehicle accessory repair, with a counter owner doing the billing.

Where Zoho Invoice fits: labour-led services

Zoho Invoice lists invoices and quotes or estimates that convert to invoices, recurring invoices, payment reminders, billable expenses converted to invoices, GST delivery challans with e-way bill details, time tracking, a client portal for viewing and paying invoices, and GSTR-1 filing via API or GSTR-3B JSON export. Payments by UPI, cards and net banking are listed through Zoho Payments and other gateways, and it lists integrations with Zoho CRM, Tally, WhatsApp and others.

On the free plan, Zoho's pricing page states that you can add up to two users, create a maximum of three projects and send up to 500 invoices per year (per the vendor's pricing page, checked October 2026). It also says the free plan is priced at ₹0. For a small AC repair business or a freelance technician who bills a few jobs a day, 500 invoices a year is a meaningful limit: do the arithmetic against your monthly job count before relying on it.

The estimate-to-invoice flow and billable expenses are a good match for a repair quote that includes parts bought for the job. Time tracking is relevant for hourly labour charging. One thing to note: Zoho Invoice is invoice software, not an inventory system. If you want a stock of spares, you will need a tool that tracks it, such as Vyapar, or a different Zoho product.

Zoho also describes Zoho Billing as a separate, more advanced product, which matters if you sell annual maintenance contracts with recurring charges. Check what is included and what it costs on Zoho's site.

Best for: service-first businesses where stock is small and most revenue is labour.

A simple workflow you can set up in one week

Day 1: Create your items. Make a short list for parts and one service item per labour category (for example "AC gas refill labour"). Use the right HSN or SAC code on each.

Day 2: Set up a quote template. Include the diagnosis note and a validity line. Send it by WhatsApp or email.

Day 3: Convert one real quote into an invoice. If you can do it without retyping, the flow works for you.

Day 4: Add reminders. For unpaid pickups, set a standard message and a standard follow-up day.

Day 5-7: Review. Look at the unpaid list and the repeat customers. Which brands or problems recur? That knowledge shapes what you stock.

How billing improves a service business

You will not get more repair jobs from invoice software. You will get cleaner money handling. Fewer unrecorded parts means margin you can actually see. A quote history shows how many estimates convert to jobs, and a reminder routine pulls in money sitting in unpaid collections. A clear, itemised invoice sent by WhatsApp also saves arguments at the counter.

If you also sell the devices you repair, see the Vyapar inventory listing, and for general comparisons visit billing software. The GST invoicing software comparison and the wider best billing software for small business guide covers more tools, and the Zoho Invoice free generator guide goes deeper on that product.

Who should not use either

A large service chain with a call centre, dispatch and technician routing needs field-service software, not billing apps. Likewise, if you hold warranty obligations from a manufacturer and must submit claims, you will need the brand's own system alongside any billing tool.

Setting your prices and records straight first

Before you pick software, decide how you will price a repair, because the software only records what you decide. Many centres charge a diagnostic fee, a labour rate, and parts at a margin. Write these down as items in your list: "diagnostic fee", "labour (standard)", "labour (complex)", and each common part.

Keep a habit of recording the customer's phone number on every job. In a repair business, the phone number is the identity: it lets you message when a job is ready, send a payment reminder and find the customer's history later. Both tools here support customer records, and the discipline matters more than the feature.

If you collect advances before starting work, record them as advances against the customer, not as sales. That keeps your revenue figures honest and makes the final invoice easier to reconcile.

Finally, decide what happens to unclaimed devices. A written policy, such as a notice after a set number of days, belongs on the invoice terms. Software can print the terms; it cannot enforce them.
