Quick answer: For an Indian group with several plants, states and legal entities, Darwinbox is the India-native choice: its payroll page names PF, ECR, TDS and multi-state compliance, and it sells a support-led HCM-as-a-Service option. Workday HCM suits very large employers that run one global people system and need Indian statutory payroll as one country among many. Neither vendor publishes prices, so both need a written quote. Mid-sized firms should also price Keka and Zoho People.
How we researched this: We read Darwinbox's payroll product page, its enterprise HCM and HCM-as-a-Service pages and its blog articles, plus Workday's India HCM page, payroll page, deployment page and India company profile. We also read the Income Tax Department's salary-TDS guidance on incometax.gov.in. All figures were checked in October 2026. Vendors' claims are labelled as theirs.
What each vendor publishes, and what it does not
Start with the awkward part: you cannot compare these two on a price list. The Darwinbox pages we opened offer "Request a Quote" and "Schedule a Demo" and state no prices. Workday's India HCM page has a "Contact Sales" button and an ROI calculator but no pricing statement. Both bill on negotiated enterprise contracts, so the useful comparison is scope, implementation model and risk.
What the vendors do publish is a set of claims, and several of them do not agree with each other.
| Topic | What the vendor's own pages say |
|---|---|
| Darwinbox customers | The payroll page says "900+" enterprises with "2.5Mn+" employees. The enterprise HCM page shows "900+ Global Clients" and, lower down, "850+ Global Enterprises". The HCM-as-a-Service page says "1000+" customers and "3Mn+" employees across "130+" countries. |
| Darwinbox implementation | The HCM-as-a-Service page says "< 3 weeks". One Darwinbox blog comparison says "3–6 months" for Darwinbox and "9–18 months" for Workday. Another Darwinbox blog says "6–12 weeks". |
| Workday customers | The India HCM page says "more than 10,000 organizations". The India company profile says "more than 11,000 organizations around the world" in "more than 175 countries". |
| Workday implementation | The deployment page offers Launch Flex, "as few as twenty-seven weeks", available globally, and Launch Express, "ten-to-twenty plus-week", but only for the U.S., Canada, EMEA and ANZ. |
Two lessons follow. Customer counts on vendor sites are marketing snapshots, so never use them as a reference check. And the "9–18 months" figure for Workday appears only in a competitor's blog; Workday's own page quotes 27 weeks as the fastest Flex go-live. Ask both vendors for a written project plan for your headcount, entities and module list.
Modules and features: what is on the page
Darwinbox's enterprise HCM page lists nine modules: recruitment and onboarding, talent management, core HR, rewards and recognition, time and attendance, payroll and expenses, employee engagement, people analytics and an HR help desk. The attendance module mentions location-based attendance, facial recognition and a voice bot. Darwinbox's homepage now leads with Darwinbox Cortex, which it calls "The AI-Native HCM", and says "Gartner just ranked Darwinbox among the top two on AI". Treat that as a vendor statement. A Darwinbox blog also says Gartner named it a Challenger in its Magic Quadrant for Cloud HCM Suites in 2024 and 2025, again a self-report.
Workday's HCM page lists core HCM, talent management, global payroll, workforce management, HR analytics, employee experience, contingent worker management and workforce planning. Its AI pitch centres on agents, with conversational recruiting delivered through Paradox. The India page positions the suite at large Indian enterprises in IT, global capability centres, BFSI and manufacturing.
| Area | Darwinbox | Workday HCM |

India payroll and statutory compliance
This is where the two diverge most.
Darwinbox's payroll page describes pay scale groups, a formula builder for salary structures, maker-checker approvals and customisable payslips. It lists a four-step run (employee group selection, input validation, payroll run and payslips), regular and off-cycle payouts, automatic full-and-final settlement, and "50+" canned reports including pay register, tax, arrears and F&F. It calls the engine "100% statutory compliant" and names TDS, ECIS and PF ECR arrears reports. Its managed-services option adds monthly, quarterly, half-yearly and annual returns, including factory-law returns. A Darwinbox blog says the engine covers PF, ESIC, TDS, state-wise Professional Tax, Labour Welfare Fund, gratuity and bonus, and says statutory updates are pushed without customer tickets. That blog also describes itself as a listicle that applies its criteria to Darwinbox, so read it as a self-assessment.
Workday's India HCM page says compliance is localised and, for India, "includes Provident Fund, ESIC, Professional Tax, and Labor Code requirements". Workday's payroll page for India lists continuous calculation, audit trails, a Workday Payroll Agent and automatic compliance updates, but we found no India-specific statutory detail on it. That does not mean Workday cannot do it. It means you should ask for the India payroll configuration guide, a list of statutory reports and a reference customer with multi-state payroll.
The AI payroll claims to test
Both vendors now lead with AI. Workday's payroll page says it "automates 90% of payroll transactions" and lists a Workday Payroll Agent and AI payroll prompt recommendations. A Darwinbox blog mentions Darwinbox Sense AI for anomaly detection and pre-payroll exception flagging. These are self-reported. Give each vendor a deliberately flawed test file, with a duplicate bank account, a negative net pay and a mid-month joiner who has no attendance, and see which exceptions the system raises before the run. That tells you more than any percentage on a brochure.
A government checkpoint for any enterprise payroll vendor
The Income Tax Department's TDS compliance guidance on incometax.gov.in says salary paid from 1 April 2026 is governed by the Income-tax Act, 2025 (section 392(1)), while salary for the earlier year follows section 192 of the old Act. It adds that "The employer must reset the TDS computation from 1st April, 2026 for the new tax year" using projected income, deductions and the chosen regime. Investment declarations should reference the 2025 Act and payroll systems should reflect the new section numbering. The quarterly salary-TDS statement is now Form 138, earlier Form 24Q, due on 31 July, 31 October, 31 January and 31 May.
Put these into your RFP. Ask each vendor to demonstrate a Form 138 file validated in the current return preparation utility, and to show how the system handled the April 2026 switch for an existing customer. Our guide to Form 16 and 24Q payroll software and the PF, ESI and PT calculation guide give the detail.
Implementation: the part that decides the project
Enterprise HR projects fail on data migration and configuration, not on features. Use the vendors' published models to frame the questions.
Darwinbox says its HCM-as-a-Service has a standard model with technical support, implementation help, periodic reviews and up to 18 hours of system training during implementation. A "Hypercare" upgrade adds weekly live query sessions with product experts and up to 48 hours of training for new HR team members during the contract. The page also lists a dedicated HRIS manager who runs day-to-day tasks under your supervision. It gives no prices.
Workday sells fixed-scope packages through "handpicked deployment partners". Launch Flex is scoped for simple to complex needs, and Express is the small and midsize package, which the page does not list for India. So for an Indian enterprise the realistic path is a partner-led Flex project.
A sensible plan for a 2,000-employee group looks like this:
- Weeks 1 to 4: design. Freeze the salary structures, leave policies, approval chains and legal entities. Merge duplicate pay components before migration.
- Weeks 5 to 12: build and migrate. Load the current financial year's payroll history so that year-to-date tax and PF totals carry over, and test at least three states' Professional Tax and Labour Welfare Fund rules.
- Parallel run for two cycles. Run the old and new payroll side by side and reconcile net pay per employee.
- Cut-over after a quarter-end so Form 138 data is not split across systems mid-quarter.
Be suspicious of any plan that skips the parallel run, whichever vendor proposes it.
Which one for which Indian enterprise
A 1,500-employee Pune auto-component group with six plants in three states. Statutory complexity is high and people are on shifts. Darwinbox's India-native payroll and managed-returns option is the natural first quote. Our guide on HRMS for manufacturing companies lists the shift and contract-labour questions to ask.
A 12,000-employee bank or NBFC with an overseas subsidiary. One people system across countries is the main reason to put Workday on the shortlist. Insist on seeing the India payroll running before you sign.
A 600-person IT services firm. You are below the size both vendors lead with. Price Keka, Zoho People and PeopleStrong alongside. Our Zoho People vs Darwinbox comparison and HRMS for IT services guide help here.
Who should not buy either: a 150-person company with one office and one entity. You would pay for configurability you will not use. See Keka vs greytHR, where one vendor publishes its prices.
Other suites worth a quote at this scale include SAP SuccessFactors, Oracle HCM Cloud and Ramco HCM. For the long form on one vendor, read our Darwinbox pricing guide and how Darwinbox helps Indian companies grow.
What to put in the RFP
- Pricing metric. Per employee per month, per module, or a platform fee? Ask for year-three pricing, not just year one.
- Entities and states. List every legal entity and state. Ask what extra a new entity costs after go-live.
- Statutory change handling. Who updates PF, ESIC, PT and TDS rules, how fast, and at whose cost?
- Data residency. Where is data hosted, and can it be pinned to India? Neither vendor page we read states this plainly.
- Support model. Hours, escalation path, a named manager, and the training hours included. Darwinbox publishes 18 and 48 hours for its two HCM-as-a-Service tiers; ask Workday's partner for the same.
- Exit. In what format do you get your data back if you leave?

FAQs
Is Darwinbox cheaper than Workday?
We cannot say, because neither vendor publishes prices. Darwinbox's own blog calls Workday's total cost "on the higher end of the category", but that is a competitor's opinion with no figures. Get quotes for the same headcount, modules and number of entities, and compare year-three cost.
What are Darwinbox's main HR SaaS features?
Darwinbox's enterprise HCM page lists recruitment and onboarding, talent management, core HR, rewards, time and attendance, payroll and expenses, engagement, people analytics and an HR help desk. Its payroll product adds a formula builder, maker-checker approvals and statutory reports.
Does Workday work for Indian enterprises?
Workday's India HCM page says its compliance support includes Provident Fund, ESIC, Professional Tax and Labor Code requirements. Its India company profile says Workday India Global Services Private Limited was established on 24 April 2025, with offices in Mumbai, Pune and Chennai. Confirm payroll fit with a reference customer.
How do I request a Darwinbox demo?
Darwinbox's pages carry "Schedule a Demo" and "Request a Quote" buttons. Ask to see your own scenario, such as a multi-state payroll run with a mid-month joiner and a Form 138 export, instead of a generic walkthrough.
Which is better for a mid-sized Indian company?
Neither is aimed at small teams. Darwinbox says it targets mid-to-large enterprises of roughly 1,000 to 25,000 employees, and Workday's India page leads with Fortune 500 and large Indian enterprises. Below that, shortlist tools with published pricing.
