What makes factory HR different

An office HR system assumes one shift, monthly salary and a laptop-using workforce. A plant in Pimpri-Chinchwad or Coimbatore looks different: three shifts, a mix of permanent staff, trainees and contract labour from a contractor, overtime that must be approved, piece-rate or incentive pay, and attendance captured at a gate with a biometric reader rather than an app.

greytHR. greytHR's homepage lists payroll, attendance (biometric, GPS, geofencing and face recognition), leave, performance, expense claims and employee self-service, with "auto-computed PF, ESI, PT, LWF, and TDS across all 28 states" and "33,000+ companies". Its pricing page (checked October 2026) shows Essential at ₹2,495 per month including 50 employees (₹45 per additional employee) and Growth at ₹4,495 per month including 50 employees (₹85 per additional), with Premium on custom pricing. The vendor's website does not describe piece-rate pay, so test that in a trial.

Pocket HRMS. The homepage lists geo-location and biometric attendance, flexible leave, "50+ built-in reports", and pricing of ₹2,995 for Standard (up to 50 employees, then ₹60 each) and ₹4,495 for Professional (then ₹90 each). It states 2,000+ companies and 2-8 weeks typical implementation.

HRMantra. The homepage lists payroll with "unlimited pay heads using very powerful formulae & parameters", attendance with late-coming, early-going and overtime policies, and says it has 550+ clients across manufacturing, banking, education, insurance and e-commerce, serving 150 to 10,000+ employees, with cloud and on-premise options.

A scenario to test in every demo

Give every vendor the same case, built from your plant:

  • A helper on a rotating shift works 10 hours on a Sunday, with a gate punch missing on exit.
  • A press operator earns piece-rate with slab incentives.
  • A contractor's worker joins mid-month, with ESI coverage.

Ask them to show: how the missed punch is corrected and approved, how overtime is calculated, how the incentive is entered, and what the PF/ESI report looks like. Vendors who cannot show it live with your numbers are selling a brochure.

Rollout in 8-10 weeks

  1. Weeks 1-2: Document wage rules: grades, shift allowances, overtime multiples, incentive slabs, holidays.
  2. Weeks 3-4: Configure and import masters. Include the contractor list.
  3. Weeks 5-6: Connect biometric devices and run attendance in parallel with your existing method.
  4. Weeks 7-8: Parallel payroll for one cycle. Compare line by line.
  5. Weeks 9-10: Go live, run registers, and train supervisors who approve overtime.

Do not skip the parallel run. Most disputes show up there.

Questions to ask the floor, not just HR

The people who feel a bad HRMS first are shift supervisors and security guards at the gate. Before you shortlist, spend an hour with them:

  • How do you correct a missed punch today, and how long does approval take?
  • How many workers are on rotating shifts, and who decides the rotation?
  • Which pay components cause disputes: overtime, night allowance, incentive?
  • How are contractor workers' attendance and wages verified?

Write the answers on one page and give it to each vendor. Their response shows whether they understand a plant or are selling generic HR. Also ask who will visit the plant during implementation; device mounting, network coverage at the gate and training in the local language decide success more than software features do.

For plants with several sites, decide early whether payroll will run centrally or per plant. Both are common; the choice drives user roles and approval chains.

Cost and ownership

Compare total cost across three years, not the first invoice: per-employee fees, biometric device integration, add-on modules and support. Smaller plants often start on a published plan such as those on greytHR's and Pocket HRMS's pricing pages and move up if shift and incentive rules outgrow them. Larger groups should ask whether on-premise or cloud deployment is offered, as HRMantra's page mentions both. Whoever you choose, nominate a plant HR lead as system owner; the vendor's implementation consultant leaves after go-live, and the owner keeps the rules updated when wage agreements change.

Who this is NOT for

  • A 15-person workshop with fixed-salary staff: a simpler payroll tool is enough.
  • Plants with heavy ERP-driven production costing where HR data must flow to ERP: ensure integration first; none of these pages guarantee it.

A month-end close routine for a plant

Most factory payroll disputes are created in the last week of the month, not by the software. A fixed close routine removes most of them, and it works with any of the tools above.

  1. Day 25: freeze the rules. No new shift patterns, allowances or incentive slabs after this date unless the owner approves.
  2. Day 26: clear punch exceptions. Shift supervisors approve or reject every missed punch and late-entry request, with a reason.
  3. Day 27: overtime sign-off. The plant head approves overtime by department. Anything above the normal range needs a note.
  4. Day 28: payroll preview. Compare gross pay by department against last month and investigate any line that moved by an unusual margin.
  5. Day 29: contractor check. Reconcile contractor-worker attendance with the contractor's own bill before releasing payment.
  6. Day 30: release and archive. Run bank files, publish payslips, generate the statutory reports your advisor needs and archive the approved attendance.

Give each step a named owner. If a step has no owner, it will be skipped in the busiest month of the year.
