Software covered in this blog

The best jewellery billing software for an Indian jeweller is one that values stock by gross weight, net weight and purity rather than by unit, pulls in the day's gold rate at billing time, and prints making charges, stone value, old-gold exchange and GST on a single invoice. For most single-showroom jewellers that means a dedicated jewellery package (such as Marg Jewellery, LOGIC Jewellery, Ornate or JewelSteps) paired with, or containing, a proper accounting ledger. A general billing app is fine only if you sell a small range of fixed-price items.

This guide explains why jewellery is harder than ordinary retail, what to check before you buy, and how the main options compare.

Why jewellery inventory is different

Ordinary stock software counts pieces. A jeweller's stock is really metal, stones and labour, and each has its own value logic:

  • Weight and purity. A 22K chain and an 18K chain of the same design are different stock. You need gross weight, less-stone weight, net weight and fine-gold equivalent.
  • Daily rate changes. When the gold rate moves, the value of the whole showroom moves. Tags should carry weight, not a fixed price.
  • Making and wastage. Charges can be per gram, a percentage, or a flat amount per piece, and they differ by design.
  • Old-gold exchange. Many sales include old gold coming in, which has to be tested, valued and adjusted against the bill.
  • Hallmarking and HUID. Each hallmarked piece carries a HUID that should be recorded against the item and printed on the bill.
  • Near-zero shrinkage tolerance. Physical stock counts need barcode or RFID tags and weight reconciliation, not just a count.

These pain points are why the jewellery business industry page groups jewellers under their own category rather than general retail.

How to choose jewellery billing and accounting software

1. Start with the billing counter

Ask for a live demo of a mixed bill: one new 22K necklace with stones, one silver item, old gold in exchange and a partial advance. If the vendor has to switch screens or fudge a line item, keep looking. Check that the invoice shows net weight, rate, making, stone value, GST and HUID clearly.

2. Check the inventory model

  • Tag-wise stock with weight on the barcode or RFID tag
  • Separate metal, stone and diamond masters
  • Counter-wise and branch-wise stock
  • Karigar (job worker) issue and receipt, with metal balance per karigar
  • Weight-based stock reconciliation reports

A good jewelry inventory app will let you see fine-gold balance, not just piece counts.

3. Decide where accounting lives

You have two routes:

  • All-in-one jewellery ERP that includes ledgers, GST returns and bank reconciliation.
  • Jewellery front end plus an accounting package such as TallyPrime, Busy or Zoho Books, with sales and purchases posted across.

If your CA already works in Tally, the second route is common. Ask exactly what syncs (vouchers only, or stock too) and how often.

4. Schemes, CRM and follow-ups

Gold savings schemes, birthday and anniversary reminders and repair orders are where repeat revenue comes from. Some jewellery packages include a basic CRM; otherwise a light CRM or WhatsApp tool can sit alongside.

5. Support and data ownership

Jewellery software is usually sold through local dealers. Ask who installs it, who trains counter staff, what annual support costs, and whether you can export your full data if you leave.

What the table tells you

  • Dedicated jewellery software handles weight, purity, tags and karigar balances out of the box. Pricing is almost always quoted, so get at least three quotes.
  • General billing apps such as Vyapar are cheap and quick to start. They suit small shops selling a limited range, but test old-gold exchange and making-charge logic carefully before committing.
  • Accounting packages like Busy and TallyPrime are strong on GST and books. Busy's published SMART edition includes "brand, size, colour and parameterised item tracking" and batch and serial numbers, which can approximate purity-wise stock. Neither replaces a jewellery-specific counter.

Typical setups by business size

Single showroom, one or two counters

A jewellery billing package with built-in accounting, or a jewellery front end posting to Tally. Barcode tags are enough; RFID is optional.

Showroom with in-house or outsourced manufacturing

You need karigar metal accounting, order tracking and wastage reports. Look at packages that list manufacturing or job tracking, such as JewelSteps, and ask for a demo of a full order cycle.

Multi-branch chain

Central rate management, inter-branch transfers, RFID stock audits and consolidated reports matter most. Consider a retail ERP vertical such as LOGIC Jewellery or a chain-grade POS system, and plan a proper CRM for schemes and customer history.

Implementation checklist

  1. List every bill type you raise: retail, wholesale, repair, order advance, scheme redemption, old-gold purchase.
  2. Tag and weigh all existing stock before go-live. Do not import unverified weights.
  3. Set making-charge rules by category, not per item, where possible.
  4. Decide who can override rates and discounts, and turn on audit logs.
  5. Run old and new systems in parallel for at least one full day of trade.
  6. Agree the data export format with the vendor in writing.

FAQ

What is the best jewellery billing software in India?

There is no single best choice. A dedicated jewellery package suits most showrooms because it handles weight, purity, making charges and old gold. Small shops with simple ranges can start on a general GST billing app, and chains should look at jewellery ERP verticals with multi-branch support.

Can I use Tally as jewellery accounting software?

Yes, for accounts and GST. TallyPrime is widely used by CAs, but its standard inventory is not built around gross weight, net weight and purity. Many jewellers run a jewellery billing front end and post vouchers into Tally.

Is there a free jewelry inventory app?

Vyapar advertises a lifetime free mobile plan and gold and silver billing, and JewelSteps offers a 7-day free trial. Free tools are fine for trying out workflows, but check weight-based stock and old-gold handling before relying on one.

Does jewellery software need to record HUID?

HUID is part of hallmarking, so your software should store it against each hallmarked item and print it on the invoice. Ask vendors to show this in the demo rather than assuming it.

Should I choose RFID or barcode tags?

Barcode tags are cheaper and enough for most single showrooms. RFID speeds up full stock counts in large showrooms and chains. Confirm the software supports your choice before buying tags.

How much does jewellery software cost?

Most dedicated jewellery vendors do not publish prices. For reference, general packages publish prices: Busy SMART is ₹8,000 per 360 days and TallyPrime Silver is ₹22,500 perpetual, both on their official sites.
