Per their own pages, Zoho Books and Zoho Invoice list recurring invoices, and Zoho Books lists recurring e-invoices. Refrens lists invoicing, quotations and a CRM, but does not describe a recurring-invoice feature on its pages, so ask for a demo.

Who needs recurring billing

You need it if the same client is billed the same or similar amount at regular intervals. In India that covers a lot of ground:

  • Agencies and freelancers on monthly retainers.
  • CA, legal and consulting firms on monthly or quarterly fees.
  • IT and managed-service providers on annual maintenance contracts (AMC).
  • Coaching centres, gyms and clubs with membership fees.
  • Property managers billing maintenance or rent.
  • SaaS and subscription boxes, though these often need dedicated subscription billing; see subscription billing software.

If every invoice is a one-off project, recurring features add little.

The cost of doing it by hand

Manual monthly invoicing has four problems:

  1. Forgotten invoices. The client who is billed on the fifth of every month is billed on the fifteenth because someone was busy. Cash arrives ten days later.
  2. Inconsistent amounts and GST. An old invoice is copied and edited, and the tax or description is wrong.
  3. No pattern in follow-up. Reminders depend on memory.
  4. Hard to forecast. You cannot see next quarter's contracted income.

A schedule fixes the first three, and the contract list fixes the fourth.

Zoho Invoice: the lighter option

Zoho Invoice's India page lists recurring invoices that generate and send automatically, invoices sent by email, SMS or WhatsApp, payment reminders, online payments by card, net banking and UPI through Zoho Payments and other gateways, and a customer portal where clients can view and pay invoices. It also lists time tracking so project hours can be turned into billable amounts, and a free plan, though the page did not give paid prices. For a freelancer or a small agency, it is a low-cost way to start.

Zoho Books: when you need books too

Zoho Books adds accounting around the invoicing. Its pricing page (checked October 2026) lists a Free plan and paid plans: Standard at ₹899 per month (₹749 per month billed annually), Professional at ₹1,799 (₹1,499), Premium at ₹3,599 (₹2,999), Elite at ₹5,999 (₹4,999) and Ultimate at ₹9,599 (₹7,999), excluding taxes. Standard adds e-invoicing, progress invoicing and payment reminders. Professional adds project timesheets, retainers and multi-currency. Premium adds payroll and fixed assets. Refrens: documents plus a CRM

Refrens lists invoicing, quotations, proforma invoices, purchase orders, delivery challans, GST e-invoices and e-way bills, payments, expense capture and a sales CRM, and says it is trusted by 100,000+ businesses. You can create up to 15 documents free per its pricing page. Since recurring invoices were not on the vendor's website, confirm whether and how you can schedule them before choosing it for retainers.

Setting up recurring billing: a seven-day plan

Day 1: List contracts. Client, service, amount, interval, start and end date, payment terms.

Day 2: Decide the invoice date. Many businesses bill in advance on the first of the month; others bill at month-end. Pick one rule per contract type.

Day 3: Prepare client records. Correct GSTIN, billing address, email and WhatsApp number.

Day 4: Create templates. Service description, SAC code, tax rate and a clear due date.

Day 5: Set schedules. Create the recurring profile for each contract. Use a start date in the near future to test.

Day 6: Test with one internal client. Check the generated invoice, tax, and delivery by email or WhatsApp.

Day 7: Turn on reminders and the payment link.

Practical rules for good recurring billing

  • Review before sending for variable work. If hours vary, use draft or review mode rather than automatic send, if the tool offers it.
  • Handle price changes deliberately. Add a calendar reminder for annual increases and update the schedule.
  • End contracts cleanly. Set end dates so you do not bill a client after they leave.
  • Record advances correctly. Retainers and advances have GST timing implications; ask your CA.
  • Keep the client in the loop. A short note saying invoices will arrive automatically on a set date avoids surprises.

A worked scenario (illustrative)

Imagine a small digital agency with eight retainer clients, each billed on the first of the month. Two have fixed fees, four have fees that depend on hours worked, and two pay a quarterly AMC. The sensible set-up is: fixed-fee clients on fully automatic schedules; hourly clients on schedules that create a draft for review on the 28th, using logged time; and the quarterly clients on a three-month interval with a reminder a week before. This keeps automation where amounts never change and human review where they do. The mechanism uses features Zoho lists, such as time tracking and recurring invoices, but we are not claiming a specific outcome for any business.

Every month the owner then checks three lists: invoices generated, invoices unpaid and contracts due for renewal in the next sixty days. That last list, which only exists if contracts are recorded in the system, is how recurring billing turns into forecasting.

When recurring invoicing is not enough

If you charge by usage, run free trials, need plan upgrades and proration, or collect through mandates, you need subscription billing software, not just recurring invoices.   • Can the schedule run on a fixed date, and can I pause or edit a profile?
  • Does it auto-send, and by which channels?
  • Can it charge a saved payment method, and what does that cost?
  • Do recurring invoices carry correct e-invoice details if I need IRN?
  • What happens when a client's GSTIN or address changes?

Reporting you should get from the system

Ask for three views before you commit: a list of active recurring profiles with next run dates, a list of generated-but-unpaid invoices by client, and a monthly summary of billed versus collected. Together they tell you contracted income, cash lag and which clients are slow, which is the information a service business actually runs on.

Finally, agree the process with your accountant before launch. Tell them which clients are on schedules, how advances are treated and how credit notes will be issued, so the month-end GST work matches what the system has been sending all month.
