It replaces the appointment diary, case papers and billing register with one system that each chair, the front desk and the owner can use. The core is a patient record organised around teeth: findings, procedures done and procedures planned are recorded on a dental chart using FDI or universal numbering. Around that sit scheduling by doctor and chair, treatment estimates, payments, lab work tracking and recall reminders. Multi-branch groups also need central reporting and patients who can visit any branch.
Start with charting: ask the vendor to chart a real case with multiple teeth, a root canal over three sittings and a crown sent to an outside lab. If that feels slow, your doctors will stop using it. Then check billing for instalments and refunds, and whether reports show collections by doctor and by procedure. Check that your imaging works with it, including whether the RVG sensor software can send images straight to the patient record. Chains should test branch-level permissions and consolidated reports. Finally, ask who owns the data and how you can export it.
Most clinics can go live within weeks if the scope is kept simple. Import the patient master first (name, phone, age), then any balances due, and leave old case papers scanned rather than re-typed. Set up procedure lists and fee schedules before go-live, and train front desk staff separately from doctors. Run the old register alongside the software for a short period, then stop. Confirm backup, and how data is returned if you cancel, before you pay.

Most dental software is a cloud subscription billed per doctor, per chair or per clinic, monthly or yearly. Some vendors also sell one-time licences for installed software with an annual maintenance fee. Imaging add-ons, SMS/WhatsApp credits and on-site training are often charged separately, so ask for a full quote.
It can handle appointments and billing, but most general clinic tools lack tooth-level charting, phased treatment plans and lab work tracking. If dentistry is your main work, choose software built for dental clinics or a clinic product that has a proper dental module.
Many products can store and display images, but a direct link depends on your sensor's software. Ask the vendor to show your specific RVG or OPG brand working with their system, not just an image uploaded by hand.

Cloud software lets you check schedules and reports from anywhere and moves backups to the vendor, but it needs a reliable internet connection.
