Business Email in India 2026: Zoho vs Google vs Microsoft

For most Indian businesses in 2026, the choice of business email comes down to three questions: do you already live in Google or Microsoft documents, how much mailbox storage each person really needs, and whether a low headline price will still hold at renewal. Google Workspace Business Starter is officially listed at ₹270 per user per month on Google's India pricing page. Microsoft 365 is the natural fit if your team works in Excel and Word desktop apps. Zoho Mail is the value option from an Indian vendor with several mail-only tiers. Titan and Rediffmail Pro are usually bought as low-cost mailboxes bundled with a domain or hosting plan. This guide compares them on official prices, storage, security controls and compliance with CERT-In and the DPDP Act.

Executive summary

• Price is only published clearly for some vendors. Google publishes INR per-user prices for India (Business Starter ₹270/user/month, Standard ₹1,080/user/month list). Microsoft publishes INR prices for Business Premium (₹1,830/user/month, paid yearly). The Zoho Mail, Titan and Rediffmail Pro pricing pages we could access did not show a readable price, so get a written quote before you compare.
• Storage differs more than price does. Google's Starter plan gives 30 GB per user and Standard gives 2 TB. Zoho's Mail Lite starts at 5 GB and Workplace Professional reaches 100 GB of mail storage. Pick the tier by how much storage your heaviest user actually needs.
• Email is your number one attack surface. CERT-In's April 2022 Directions require you to report listed cyber incidents within 6 hours and keep ICT logs for 180 days within India. So audit logs, retention and admin controls matter as much as the inbox itself.
• Suites beat mail-only plans once you need documents and meetings. If a team already pays separately for storage, video meetings and office apps, a suite plan is usually cheaper overall than a mail-only plan plus add-ons.
• Migration costs more than licences in year one. Moving mailboxes, updating MX/SPF/DKIM/DMARC DNS records and training staff take real effort. Plan for it in the total cost of ownership.

Market context

Business email in India now sits inside a regulatory framework, not just an IT preference. Three primary sources shape how you should buy.

First, the CERT-In Directions of 28 April 2022, issued under Section 70B(6) of the Information Technology Act, apply to "service providers, intermediaries, data centres, body corporate and Government organisations". Body corporate includes ordinary private companies. The Directions require three things. You must report listed cyber incidents to CERT-In within 6 hours of noticing them. You must keep logs of all ICT systems securely for a rolling 180 days within Indian jurisdiction. And you must sync system clocks with NIC or NPL NTP servers, or servers traceable to them. Compromised email accounts and phishing are typical incidents a small company will face, so your email platform's logging and export features directly affect whether you can comply. CERT-In also publishes FAQs on the Directions.

Second, the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025 make you, as a data fiduciary, responsible for reasonable security safeguards over personal data. Mailboxes are full of personal data: customer names, phone numbers, CVs, invoices. The Government's press release on the DPDP Rules describes an 18-month phased compliance timeline, which gives SMEs time to put access controls and breach processes in place.

Third, vendor packaging has changed. Google's India pricing page now lists a lower-cost Base plan (20 GB pooled storage per person, up to 20 users) alongside Starter, Standard and Enterprise (Google Workspace pricing). Microsoft lists INR prices for Business Premium and Defender for Business on its India Defender for Business page. Zoho's Mail pricing page splits mail-only plans (Mail Lite, Mail Premium) from Workplace bundles.

We have not found an authoritative government or regulator dataset on business-email market share in India, so we do not quote one. Qualitatively, Google and Microsoft dominate among companies that want a full productivity suite. Zoho has strong traction with Indian SMEs that already use Zoho Books or Zoho CRM. Titan and Rediffmail Pro are most often sold through domain and hosting resellers.

Evaluation framework

This is App Advisor's methodology for business email. We weight criteria by how much they affect total cost and risk for a 10–200 person Indian company.

Vendor comparison

Prices below are copied from official vendor pages as accessed in September 2026. If a page did not show a readable price, we say so rather than repeat reseller figures. Prices exclude GST unless the vendor says otherwise.

How to read this table:

• Google Workspace Business Starter is the benchmark most Indian SMEs compare against. You get Gmail on your domain, 30 GB per user, Meet and Docs. Its weakness for regulated teams is that deeper retention (Vault) and advanced endpoint management sit in higher plans.
• Microsoft 365 makes sense when staff need desktop Office apps, Excel-heavy finance workflows or Teams. Business Premium adds Intune device management and Defender. For many SMEs that means one licence can replace a separate antivirus. See our cybersecurity guide for Indian SMEs.
• Zoho Mail separates mail-only tiers from Workplace bundles. That suits companies that only need email for part of the workforce, such as factory supervisors or field staff. Zoho's Mail Premium plan explicitly includes retention storage, which helps with eDiscovery requests.
• Titan and Rediffmail Pro are low-friction options if you bought your domain from a reseller that bundles them. Before you commit, confirm the renewal price, admin logging, and whether MFA can be enforced for every user.

Questions to put to every vendor before signing

1. What is the renewal price per user after the first term, and is it fixed in the order form?
2. Can MFA be enforced for every account from the admin console, including the owner account?
3. How long are sign-in and admin audit logs kept, and can they be exported to storage in India for 180 days?
4. In which region is mailbox data stored, and can that be written into the contract?
5. What migration tooling is included, and who performs the MX cut-over?
6. What is the attachment size limit and the daily sending limit per user?

Total cost of ownership

Illustrative model — assumptions stated. A 25-person Indian trading company moving from free webmail to a business domain. The assumptions are:

• 25 users. 20 need light email plus shared documents; 5 managers need larger mailboxes.
• Prices are the official list prices above, excluding GST. Vendors whose price was not readable are shown as a formula, not a number.
• One-time migration effort: 40 hours of an internal or partner IT person at an assumed ₹800 per hour, i.e. ₹32,000. This is our assumption, not a vendor figure.
• Annual admin effort: 2 hours per month at the same assumed rate, i.e. ₹19,200 per year.

What the model shows:

1. Licences are only about 60% of year-one cost in Option A. Migration and admin time are material.
2. Upgrading only the users who need it (Option B) adds ₹48,600 a year in this example. Upgrading all 25 to Standard at list price would add far more. So tiering by role is the main cost lever.
3. A mail-only vendor looks cheaper only if you do not also need documents, storage and meetings. If you do, add the cost of those tools before comparing.

Do not forget renewal. Promotional prices shown on vendor pages (Google's first-3-months Base discount, for example) do not last.

Implementation roadmap

Weeks 1–2: Decide and prepare

• Inventory mailboxes, aliases, shared inboxes and total storage used.
• Pick plan tiers per role, not one tier for everyone.
• Confirm who controls the domain's DNS. Lost registrar logins are the most common delay.

Weeks 3–4: Configure security before users arrive

• Set up admin accounts with MFA and break-glass (emergency access) credentials kept offline.
• Publish SPF, DKIM and DMARC records. Start DMARC at p=none with reporting, then tighten.
• Turn on audit logging and decide how to keep 180 days of logs to satisfy CERT-In. Export them if the plan's native retention is shorter.
• Synchronise the time zone and NTP settings on on-premise systems that forward logs.

Weeks 5–6: Migrate

• Pilot with 3–5 users, including one heavy mailbox.
• Use the vendor's migration tool (IMAP or Exchange) in batches, and change MX records during a low-traffic window.
• Keep the old system read-only for at least 30 days.

Weeks 7–8: Stabilise

• Train staff on phishing reporting and shared calendars.
• Enforce MFA for 100% of users. Disable legacy protocols (POP/IMAP basic authentication) where the plan allows.
• Document the incident response contact list, including CERT-In's reporting email (incident@cert-in.org.in, per the Directions).

Risks and compliance checklist

• CERT-In 6-hour reporting: a named person knows how to report a mailbox compromise to CERT-In within 6 hours.
• 180-day logs in India: sign-in and admin audit logs are kept for a rolling 180 days within Indian jurisdiction, or exported to storage that meets this.
• NTP sync: systems that generate logs use NIC/NPL NTP servers or servers traceable to them.
• DPDP Act: a data processing agreement with the email vendor is in place; access to mailboxes with customer or employee personal data is restricted; you have a breach-notification process.
• Data residency: if contracts or sector regulators require data to stay in India, get written confirmation of the region where mailbox data is stored. Do not assume.
• MFA enforced for every user, including the owner and the accounts team.
• SPF, DKIM and DMARC published and monitored.
• Offboarding: leavers' mailboxes are suspended the same day and data is kept per policy.

KPIs to track

How to choose

• Choose Google Workspace if your team collaborates in the browser, works on Android phones and wants simple administration. Start with Business Starter and upgrade only users who need more storage.
• Choose Microsoft 365 if desktop Excel, Word and Outlook matter, or if you want device management and endpoint security under one licence (Business Premium).
• Choose Zoho Mail or Zoho Workplace if you use Zoho's business apps or want mail-only seats for part of the workforce. Ask Zoho for a written INR quote.
• Choose Titan or Rediffmail Pro for very small teams that want a basic domain mailbox, but check MFA, logging and renewal terms first.
