What Zoho CRM offers a small practice

Zoho's pricing page lists a Free edition for 3 users with contact management, workflow automation, tasks, meetings and calls, and standard reports. Paid editions are Standard at ₹800 per user per month and Professional at ₹1,400 (per the vendor's pricing page, checked October 2026). The Standard edition's feature list on that page includes HIPAA compliance, along with data capture via forms and multiple sales pipelines.

For a clinic, that means a free or low-cost way to run a simple patient pipeline: Enquiry, Appointment booked, Visited, Treatment plan given, Follow-up due. A web form on your site feeds it; a task reminds the receptionist to call.

Zoho CRM is a general sales CRM, so you configure the healthcare vocabulary yourself. That is fine for a single-location practice, but it needs one person who enjoys setting it up.

Record a decline reason every time. Patterns such as "wanted a second opinion" or "cost" become your marketing and pricing inputs.

Handling patient data carefully

Healthcare data is sensitive. A few practical rules:

  • Keep clinical details in your records system. In the CRM, store contact details, the service enquired about and follow-up dates.
  • Limit who can see what. A front-desk user does not need the full list of every patient's treatment notes.
  • Get consent for WhatsApp and SMS reminders and record it.

Also decide who reads the reports. A doctor-owner rarely wants a dashboard of twenty charts. Three numbers are enough to start: enquiries received, appointments booked, and patients who came back. If a tool cannot show these three simply, it is the wrong tool for a small practice.

Who it is not for

If you only see walk-in patients and rarely get phone or online enquiries, a CRM adds little. If you need a prescription pad and billing, you need clinic management software first. And if nobody on your team will own follow-ups, no tool will fix that.

  • Can an enquiry from a Google or Meta ad land directly in the system?
  • Can a reminder go out by WhatsApp, and how is consent recorded?
  • Can doctors or coordinators be given different views?
  • What does the vendor say about data security and where data is stored?
  • What happens to your data if you leave?
