Quick answer: Full and final (F&F) settlement is the last payroll for an exiting employee: pending salary, leave encashment as per policy, reimbursements, minus notice recovery, loans and other dues. Payroll tools automate it by pulling attendance, leave and loan data automatically. greytHR, Zoho Payroll and Pocket HRMS all list F&F settlement.
What an F&F settlement involves
F&F is the closing statement between company and employee. The usual components, which depend on your policy, contract and applicable law, are: salary up to the last working day; leave encashment if your policy allows it; reimbursements due; bonus or incentive due; deductions for notice-period shortfall, loans, advances and unreturned assets; tax deducted at source; and, where applicable, statutory items such as gratuity. Do not assume any component applies; list the ones in your own offer letter and policy, and have your accountant confirm statutory treatment.
Why it goes wrong by hand
- The last working day is disputed, so proration is argued over.
- Leave balance in the sheet differs from what the employee believes.
- Advances and loans are tracked by someone who has since left.
- Asset recovery is not linked to payroll, so deductions are forgotten.
- Settlement is calculated outside payroll, so tax and statutory effects are missed.
- Payment drags on, and the employee's experience of the company ends badly.
All six are data problems. They disappear when the exit, leave, loan and asset records live in the same system as payroll.

A step-by-step exit workflow you can automate
- Resignation or termination recorded. Notice period and last working day set, approved by manager and HR.
- Exit checklist triggered. IT access, assets, library or locker items, knowledge transfer; each with an owner.
- Leave and attendance frozen at the last working day; leave balance verified by the employee.
- Dues collected. Loans, advances, pending reimbursements, notice shortfall.
- Settlement draft calculated by payroll with all components itemised.
- Review and approval by HR and finance.
- Payment and documents. Settlement statement, relieving and experience letters, and Form 16 or the tax statement as applicable.
- Close the record. Revoke access, archive data, and update statutory records.
Timeline and communication
Decide a standard turnaround for settlements and publish it in your exit policy. Employees remember how the last month felt. Send the settlement statement as a clear itemised sheet, so they can see how each number was reached. If anything is disputed, hold only the disputed amount, not the whole payment, where your policy and law allow.
Reviewing the draft: a five-minute check
Compare the settlement with the last payslip; confirm the last working day; check leave balance against the leave record; confirm all recoveries have an approval or document; verify tax treatment with whoever signs off tax. A second person should always review.
Rolling out F&F automation
If you have few exits, start by using the tool only for exits: a single process, with a template for the settlement statement. In the first quarter, handle each exit with an old-method shadow calculation for comparison. Once the numbers match three times, retire the shadow.
When to get professional help
Disputed terminations, gratuity questions, non-compete or notice-recovery disputes and exits of senior executives should involve legal counsel. Software calculates; it does not decide entitlements. For the wider payroll process see run monthly payroll in one day, and for statutory setup see automating PF, ESI and PT. Compare more in payroll software and HRMS software.
Handling the awkward exits
Absconding employees. Document attempts to contact them and follow your policy and legal advice before settlement. Employees who owe more than they are owed. The settlement may be negative; the recovery process and any legal limits on deductions need advice. Exit during a payroll cycle. Decide whether the exit settlement is processed with the monthly run or separately, and keep that rule consistent. Senior leavers with deferred pay or stock. These are rarely handled well by standard payroll tools; plan for manual calculation reviewed by finance and legal.
Records to keep
Keep the signed resignation or termination, the approved last working day, the exit checklist, the final leave balance, the settlement computation and proof of payment. Link them to the employee record so any later query can be answered in minutes. Retention periods are set by law and policy; confirm them with your advisor.
Setting up the F&F template once
Create a standard settlement statement showing each earning and deduction with its basis. Include the last working day, leave days and rate used, notice days shortfall, reimbursements, loans and the net payable. Agree who approves in HR and finance, and what threshold triggers a second approval. With a template in place, each exit takes less effort and every settlement looks consistent, which reduces disputes.
Communicating with the leaver
Tell the employee early what the process is, what documents they will receive and by when. Share the settlement computation before payment where your practice allows, so questions arrive before money moves. Keep the tone factual and courteous; a fair, quick settlement is good for your employer brand and for references you may later give or receive. If your tool supports it, let the exiting employee view the settlement statement and download documents from the self-service portal.
Lastly, review your exit process once a year. Look at average settlement turnaround, number of disputes, and recurring errors. Each repeated error points to a missing field, a missing approval or a policy that needs rewriting, and fixing the root is cheaper than correcting every settlement.
If you hire in volume or have regular attrition, measure the effort: hours spent per settlement before and after automation. The comparison is your own evidence for whether the tool is paying for itself, far better than any vendor claim.
