Software covered in this blog

Quick answer: Indian gyms that want published rupee pricing should look at FitGymSoftware (₹6,999 to ₹19,999 plus taxes, with a 3-day free trial) and GymOwl. GGMS offers a free demo. Studios that run many classes, such as yoga or CrossFit, may prefer Wellyx, Zen Planner or PushPress, but those are priced in dollars. Whatever you pick, test renewals, biometric consent and WhatsApp reminders first.

How we researched this: We read the pricing and product pages of each gym software vendor named below and the text of the Digital Personal Data Protection Act, 2023 as published by MeitY. Prices are as shown in October 2026, taxes are extra unless the vendor says otherwise, and dollar prices are shown in dollars because converting them would mean inventing an exchange rate.

What a gym really needs the software to do

A gym is a recurring-revenue business with a leaky funnel. People enquire, take a trial, join, drift away, freeze a membership and sometimes return. The software earns its fee at four moments: when an enquiry is followed up, when a joining is billed, when a renewal is chased and when a lapsed member is re-contacted. Features that do none of those are decoration.

The vendor pages we read describe those moments in different words:

  • Enquiry to trial to joining. GymOwl lists prospect management, trial tracking and enquiry-to-conversion analysis; GGMS lists lead and enquiry tracking; Wellyx lists lead management and sales funnels.
  • Billing and packages. FitGymSoftware says it automates billing, class scheduling and membership management; GymOwl's page lists package management, billing and POS sales, and membership upgrade, freeze, transfer and date changes.
  • Renewals. GGMS lists renewal and expiry reminders and dues tracking, and FitGymSoftware lists membership expiry notifications and payment alerts by WhatsApp.
  • Access control. FitGymSoftware describes biometric check-in and check-out as 24/7 access control; GGMS lists QR codes and biometric devices for attendance; GymOwl mentions turnstile integrations.

Before any demo, write down your own numbers for each moment: how many enquiries a month, how many convert, how many renew. You will not find them on a vendor page, and without them you cannot tell whether a 20% better renewal rate is worth ₹5,000 or ₹50,000.

Published prices, side by side

SoftwarePublished price (October 2026)Notes
FitGymSoftware₹6,999 half-yearly, ₹11,999 annual, ₹19,999 for 2 years, all plus taxesPage says all three plans include the same features; 3-day free trial, no card; claims 1200+ gyms
GymOwlTwo yearly plans shown at 17999/- and 22999/-, each beside a higher figure (21999 and 24999)The page does not label which figure is the current price, so confirm in writing; a third plan has no price
GGMSNot published"Start with a free demo"; claims 1,000+ gyms served
WellyxUS$99 (Excel), US$199 (Exceed) or US$299 (Ultimate) per monthPage offers 50% off for the first 12 months for new studios and a "Try for free" button; feature list includes WhatsApp, SMS, email and push messages
Zen PlannerStudio from US$99 a month; website from US$99; Engage marketing from US$249; branded app US$39 a monthPage says you pay only for active members, never staff or prospects
PushPressFree (US$0), Pro US$159 a month, Max US$229 a monthCard processing rates listed in US dollars; page says to contact sales for international pricing
GlofoxQuote formNo price shown on the page we could read

Vendors also earn their fee in different ways, which changes what "cheap" means. FitGymSoftware and GymOwl charge a flat fee per period, so your bill does not move when membership grows. Zen Planner says you pay only for active members, so the bill follows your headcount. PushPress charges no monthly fee on its Free plan but a higher card processing rate: 4.99% plus 30 cents on cards, against 2.89% plus 30 cents on Pro and 2.75% plus 30 cents on Max, per its page in US dollars. Using only those published rates, Pro's US$159 monthly fee pays for itself once you take roughly US$7,500 a month by card (US$159 divided by the 2.10 percentage-point saving), and Max costs US$70 more than Pro for a 0.14 point saving, which breaks even only at about US$50,000 a month of card volume. That arithmetic ignores ACH, taxes and currency, so rerun it with your own volume.

Two lessons from the table. First, the cheapest rupee plan, FitGymSoftware's annual price, works out to about ₹1,000 a month, while GymOwl's published yearly figure of ₹17,999 is about ₹1,500 a month; the difference would need to buy you a feature you will actually use. Second, dollar-priced tools carry two costs a rupee tool does not: exchange rate risk and uncertainty about payment methods. Ask each one whether it supports UPI, rupee cards and GST invoices before you start a trial. We saw no India-specific payment information on their pricing pages, and PushPress states its rates in US dollars with a separate route for international pricing.

Biometric attendance, QR codes and the DPDP Act

Biometric and QR check-in solve a real gym problem, members sharing a card, but they also create personal data that you are responsible for. The Digital Personal Data Protection Act, 2023 sets four rules that matter here.

  1. Consent must be specific. Section 6(1) says consent must be free, specific, informed, unconditional and unambiguous, signified by a clear affirmative action, and limited to the personal data necessary for the specified purpose. Its illustration describes a telemedicine app that also asked for a contact list; consent to the unnecessary part is limited out. For a gym, a joining form that bundles biometric capture, photo marketing and WhatsApp promotions in one tick box is not specific.
  2. Withdrawal must be as easy as giving consent. Section 6(4) says withdrawal must be comparable in ease to giving consent.
  3. Security and breach notice. Section 8(5) requires reasonable security safeguards, and Section 8(6) requires intimation to the Board and affected people in the event of a data breach.
  4. Erasure. Section 8(7) requires erasure when consent is withdrawn or when it is reasonable to assume the purpose is no longer served, unless law requires retention. A member who has left and stopped using the gym for a long period is a candidate.

PIB says the DPDP Rules, 2025 give organisations an eighteen-month phased compliance period from their November 2025 notification, which is why this belongs in a 2027 buying checklist. Ask each vendor where biometric templates are stored, whether they stay on the device at your gym or go to the cloud, how a member's data is deleted when they leave, and whether the contract names the vendor as your data processor with deletion duties.

Class booking for yoga studios and fitness clubs

A gym sells access; a yoga studio sells a seat in a class. The software test is different: capacity, waitlists, passes and teacher pay.

  • GGMS lists class booking, batch scheduling and trainer management along with a member app and multi-branch management.
  • Wellyx lists class bookings, event and course bookings, personal training appointments, dynamic waitlists, a strike system and no-show fees, and class commission for staff pay.
  • Zen Planner lists class scheduling and booking, attendance tracking, belt and skill tracking, and advanced workout tracking.
  • PushPress says its members app lets members register for classes, update details and make purchases, and offers a workout tracking add-on.

Run three yoga-specific tests during a trial: a class with a fixed number of mats and a waitlist that fills automatically when someone cancels; a ten-class pass shared across two teachers' classes; and a late-cancel rule that charges or deducts a credit. For fitness clubs that want members to log workouts, check whether tracking lives inside the main app or needs a separate add-on, as it does on PushPress. If you also run a salon or spa, see our salon booking software guide for the appointment-led model.

CRM for gyms: follow-up that actually happens

A gym's first CRM is a list of enquiries and a person who calls them. A tool helps when it assigns follow-up tasks, records trial attendance and nudges an unconverted prospect on WhatsApp. FitGymSoftware says members can receive automated reminders and alerts by WhatsApp, and Wellyx lists WhatsApp, SMS, email and mobile push communication and an automation centre. GymOwl's page lists automated SMS and email on its first yearly plan. Zen Planner sells its Engage marketing automation as a separate package from US$249 a month, with lead capture and follow-up workflows.

If your gym already uses a general CRM for sales calls, our guide to gym and fitness studio management software and our notes on WhatsApp follow-up automation explain where a CRM ends and a gym tool begins. For recurring dues, our guides to recurring billing for service businesses and UPI AutoPay versus e-NACH cover how monthly fees can be collected automatically.

A rollout plan and who should wait

Use this twelve-point list in every demo, and ask the vendor to perform each step live:

  1. Add a member who joins mid-month and check the pro-rated first bill.
  2. Freeze a membership for two weeks and confirm the end date moves.
  3. Transfer a membership to a family member.
  4. Sell a package with a personal trainer and split the commission.
  5. Collect part payment now and the balance next week.
  6. Let a plan lapse and see which reminder goes out, on which channel, and when.
  7. Check a member in by QR or biometric and then try a lapsed member at the same gate.
  8. Book a class, fill it, and let the waitlist promote someone.
  9. Pull a report of enquiries by source and the percentage who joined.
  10. Export the member list to Excel.
  11. Delete a member and confirm what happens to their biometric data.
  12. Show the price for year two in writing.

Choose a start date at the start of a month so renewals are clean. In the first week, clean your member list in Excel: one row per member, phone numbers with country code, plan, start and end dates and any dues. In the second week, run the software next to your register; compare counts at day end. In the third week, switch on automated renewal reminders, and in the fourth, move to the member app and online booking. FitGymSoftware's 3-day trial is short, so prepare a sample file of fifty members before it starts and test billing, freeze, transfer and a renewal on day one.

A single-room gym with fewer than a few dozen members may do fine with a spreadsheet and a WhatsApp group for a while, and a trainer who works only one-to-one may prefer a coaching app. Do not buy biometric hardware before you have chosen the software, because device compatibility is the vendor's decision.
