Software covered in this blog

Quick answer: Schools and colleges need HR software that handles teaching and non-teaching staff, contract and visiting faculty, leave across campuses, and payroll with PF, ESI and TDS. greytHR publishes education-specific guidance and clear plans, Zoho People suits institutions already on Zoho tools, and Kredily offers a free plan that fits small schools. Match the tool to staff count and number of campuses. Check calendar-year leave cycles and contract-staff pay in a trial.

What makes an educational institution different

A school or college looks like a business on paper but behaves differently. Staff fall into groups that follow different rules: full-time teachers, non-teaching staff, visiting faculty paid per lecture, contractual lab assistants, hostel and transport staff. Leave follows the academic calendar, not the financial year, and summer or winter breaks change attendance and payroll patterns. Larger trusts run several campuses under one management.

The common pain: leave records in registers, salary sheets rebuilt every month, teacher onboarding on paper, and nobody can quickly answer how many substitute periods were taken last quarter.

greytHR's own list of education hurdles

greytHR's blog on HR hurdles in education names six problems and how it responds:

  1. Recruitment: manual processes make consistent records harder; it digitises candidate tracking and hiring workflows.
  2. Retention: payroll errors, limited development and inconsistent processes affect teachers; it offers payroll, self-service, recognition and feedback.
  3. Training and development: onboarding workflows for teachers and administrative staff, goals and reviews.
  4. Attendance and leave: consistent tracking across permanent, contract and temporary staff, connecting time tracking, leave and payroll inputs.
  5. Documentation: paper records centralised.
  6. Workforce communication: employee portals, announcements, notifications and policy libraries for multi-campus institutions.

It is a vendor's blog, so read it as a checklist rather than evidence. It is still a handy way to structure your requirements.

Tool by tool

greytHR. The homepage lists payroll, attendance, leave, performance, expense claims, employee self-service (payslips, leave balances, Form 16, tax declarations) and statutory computation of PF, ESI, PT, LWF and TDS. Optional add-ons include Performance Management and Time Sheets.

Zoho People. The homepage lists leave, time and attendance, performance evaluation, an HR helpdesk and custom onboarding workflows, and claims "50K+ businesses" and "1M+ users". Its self-service article lists leave, attendance, clocking with geo-restrictions, documents, policies and announcements. Its pricing page (checked October 2026) lists a Free edition for up to 5 users and paid editions called Essential HR, Professional, Premium and Enterprise with a minimum of 5 users; read the rupee price for your headcount on that page. Zoho People Attendance is listed separately for attendance-first buyers.

Kredily. The homepage and pricing page (checked October 2026) show a free forever plan for unlimited employees with core payroll, HR, attendance and leave, Payroll OS at ₹1,249 per month for up to 25 employees (then ₹50 each), Professional at ₹1,749 (then ₹70 each) with GPS and selfie attendance and expense workflows, and a custom Enterprise plan. Handling the odd staff groups

  • Visiting faculty paid per lecture. Check whether the tool can pay on a unit basis, using timesheets or manual inputs. Neither vendor's website confirmed per-lecture pay, so test it. A workaround is a monthly input file.
  • Academic calendar. Set leave years and holidays to the school calendar; confirm the tool allows leave cycles different from April-March.
  • Vacation pay and contract end dates. Teachers on contract may be paid through summer or not; configure rules before payroll starts.
  • Exam duty and invigilation allowances. Treat as variable pay components uploaded monthly.

A sample set-up for a 120-staff school

  1. Create departments by wing (primary, secondary, administration, transport).
  2. Define staff types: permanent teaching, permanent non-teaching, contract, visiting.
  3. Set leave policies per type, with the calendar year matching your session.
  4. Capture attendance via biometric or mobile and keep the register for a month as a cross-check.
  5. Add payroll components: basic, allowances, PF, ESI where applicable, PT and TDS.
  6. Publish ESS access to teachers and run the first payroll in parallel.

For attendance, many schools use biometric devices at the gate or staff room; confirm your device is supported. See attendance software if attendance is the main pain.

Rollout plan

  • Month 1 (before the term starts): data cleanup and policy definitions. Avoid starting in exam season.
  • Month 2: parallel run for one payroll cycle.
  • Month 3: switch over, then add self-service and performance reviews at term end.

Training: teachers are not HR users. A one-page guide with screenshots on payslips and leave application is usually enough.

Practical notes for school and college administrators

Start after the session starts, not before exams. Teachers are busiest at admissions and exams. Plan the cut-over for a quiet payroll month and keep the old method running for one cycle.

Document your pay rules in plain language. Many institutions run on practice, not paper: which allowance applies to which grade, how substitute classes are paid, how summer is handled for contract staff. Write them down before configuring any software; the exercise often reveals inconsistencies worth fixing.

Give principals a simple view. Heads of institutions want three numbers: who is absent today, who is on leave this week, and how many substitute periods are needed. Check that the dashboard can show this without HR running a report.

Keep trust-level reporting in mind. Managing committees ask for staff cost by department and campus. Make sure cost centres are set up from the start, because reorganising them later affects old records.

Protect staff data. Teachers' personal and bank details are sensitive. Assign access by role, and let only payroll staff see salary data.

Cost and ownership

Education budgets are tight, so list the real cost for your headcount: per-employee fees, add-ons for attendance or performance, and any implementation fee. A free plan like the one on Kredily's pricing page can be enough for a small school, while larger institutions usually pay for statutory depth and support. Make the administrative officer or accounts head the system owner, with the HR coordinator as backup, and agree on who approves leave for each staff group. Review the setup each academic year, when staff, sections and leave rules change.

Who this is NOT for

  • Large universities needing full ERP integration with student systems. These tools address HR and payroll; integration with an ERP needs scoping.
  • Very small playgroups with a handful of staff, where a spreadsheet and bank transfer suffice.
  • Institutions with trust-specific accounting rules that need an auditor's sign-off before changing payroll process.

What to check before buying

  • Calendar-year leave cycles and holiday lists per campus.
  • Payroll for visiting and contract staff.
  • Statutory coverage in your state.
  • Approval chains across departments and campuses.
  • Mobile access for teachers.
  • Total cost including add-ons and per-employee charges.

The academic-year calendar: what to run when

An institution's HR work follows the session, not the financial year. Plan the software around these moments.

MomentHR taskWhat to check in the tool
Before the session startsContracts for new and visiting staff, leave balances resetLeave year matches your session; holiday list per campus
Admissions and first termStaff onboarding, timetable-linked leaveSubstitute cover recorded against absent teachers
Exam periodsInvigilation and evaluation dutyDuty allowances loaded as monthly variable pay
VacationsContract staff pay rules, leave encashment if applicableSeparate rules for permanent and contract staff
Results and appraisalReviews, increments, retention talksAppraisal cycle dates and approval chain
Session closeExits, full-and-final, handover of recordsExit checklist and final settlement process

Keep one page per row with the rule, the approver and the date. New administrators then inherit a calendar instead of someone's memory, which matters in institutions where staff change often.
