Why leave disputes happen

Almost every leave argument comes from one of four causes. The policy was never clear ("is Saturday counted?"). Balances were kept in a sheet that two people updated differently. Approvals happened on WhatsApp and nobody can prove them. Or the leave data did not reach payroll, so loss of pay was calculated by someone's memory. Software fixes all four, but only if you first decide the rules. A tool cannot choose your sandwich-leave policy; it can only apply it consistently.

Write the policy before you configure anything

Make one page covering: leave types (casual, sick, earned, comp-off, maternity and others you offer); how each accrues (monthly, yearly, upfront); carry-forward and lapse rules; whether holidays and weekends inside a leave period count; notice and approval levels; and what happens to leave without pay. Add regional holidays, because a Pune office and a Bengaluru office do not share one list. Then compare the tools against that page, not a feature list.

What each tool offers

Zoho People. Its leave pages say you can create leave types for specific locations, roles or departments; start from preconfigured policy templates; run accruals based on days worked within set intervals; give leave grants outside usual entitlements; and keep a central gallery of standard and region-specific holiday lists. It lists leave reports for balances, resource availability, the Bradford score and loss of pay, calendar sync with Office 365 or Google Calendar, and email and push notifications for requests. Kredily. Its leave page states 50+ policy controls, including accruals, carry-forward, sandwich rules and state-wise holiday calendars, and says balances stay payroll-accurate without month-end reconciliation, with loss-of-pay flowing into payroll. Kredily states a Free Forever plan covering core HR, payroll, attendance and leave for unlimited employees; paid plans listed are Payroll OS at ₹1,249/month (up to 25 employees) and Professional at ₹1,749/month (checked October 2026). Timetastic. A simple absence tool: employees request leave, managers approve, a wall chart shows who is off, and allowances are tracked. It lists Slack approvals and a rota and time clock. Pricing per its site is £1.20 per employee per month (Business) and £2.00 (Pro) (checked October 2026), plus a free trial. It is based in the UK and its pricing is in pounds; confirm Indian holiday calendars and payroll hand-off before choosing it.

LeaveBoard. Its site lists automated leave tracking, custom time-off policies and accruals, an employee self-service portal, a who-is-off calendar, public holidays and custom work schedules, and payroll exports. The vendor's website lists no prices; it says to start free with no credit card.

What changes once leave is in software

  • Employees see their balance before applying, which removes most "how much leave do I have" questions.
  • Managers see team capacity on a calendar, so two key people cannot be off during a deadline without someone noticing.
  • Payroll takes leave and loss-of-pay from the same record, so deductions match what was approved.

Rollout in three weeks

Week 1. Finalise the one-page policy; load employees, locations and holiday calendars. Week 2. Load opening balances as of a fixed date, signed off by each department head; run with a pilot team.   1. Importing balances you have not reconciled. Disputes will move into the software.
  2. Creating a leave type for every exception. Use grants for one-offs.

When not to buy a dedicated tool

Handling the tricky leave cases

Half-day and short leave. Decide whether your system counts half-days, and what happens when someone arrives late and leaves early. Comp-off. Define who can earn it, how long it is valid and who approves. Leave during notice period. Many companies restrict this; configure the rule so it is not argued case by case. Restricted or optional holidays. Zoho People lists restricted holidays that employees can choose; if your company offers them, check the tool supports it. Unapproved absence. Decide when it converts to loss of pay and who is notified. Long leave such as maternity or medical. Keep the rule documented, and consult your HR or legal advisor for statutory entitlements rather than configuring from memory.

Reports worth reading monthly

Leave balance liability, absenteeism by team, repeated Monday or Friday leave, and unapplied leave that is about to lapse. Choosing by company size

A ten-person agency can use a simple planner and a one-page policy. A 50-person services firm with two offices needs location-wise holidays and a payroll link, so loss of pay is not retyped. A 300-person company with several leave types and approval levels needs a full HRMS, where leave, attendance and payroll share one record. Pick the smallest tool that handles your trickiest rule, and check it handles that rule in the demo, not just in the brochure.

A simple escalation path for disagreements

Even with software, some disputes remain: a balance carried over from before the migration, a leave approved verbally, a holiday declared late. Publish a short route: employee raises it with the manager within a set number of days; HR checks the request log and policy; if unresolved, a named senior person decides, and the decision is recorded as an adjustment with a reason. A visible route, plus an adjustments log that anyone in HR can audit, prevents quiet exceptions from accumulating.

Finally, keep a record of policy versions. If you change a rule in July, the software should apply the old rule to leave taken before July. Ask each vendor how effective dates work, and test it with a changed accrual rule. Policy history is what settles an argument six months later.
