Cloud deployment avoids buying servers, and industry templates speed up setup. Keep customisation to the minimum, because every custom screen raises the cost and risk of future upgrades. ERP pricing in India follows several models: per named or concurrent user, per module, or a bundled edition, sold as a cloud subscription or an on-premise licence with annual maintenance. Many vendors distinguish full users from limited or read-only users. Implementation, customisation, data migration and training are normally quoted separately as project fees by the vendor or its partner.

Free and open-source ERPs exist, and some cloud vendors offer free tiers with a user cap and a few modules. The software may cost nothing, but hosting, implementation, customisation and support do. Send the vendor your own scenario before the ERP demo — a multi-level bill of materials, a job-work cycle, or an inter-state branch transfer — and ask them to run it live. GST support in an ERP must cover several GSTINs under one company, tax invoices with HSN or SAC, e-invoice IRN and QR generation at dispatch, e-way bills, job-work challans and returns, reverse charge, and GSTR-1 and GSTR-3B data. Purchase invoices should be matched with GSTR-2B before ITC is claimed. Stock transfers between branches in different states must be invoiced as taxable supplies.
Consider ERP alternatives when customisations block upgrades, support has weakened, licensing costs keep rising, or the system cannot handle new plants or entities. Switching ERP is a project in itself: plan data migration for masters, open transactions and balances, run a parallel period, and retrain staff. Straight affiliate programmes are less common in ERP than in smaller software categories, because deals involve long sales cycles and implementation. Some vendors pay referral fees for qualified leads that convert. Check what makes a lead qualified, how long attribution lasts, when payment is released, and how TDS is handled on referral income. Written agreements matter more here than in low-value categories.
Partner programmes are central to ERP. Partners sell, implement, customise and support the system for clients. Check certification and training requirements, revenue share on licences versus services, territory or industry restrictions, access to development and test environments, and the vendor's support for complex projects. Clarify responsibility if an implementation goes wrong. Also check the vendor's policy on partners building add-on modules.
ERP resellers sell licences and often bundle implementation and support services. Check your margin, pricing freedom, who raises the GST invoice, how renewals and additional users are handled, and your support obligations. Understand liability terms for failed or delayed implementations, since clients usually hold the reseller responsible first. Check too whether you may sell to clients outside an assigned territory or industry.

Timelines depend on scope, customisation and data readiness. A small firm using standard modules may go live in weeks, while multi-plant manufacturers often need several months. Clean master data, a fixed scope and a dedicated internal project owner are the biggest factors that keep a rollout on schedule.
Cloud ERP removes server management, allows access from any location, and usually has lower upfront cost. On-premise ERP gives more control and can suit companies with strict data policies or unreliable internet at plants. Compare the total cost over several years, including hardware, IT staff and upgrades, before deciding.
Most Indian ERPs support multiple GSTINs with separate invoice series and return data for each. Check how inter-branch stock transfers are invoiced, whether consolidated financial reports are available, and how ITC is tracked per GSTIN so returns can be filed separately for each state.
Failures usually come from unclear processes, excessive customisation, poor data migration and weak user adoption rather than the software itself. Involve department heads from the start, agree on standard processes before configuring, limit custom development and plan enough training so staff use the system instead of spreadsheets.
Most modern ERPs offer APIs or ready connectors for common CRMs, marketplaces and payment gateways. Check whether a connector exists for your specific tools, who builds and maintains custom integrations, and how errors in sync are reported so orders are not lost between systems.
Your contract should give you the right to export data in standard formats such as CSV or database backups. Check how long data remains available after termination, whether export is charged, and whether historical transactions, documents and audit logs are included.
