Quick answer: Pick Fireflies.ai if your team runs long calls or wants unlimited storage and conversation analytics: its Pro seat is $10 a month billed annually, and Business is $19. Pick Otter.ai if you want the lowest entry price: Pro is $8.33 a month billed annually, and its page shows a 50% offer valid only with an India-issued credit card. Otter caps a Pro meeting at 90 minutes, and the free plan at 30. Prices checked October 2026, in US dollars.
How we researched this: We read the pricing and plan-comparison pages of Fireflies and Otter, including their feature tables, FAQs and security statements. Facts are as checked in October 2026. We did not run test recordings, so we say nothing about transcript accuracy in Hindi, Marathi or any accent; the trial plan below shows how to test it.
Plans and prices side by side
Both vendors show prices in USD. Fireflies shows two numbers per tier, a higher one and a lower one, with the annual toggle labelled "Save up to 44%". Otter has separate Monthly and Annual views with "Prices in USD".
| Plan | Fireflies.ai | Otter.ai |
|---|---|---|
| Free | $0, "unlimited transcription" with limited AI summaries, 400 mins of storage per team | $0 (Basic), 300 monthly transcription minutes, 3 lifetime file imports |
| Pro | $10 per seat/month billed annually (the page also shows $18) | $8.33/user/month annual; $16.99 monthly |
| Business | $19 per seat/month billed annually (the page also shows $29) | $19.99/user/month annual; $30 monthly ($24 for 3 months) |
| Enterprise | $39 per seat/month, annual only | Custom, via a demo |
The Otter page also carries a footnote: "Offer valid only with an India-issued credit card". It marks Pro at $8.49 a month on the monthly view and $4.17 a month on the annual view, with the starred figure under the normal price. Treat the offer as a vendor promotion whose duration is not stated, and confirm at checkout what you will pay after any first period.
The limits that decide whether a plan works
Plan names hide the real constraints. These are the ones that bite in an Indian office.
Meeting length. Otter's comparison table gives a maximum transcription time per conversation of 30 minutes on Basic, 90 minutes on Pro, and 4 hours on Business and Enterprise. A monthly review of dealers, a plant operations call or a two-hour partner meeting will not fit on Pro. Fireflies lists a recording limit of two to four hours depending on the plan column in its table.
Minutes and storage. Otter Basic has 300 monthly transcription minutes per user and Pro 1,200 per user, with no rollover; Business and Enterprise list meeting and recording transcription as unlimited. Fireflies Free includes "400 mins of storage/team", Pro "8,000 mins of storage/seat", and Business and Enterprise unlimited storage. The Fireflies FAQ also says there are "no rate limits for using the meeting bot or chrome extension on a monthly basis", with rate limits on features like the API and bulk file uploads.
History. Otter's Basic plan keeps the "25 most recent" conversations; paid tiers list unlimited history. If you want to search for what a distributor promised last quarter, Basic will not keep it.
Seats. The Fireflies FAQ says "Any teammate you added in your Fireflies workspace would be counted as a seat" and offers volume discounts for plans above 50 members. Pay for people who will actually record, not everyone in the company.
What each tool adds: summaries, integrations and languages
AI summaries and search
Fireflies lists "Unlimited AI summaries" from Pro up, along with action items and a task manager, video recording, a personal assistant and an email assistant. Business adds multi-language mode, conversation intelligence and team analytics for admins. It supports Zoom, Google Meet, Microsoft Teams and more, offers real-time notes, and lets you record with a Chrome extension without the bot. The assistant, AskFred, answers questions across your meetings.
Otter's Pro tier lists advanced AI workflows, advanced meeting templates, team vocabulary, taggable speakers and "Unlimited storage". Business adds custom AI workflows, enhanced admin features such as activity logs and usage analytics, and the ability to join three concurrent meetings. Its table shows Max monthly queries for Otter AI Chat rising from 20 per user on Basic to 50 on Pro and 200 on Business. For capped features like that, ask yourself how often your team would really ask the transcript questions.
If these two do not fit, App Advisor's AI meeting assistants category lists others, including Fathom, Read AI and tl;dv. We have not read their pricing for this guide.
Integrations that matter for Indian teams
Fireflies' integrations page lists Zoom, Google Meet, Microsoft Teams, Webex and GoToMeeting for capture; Salesforce and HubSpot for CRM; Slack; and Zoom Phone, RingCentral and Aircall for phone calls. It also lists an option to get meeting summaries in WhatsApp and one to turn action items into Zoho Projects tasks, which will appeal to teams already on Zoho. Otter's integrations page lists Zoom, Google Meet and Teams, HubSpot, Asana, and call capture through Zoom Phone and RingCentral. It also describes a desktop app where "you can record with your headphones on and no bot in the meeting", on macOS 12.3 or later and Windows 10 or later. If your clients object to a bot joining their call, that bot-free mode is worth testing, though you still owe participants a notice.
Languages, Hinglish and what to test
Fireflies' page lists "Transcription in 100+ languages" among the Free plan features and Multi-Language Mode on Business. Otter's plan table lists "Multi-language support" on every tier. Neither pricing page names the languages in the text we read. For an Indian team that switches between English, Hindi and a regional language in one sentence, test with your own recordings. Take three 10-minute samples (a sales call in Hinglish, a plant review with technical terms, a customer call over a poor mobile connection), run each tool on all three, and count the corrections needed in the first page. Otter's custom vocabulary lists "5 terms" on Basic and more on paid tiers, which helps with product names and customer names. That is the setting to use for brand names like "Sundaram", "Tata Motors" or your own part numbers.
Sales calls: recording, summaries and CRM sync
For sales teams the question is what happens after the call. Fireflies Business adds "Conversation intelligence" and "Team analytics (for admins)", and Enterprise adds a rules engine, audit logs by API and custom data retention. Otter's comparison table steps its Salesforce or HubSpot sync allowance from 1 user to 5 users to unlimited as you move up the paid tiers, and Enterprise lists an "Otter Sales Notetaker", custom integrations for CRMs and dialers, and an API with webhooks.
Say a 25-person inside-sales team in Gurugram sells a B2B SaaS product through Zoom demos. Its managers want every demo summarised with next steps pushed to the CRM. On Otter, the per-tier user allowances for CRM sync start small, so check the exact allowance against your 25 users before choosing a tier. On Fireflies, Business gives managers analytics, and its integrations page lists Salesforce and HubSpot, which you should test in the trial. If your sales team is on an Indian CRM, check our guides to the best CRM software in India and call tracking CRM scoring, and note that phone calls (as opposed to video meetings) are better served by cloud telephony recording than by a meeting bot.
Privacy, consent and follow-through
Both tools usually join as a visible notetaker. That helps with consent, but you still need a firm rule. Otter's table lists a "Recording disclaimer email", a custom notetaker name and recording control permissions among its admin features; Fireflies' FAQ addresses customising the notetaker bot's name. Fireflies states that "Your data is never used for AI training or any purpose outside your direct business needs", which is a vendor claim to confirm in the contract; the same page lists SSO plus SCIM, audit logs and HIPAA compliance only on Enterprise. Otter's Enterprise tier lists SSO and SCIM, with a footnote that these need a "minimum 100-user license". For a company under 100 users, that line puts Otter's single sign-on out of reach.
Customer calls contain personal data. Tell participants at the start of a call that a notetaker is present, store transcripts only as long as you need them, and read our guide to DPDP Act compliance software for the consent and retention basics. Our AI tools for Indian SMBs guide has a policy template.
Turning notes into follow-through
A transcript that nobody acts on is only a storage bill. The habit that makes either tool pay for itself is a five-minute rule: the meeting owner reads the summary within a day, edits the action list so each item has one owner and a date, and posts it where the team already works. For many Indian teams that is a WhatsApp group or a task tool, so test the delivery route you will really use. Fireflies lists WhatsApp summaries and Zoho Projects tasks; for Otter you may need a Zapier-style connector, which its Pro plan lists. Our guide to Zapier, Make and n8n shows how to build that bridge without code.
What 10 and 25 users cost per month
List prices in US dollars, before tax. Neither page we read shows rupees.
A 10-person Mumbai recruitment agency recording candidate and client calls. Fireflies Pro: 10 x $10 = $100 a month on annual billing. Otter Pro: 10 x $8.33 = $83.30 on annual billing, or 10 x $4.17 = $41.70 with the India-card offer if it applies. Otter's 90-minute cap is fine for candidate screens, but not for client review meetings.
A 25-person Gurugram sales team with managers reviewing calls. Fireflies Business: 25 x $19 = $475. Otter Business: 25 x $19.99 = $499.75. The prices are within $25 a month, so the decision is about meeting length, CRM sync and admin controls, not cost.
Add the card conversion cost, and read our guide to claiming GST input credit on SaaS if you want to book the spend properly.
A two-week trial and who should skip this
Week one: pick two recurring meetings, connect the calendar, and record the same meetings in both tools. Compare summaries, action items and how many speaker tags are wrong. Week two: ask the people who attended to rate which notes they actually used, and have a manager search for a promise made in week one. Count minutes used against the plan limit, since Otter's monthly minute caps and Fireflies' storage caps are what you would hit first.
Skip meeting recorders if your calls carry client secrets you cannot share with a vendor, if nobody will read the summaries, or if the real gap is that nobody follows up on tasks, in which case look at a task tracker first. In-person meetings are not a reason to skip: Fireflies lists mobile apps and audio-file upload, and Otter's integrations page says it can "instantly record and transcribe in-person or virtual meetings".

Is Otter.ai free?
Otter's Basic plan is free with 300 monthly transcription minutes, a 30-minute limit per conversation and 3 lifetime file imports. Pro is $8.33 a month annual, or $16.99 monthly.
Which is cheaper, Fireflies or Otter?
On annual billing, Otter Pro at $8.33 is below Fireflies Pro at $10, and Otter's page shows a further offer for India-issued credit cards. At Business level they are close: $19 for Fireflies and $19.99 for Otter.
What is the best AI sales call recorder and summary tool?
It depends on the CRM and the meeting length. Both record Zoom, Google Meet and Teams calls. Compare the CRM sync allowance, the per-conversation time cap and the admin controls, and test with your own calls.
Can AI meeting notes work for Hindi?
Both vendors list multi-language transcription, but their pricing pages do not name Indian languages. Record a sample in your own mix of languages and check the output before buying seats.
