Routes, stops and fee slabs

The administrative core is straightforward: define routes and stops, allot students to a route and stop, and bill transport fees — usually by distance slab or zone. Where it gets fiddly is mid-year change: a family moves, a student switches from bus to private transport in October, or a route is split because a new colony has twenty children. Make sure changes are easy and that the fee is prorated correctly, because otherwise the office avoids making changes in the system and the data drifts.

Safety and compliance records

Keep driver and attendant records — licence, validity, police verification, medical fitness — in the system with expiry alerts, along with vehicle documents: fitness certificate, permit, insurance, PUC. Many states also require a female attendant on school buses and specific vehicle markings. Software will not make you compliant, but expiry alerts prevent the most common lapse, which is a document that quietly ran out.

Hardware and what it costs

GPS tracking needs a device per vehicle with a SIM and a recurring data or platform charge per vehicle per month. RFID boarding confirmation needs a reader per bus and a card per student. Price the devices, installation, SIM or platform charges and card issuance separately from the ERP licence, and ask what happens to tracking if the device SIM has no signal on part of the route.
