Quick answer: An insurance agent or financial advisor needs a CRM that stores clients with their policies or folios, fires reminders before renewal and SIP dates, and runs follow-up sequences without manual effort. On published prices, Zoho CRM Standard (₹800 per user per month, annual) includes cadences with email, call, task and WhatsApp steps; Sales Ninja MFD CRM lists ₹9,500 per user per year for mutual fund distributors; Vymo targets insurers and large distribution teams.
How we researched this: We read the pricing and help pages of Zoho CRM (including its Cadences documentation), HubSpot's sequences help, REDVision's Sales Ninja CRM page, EngageIQ and LeadSquared's insurance field-sales pages, TRAI's regulations, the WhatsApp Business Messaging Policy and the PIB note on India's DPDP Rules. Prices and limits are as of October 2026.
What a practice that sells policies or portfolios needs
A retail CRM is built around a one-off sale. Insurance and investment advice are relationship businesses where the first sale is the start of a decade of renewals, top-ups and referrals. That changes the checklist.
- A household view. One screen per family: the client, spouse, children, parents, and every policy or folio linked to them. Without it, an agent sells a second term plan to someone who already has one.
- Dates that drive work. Premium due dates, policy anniversaries, SIP dates, maturity dates, birthdays. Each date should create a task and a reminder, not sit in a column.
- Policy or portfolio fields. Insurer, plan, sum assured, premium, mode, nominee, KYC status. This matters for plan choice: Zoho's comparison page shows 10 custom fields per module on Standard, 155 on Professional and 300 on Enterprise, while custom modules number 10, 25 and 200. A Policies custom module with its own fields is the usual workaround on Standard.
- Follow-up sequences. A new enquiry should get a call task, a WhatsApp message and an email over two weeks without anyone remembering to send them.
- Proof of consent. Who agreed to be contacted, on which channel, when.

The tools, with what their pages say
| Tool | Fit | What the page lists | Price (as checked) |

Four points from the table deserve explanation.
Sales Ninja is the only one built for mutual fund distributors. REDVision's page lists "Investor lifecycle & relationship management", a "Document vault & investor profile history", SIP and lumpsum opportunities tracked by stage, and "investor & portfolio sync" through a Wealth Elite integration. It does not list a free trial but offers a demo. If your practice is mutual funds, ask for the demo first and check how the Wealth Elite sync works with your back office.
Zoho Standard is the cheapest route to real sequences. Zoho's Cadences documentation describes module-specific follow-up sequences with email, task, call and WhatsApp steps. A Standard plan allows 20 cadences per module, 10 active at a time, with up to 18 follow-ups each.
HubSpot gates sequences behind Professional. HubSpot's help says sequences are available with Sales Hub or Service Hub Professional or Enterprise, need an assigned seat, and send from an individual connected work email; a team address in the inbox cannot send sequence emails.
Vymo suits organisations, not individuals. EngageIQ's page is addressed to "Insurance Leaders" and describes dashboards, lead routing to the producer most likely to close, and renewal nudges, with integrations for tools such as Salesforce and D365. A single agent will not need it; a bank's insurance desk or a broking firm with hundreds of producers might. Our Vymo coverage in the field-team guide goes into its mobile features.
Most agents work from their phones between client meetings, so test the mobile app as hard as the desktop. LeadSquared's page says its field app syncs calls and messages even without internet connectivity, Sales Ninja's page lists a mobile app for field teams and relationship managers, and Zoho has a mobile app with the same cadence and task engine behind it. During a trial, log a client meeting from the phone in under a minute; if that is not possible, agents will go back to notebooks.
The first week of any rollout should be an import, not a configuration project. Export your client list from Excel, split prospects from existing clients, add one row per policy or folio in a Policies module, and load the next 90 days of renewal dates first. Cadences can wait until those dates are reliable; a reminder sent on a wrong due date does more harm than no reminder.
Cadences and sequences: what to compare
"Sales cadence and sequence software" is a set of rules for what happens after a contact is enrolled. Compare these details:
| Detail | Zoho CRM Cadences | HubSpot sequences |
|---|---|---|
| Step types | Email, task, call, WhatsApp | Automated email, manual email task, call task, general task, LinkedIn tasks with Sales Navigator |
| Stops when | Email "Replied" criterion (new email configuration only), call/task criteria, a date, or a record criterion such as a lead status change | Contact replies or books a meeting through a link, by default |
| Timing | Minutes, hours, days, months, or business days/hours using your Business Hours | Delay up to 90 business days |
| Limits | Per plan, for example Standard 20 cadences and 18 follow-ups; up to 10,000 records enrolled per action | Each sequence limited to 10 email templates |
| Step available when WhatsApp Business is enabled under Business Messaging | Not a sequence step in the help article |
Zoho notes that calls are not available as a follow-up type for Deals and that WhatsApp steps need WhatsApp Business enabled. Both tools let you stop a sequence when a client replies, which is the rule that keeps automated follow-ups from annoying a client who has already answered. Our guide to automated daily follow-ups and CRM workflow automation go beyond sequences.
Three cadences to build first
These timings are examples to adapt, not rules from any regulator or vendor.
1. Renewal reminder (the revenue protector). Trigger from the premium due date. Forty-five days before: an email with the policy summary. Thirty days before: a WhatsApp reminder using an approved template. Fifteen days before: a call task for the agent. Seven days before: a second call task and a payment-link message. On the due date: a task to confirm payment. If the client replies "paid", stop the sequence.
2. New enquiry (the conversion builder). Day 0: call task and a WhatsApp acknowledgement. Day 1: email with a comparison or quote. Day 3: call task. Day 7: an email answering the three questions asked most often. Day 14: a last check-in task, then stop. Stop earlier if the lead books a meeting or replies.
3. Annual review (the referral engine). Triggered each year from the client's joining date, with a calendar-booking message and a task to prepare a one-page summary. Add birthday and anniversary greetings only for clients who have agreed to them.
Build each in a copy first, enrol five test records, and watch what is sent for a week. For the WhatsApp mechanics see integrating WhatsApp API with a CRM.
Consent and compliance: three rules to build into the CRM
- WhatsApp opt-in. The WhatsApp Business Messaging Policy says you may contact people only if they have given you their number and "you have received opt-in permission from the recipient confirming that they wish to receive subsequent messages", and requires you to respect opt-outs. Store the opt-in date and channel as CRM fields.
- Telecom rules for calls and SMS. TRAI's regulations define a promotional voice call as a commercial call for which the sender has not taken explicit consent, and require the 140-level series for promotional, transactional and service voice calls (or any series TRAI/DoT directs). Our guide to auto dialers and cloud telephony covers the details, and the SMS and DLT guide covers reminders by SMS.
- Client data protection. The Government of India's PIB note says the DPDP Rules, 2025 were notified on 14 November 2025 with an eighteen-month phased compliance period, require clear notice of the specific purpose of collection, and set penalties of up to ₹250 crore for failing to maintain reasonable security safeguards. A CRM holds PAN, Aadhaar-linked, health and income details, so restrict access by role and keep an export you control. See DPDP compliance software.
Your insurance or securities regulator also sets conduct and record-keeping rules for agents and advisers that we have not covered here; check them with your compliance lead before automating client messages.
What three practices would pay
Using only published prices, before GST:
- A solo agent in Indore with a few hundred policyholders: Zoho CRM Standard on annual billing costs ₹800 a month, ₹9,600 a year. Bigin Express would be ₹400 a month, ₹4,800 a year, with email and WhatsApp integration.
- A four-person mutual fund distribution firm in Pune: Sales Ninja MFD CRM at 4 × ₹9,500 is ₹38,000 a year plus the listed ₹20,000 upfront cost, ₹58,000 in year one. Zoho Standard for four users on annual billing is ₹38,400 a year, without the mutual-fund-specific features.
- A twelve-agent insurance agency: Zoho CRM Professional is 12 × ₹1,400 = ₹16,800 a month, ₹2,01,600 a year, with 155 custom fields per module and 40 cadences per module. HubSpot Sales Hub Professional for the same 12 seats would be $12,960–$14,400 a year plus $1,500 onboarding on the page's dollar figures.
Mistakes to avoid
Do not import a spreadsheet of "leads" and "clients" as one list; split prospects from clients on day one. Do not automate messages to people who never opted in. Do not let each agent keep a private WhatsApp history that never reaches the CRM. And do not buy for a feature you will not set up in the first month; our guide to moving from Excel to a CRM shows the migration order.
