Quick answer: To track a field sales team, give every rep a mobile app that records a start-of-day check-in, GPS-stamped customer visits and call logs against CRM records, then review the exceptions weekly. LeadSquared offers geo-fenced check-ins and location history reports, Zoho CRM offers manual check-ins from its mobile app, FieldAssist and Bizom target FMCG beat selling, and Vymo targets financial institutions.

How we researched this: We read vendor product and help pages for LeadSquared, Zoho CRM and RouteIQ, FieldAssist, Bizom, Vymo, TrackOlap and Kylas, and the Government of India's PIB note on the DPDP Rules, 2025. Facts are as of October 2026. Several of these vendors publish no prices; we say so rather than guess.

What tracking should actually capture

"Field force tracking software" gets sold as a live map. For most Indian SMBs, a live dot is the least useful signal. The five records that change sales outcomes are:

  1. Start and end of day. A check-in that shows who is working, where the day began and when it ended.
  2. Visits. Each customer or dealer visit tied to a lead, account or outlet, with a location stamp showing the rep was actually there.
  3. Outcome of every visit. Order, quote request, follow-up date or no-go reason, entered in the same app within minutes.
  4. Calls. Calls made from the rep's phone logged against the same record, so a manager can see whether a rep called before visiting.
  5. Route and distance. Useful for beat planning and for settling travel claims, as long as you accept the privacy trade-off covered below.

If a tool tracks position every few minutes but cannot link a visit to a deal, you have bought surveillance, not sales management. Our guide to field staff attendance and tracking apps covers the HR side, and field sales and SFA software in India covers selection.

Three notes explain the differences.

General B2B teams (LeadSquared, Zoho). LeadSquared's help documents a precise model: location is tracked only while the user is checked in; on Android it is tracked "every few minutes", while on iOS the user needs to show signs of movement; admins see location on the Activity History page and in the Field Sales Activity Tracker, Last Known Location of Users and User Location History Tracker reports. Its field-force page says geo-fencing stops an agent checking in or adding meeting notes without being physically present, aimed at fraudulent check-ins. Zoho's help is simpler and manual: the rep taps the Check-in icon in the mobile app (not the web version), links it to a meeting, and the location is recorded in the CRM and posted to Feeds; managers review it in meeting details and Meeting Reports. There is no automatic trail of the day.

FMCG and consumer goods (FieldAssist, Bizom). These are route-to-market tools built around beats, outlets, orders and distributors. FieldAssist says its app works offline and syncs when connected, lists geo-tagged check-ins and guided beat plans, and describes itself as trusted by 700+ brands (its own claim). Bizom's page lists GPS-verified attendance with selfie verification and says its FAQ captures GPS through native location services with optional background tracking; it claims 750+ brands, again its own figure. Both route pricing through a sales conversation. Our CRM for B2B distributors and dealers guide covers when you need these over a CRM.

Financial services (Vymo). Vymo's pages position it for financial institutions and insurance distribution, with a mobile-first app that nudges users to capture activity right after sales activities and, per a Vymo blog post summarising a Gartner market guide, guides physical field meetings by a seller's geographic proximity to prospects. For insurance and loan teams see insurance, loan and banking CRM in India.

Setting up location tracking on LeadSquared: a worked example

LeadSquared's help article describes the admin steps, and they illustrate the kind of choices every vendor asks you to make:

  1. As administrator, go to Settings > Mobile App > Permissions, click Edit, tick Track real-time location and save.
  2. For custom activities such as "Dealer visit", tick Track Location on the activity type so each logged visit carries a position.
  3. Make sure users have location services enabled on their phones, on Android v5 or iOS v11 or higher.
  4. Ask users to check in at the start of the day: they are tracked only while checked in and stop being tracked when they check out.
  5. Review the reports under Reports > Field Sales Tracking.

Device permissions matter too. LeadSquared's permission page lists location, storage, calendar and an optional camera permission, and warns that some Android devices limit background updates, so battery optimisation must not restrict the app's background activity. On cheap handsets, aggressive battery saving is the commonest reason a manager sees gaps in a rep's trail, so test on the handset your team actually carries.

Rules that keep tracking fair and defensible

Rep location trails are personal data about your employees. The Government of India's PIB note says the DPDP Rules, 2025 were notified on 14 November 2025 with an eighteen-month phased compliance period, requires data fiduciaries to give clear notice of the specific purpose for which data is collected, and says the highest penalties, up to ₹250 crore, apply to failing to maintain reasonable security safeguards. Whether employee tracking has a lawful basis in your case is a question for your lawyer, but these working rules are sensible regardless:

  • Write a one-page tracking policy that says what is recorded (check-ins, visit locations), when (working hours only), who sees it and how long it is kept. Have reps acknowledge it.
  • Prefer check-in based tracking to all-day tracking. It covers the purpose you need, which is proof of visits, with less data.
  • Keep personal calls out. TeleCRM's page says calls are recorded for all employees excluding personal SIM calls, a useful design rule.
  • Plan for a breach. The PIB note says that when a personal data breach happens the data fiduciary must tell affected individuals without delay, in plain language, covering what happened, the likely impact and the steps taken, with contact details for help. Know who in your firm would send that message about a rep's location history.
  • Restrict who can open location history, and review access when managers change. Our DPDP compliance software guide covers the tooling.

A weekly rhythm for a field team

Consider a Pune distributor with eight reps covering retailers across three districts.

  • Every morning: reps check in; the manager scans for no-shows by 10 a.m.
  • During the day: each visit ends with an outcome logged in the app. Calls from the phone are logged, as in our guide to call tracking in a CRM.
  • Friday: the manager reviews visits per rep, orders per visit, overdue follow-ups and any visits logged outside the customer's location.
  • Monthly: use route and distance data to re-draw beats and territories; see sales territories and targets in a CRM and sales team efficiency tracking.

Keep the review short and about outcomes: a manager who opens every rep's map each hour has no time left to coach. Measure orders per visit, not just visits per day. Reps who learn they are judged on visits alone will log short, low-value visits.

A 14-day pilot before you roll out

Pick three reps, one who is enthusiastic, one sceptical and one who covers the hardest territory, and run the tool for two weeks with the policy above signed. Judge it on four things:

  • Gaps in the trail. Count the days with missing check-ins or location gaps. On Android, battery optimisation is the first suspect; on iPhone, remember that LeadSquared's help says the user must show signs of movement to be tracked.
  • Offline behaviour. Visit a customer in a basement godown or a rural market. FieldAssist and Bizom both say their apps capture data offline and sync later; test whichever tool you choose in the worst network spot on your route.
  • Geo-fence fit. If the tool stops a rep logging a visit unless they are at the customer's location, check how accurate your customer addresses are. A wholesaler whose shop is mapped to the wrong lane will make an honest rep look like a cheat.
  • Minutes per day. If logging a visit takes more than a minute, reps will batch entries at night and the location stamp loses its value.

Decide on the pilot data, not the demo. If the pilot reps are still logging visits in week two without reminders, the tool fits your team.

Who should not buy a field tracking app

A team of two reps who visit five customers a week does not need a tracker; a shared sheet and a WhatsApp group is enough. A team that sells mostly by phone should look at a dialer-led tool; see dialer and tele-calling CRMs. And if your managers plan to use the map to catch people out, expect the team to find ways around it. Adoption advice is in getting your sales team to use the CRM.

FAQs

How do I track a field sales team's location with an app?

Choose a CRM or sales force automation app whose mobile version supports check-ins, tell reps what is recorded, and have them check in at the start of the day and at each customer. LeadSquared tracks location while a user is checked in; Zoho's check-in is manual.

What is field force tracking software in India?

It is software that records field employees' attendance, visits, routes and orders from a mobile app. FieldAssist and Bizom target FMCG route-to-market teams, while LeadSquared and Zoho CRM cover general sales teams.

What is a mobile sales force automation app?

It is a phone app that lets reps log visits, capture orders, set follow-ups and see their targets, usually working offline and syncing later. FieldAssist says its app works offline and syncs when connected.

What is Vymo?

Vymo describes itself as an AI-powered sales platform for financial institutions and insurance distribution, with a mobile-first app that nudges sellers to capture activity. Its pricing is not published on the pages we read.

Can I track employees' location legally in India?

That depends on your purpose, notice and safeguards, and you should take legal advice. The DPDP Rules, 2025 require clear notice of purpose and reasonable security safeguards, so limit tracking to working hours and visit proof.

Does GPS tracking drain the phone battery?

It can, and some Android phones restrict background location. LeadSquared's help warns that battery optimisation must not restrict the app's background activity, so test on your team's actual handsets.
