Software covered in this blog

Quick answer: Zoho People helps Indian companies grow by putting hiring, onboarding, attendance, appraisals and payroll on one platform with per-user pricing and a 30-day free trial on all plans (per Zoho's website). It fits small to mid-sized businesses that want to start light and add modules later. If you want a cheaper payroll-first tool, look at Kredily; if you need Indian-built workforce depth, look at HROne.

Where Zoho People sits in a growing company

Most Indian businesses meet HR software in the same order. First a spreadsheet for leave, then a payroll tool because the CA is tired of recalculating PF and ESI, then, usually after the team passes fifty or sixty people, a real HRMS. Zoho People is built for that third step, and Zoho's own pitch is that it covers the whole chain.

According to Zoho's website, People is organised into six areas: hiring and onboarding, core HR, performance and learning, payroll and expenses, HR analytics, and employee engagement. Zoho also states that "50K+ businesses" and "1M+ users" in "165+ countries" use it. Those are Zoho's numbers, not ours, and they are global, not India-only.

The workflows it takes off your plate

Hiring to joining. Zoho lists automated hiring workflows and custom onboarding with e-signed offer letters. In practice this removes the PDF-offer-letter-over-email routine and the "did he sign it?" follow-up.

Time and attendance. Zoho lists time and attendance tracking within the product. There is also a separate listing for Zoho People Attendance, which is worth reading if attendance is your main pain.

Document management and the HR helpdesk. Employees raise requests and find policies themselves, instead of messaging HR on WhatsApp. A helpdesk log also shows you which questions repeat, which tells you which policy to rewrite.

Appraisals. Zoho lists performance evaluations and customised appraisals, and App Advisor lists Zoho People Performance separately. Annual cycles stop being a three-week email chase.

Payroll with statutory compliance. Zoho lists payroll processing with statutory compliance as part of the family. Our guide to Zoho Payroll pricing and plans covers the payroll side in detail.

Expenses and travel. For sales and field teams, travel and expense management closes the monthly claims gap.

Who gets the most out of it

Zoho People repays the effort when:

  • You already use other Zoho products such as CRM or Books and want one vendor and one login.
  • You are growing from about 20 to a few hundred people and expect HR needs to widen each year.
  • You want engagement tools such as eNPS and surveys without buying another product.
  • Your HR team is small and needs reports without building them manually; Zoho lists standard, advanced and custom reporting plus dashboards.

Who should look elsewhere

Fairness matters, so here is the other side.

  • Payroll-first micro businesses. If you have fifteen staff and only need a salary slip and PF challan, Kredily lists a free plan and may be simpler.
  • Large enterprises with complex org structures. You may prefer a vendor that sells to enterprises directly, such as PeopleStrong or Darwinbox.
  • Teams that need a published INR price before talking to anyone. Zoho's pricing page shows plan prices in your local currency rather than as fixed text, so take the rupee figure and GST for your headcount from that page or from Zoho's team; paid editions have a minimum of 5 users.
  • Heavily blue-collar workforces. Face-based or kiosk attendance specialists may fit better.

A realistic 30-day rollout

Days 1 to 7. Start the free trial and set up your company structure: departments, locations, grades. Add ten real employees, not dummy data.

Days 8 to 14. Configure leave types and holiday lists. Indian companies often forget regional holidays and optional holidays; build them now.

Days 15 to 21. Run attendance for a week and compare it with your current register. Add onboarding workflow for your next joiner and test the e-signed offer flow with a friendly candidate.

Days 22 to 30. If payroll is in scope, run a parallel payroll for last month and check every line against what you actually paid. Only then invite all employees.

Don't switch on every module at once. Adoption is the real constraint, and two modules used well beat eight used badly.

Questions to ask Zoho before buying

  • Which of the modules I want are in my plan and which are billed separately?
  • Is there a user minimum?
  • Where is my data stored and how do I export it?
  • Which Indian statutory returns does payroll produce, and which still need my CA?
  • What support channels and hours are included?

A worked scenario: a 90-person distribution company

Imagine a regional distributor with a head office, two warehouses and a field sales team. HR is one manager and an accountant. Before a system, leave sits in a notebook, attendance in three registers and payroll in Excel.

Month one. The company switches on core HR, leave and attendance. The warehouses use the mobile app; the head office uses web check-in. The first win is boring but real: nobody asks HR for leave balances any more.

Month two. Payroll goes in parallel. The accountant finds three employees whose salary components were wrong in the spreadsheet for years. That is not a software feature; it is what happens when data is forced into structured fields.

Month four. Hiring workflows start. Offer letters are issued with an e-sign step, and the HR manager sees which candidates are stuck where.

Month nine. The company adds an appraisal cycle. By now managers are used to approving things in the system, so adoption is easier.

This sequence works because each step builds on the previous one. Adding appraisals, engagement surveys and expenses in the first month would have overwhelmed a one-person HR team.

Common mistakes with Zoho People

  1. Switching everything on at once. Start with core HR, leave and attendance.
  2. Copying the paper policy exactly. Policies written for paper often have exceptions nobody can explain. Simplify them before configuring.
  3. Skipping manager training. Managers approve everything. Give them a 20-minute walkthrough.
  4. Ignoring the data export. Before you commit, run a trial export and confirm you can take your records with you.
  5. Treating the trial as a demo. Use real employee records, real shifts and a real payroll month during the 30 days.

A scorecard for the 30-day trial

Zoho advertises a 30-day free trial on all plans, so treat it as a structured test. Score each line from 1 to 5 at the end of the month, and let HR, a manager and an employee each fill it in.

QuestionWho scores it
Could a new joiner finish onboarding without HR chasing?HR
Did leave and attendance match our register for a full cycle?HR and managers
Could managers approve from a phone without help?Managers
Was the payroll parallel run within a rupee of ours?Finance
Did employees find payslips and policies without asking?Employees

Anything scoring under 3 is either a setup issue or a real limit. Separate the two by asking Zoho support during the trial, because their response to a trial question is a fair preview of their response later.

FAQs

Is Zoho People free for small businesses?

Zoho's website advertises a 30-day free trial on all plans, and it says pricing is per user. Its pricing page (checked October 2026) also lists a Free edition, free for up to 5 users (3 for US visitors), with the employee database, leave management and document management. Paid editions are Essential HR, Professional (adds attendance and timesheets), Premium (adds performance, compensation and engagement) and Enterprise (adds an HR help desk, learning management and a sandbox); Zoho asks for a quote above 500 users.

Does Zoho People handle payroll with PF and ESI?

Zoho says People includes payroll processing with statutory compliance. Confirm the specific Indian rules you need, such as professional tax in your state, during the trial.

How many people use Zoho People?

Zoho states "50K+ businesses" and "1M+ users" on its website. These are vendor-reported global figures.

Can Zoho People replace my attendance machine?

It lists time and attendance tracking, and App Advisor also lists Zoho People Attendance. Whether it replaces your biometric device depends on how you want staff to punch in, so test your exact device setup.

Zoho People or Keka: which one?

That depends on size and budget. Read our Keka guide and the list of HRMS software, then use the compare tool.
