Quick answer: For a Pune or Mumbai developer or brokerage that wants WhatsApp replies tied to portal leads, shortlist LeadSquared, Sell.Do, Makanify and Leadrat, plus Business i if you want published per-user prices. Ask each to show Meta-approved templates, a 24-hour auto-reply and a MahaRERA-compliant message with registration number and QR code. Book the demo with your own lead export, not their sample data.
How we researched this: We read each CRM vendor's own product and pricing pages, Meta's WhatsApp Business Platform pricing documentation, MahaRERA orders that quote the RERA Act, and the Digital Personal Data Protection Act, 2023. Everything is as checked in October 2026, and prices or message rates can change with notice.
What a WhatsApp auto-reply can legally and technically do
Most buyers ask for "auto-reply" and mean three different automations. Meta's rules decide which are free-form and which need pre-approved templates.
- Instant reply inside the 24-hour window. When a buyer messages you or calls you on WhatsApp, Meta's documentation says a 24-hour customer service window opens, and it resets with each new user message. Inside it you may send ordinary non-template messages, such as "Thanks for your enquiry, here is the floor plan and a map." Outside the window you may send only approved templates.
- Template follow-ups. A site-visit reminder two days later, a price update or a new-launch alert must go as a template message in the marketing or utility category. Makanify, for example, says Meta-approved templates "fire on stage changes" as a lead moves through the pipeline.
- Click-to-WhatsApp ad leads. Meta says that if a buyer messages you through a Click to WhatsApp ad on the Android or iOS app and you reply inside the service window, that reply opens a free entry point window that may stay open for up to 7 days, during which marketing, utility, authentication and service messages are free. If you run Meta ads for a launch, that window is the cheapest follow-up period you will get.
Cost rules changed recently. Meta charges per delivered message by category and market. Its pricing page says service messages, which had been free since 1 November 2024, became chargeable again on 1 October 2026, with a free tier of 1,000 service messages per business phone number each month, and that India marketing rates went higher on 1 January 2026. Rates in rupees are in the downloadable rate card, so ask your vendor for the current INR rates in writing.
One more date matters for the 2027 buying season. Meta says billing localisation for India started on 1 January 2026, that eligible solution providers and directly integrated businesses must move all messaging accounts to INR by 31 December 2026, and that from 1 January 2027 it will stop delivering messages from non-INR accounts of eligible customers. If your CRM vendor resells WhatsApp access, ask whether your account is already billed in rupees. A separate rule sits behind every auto-reply: the Digital Personal Data Protection Act, 2023. Its Section 7 allows a business to process data a person voluntarily provided for the specified purpose, and the Act's own illustration uses a real estate broker: a person asks the broker to help find rented accommodation, later says she no longer needs help, and the broker "shall cease to process" her personal data. Section 6(4) adds that a person can withdraw consent at any time, with the ease of doing so comparable to the ease of giving it, and Section 8(7) requires erasure when consent is withdrawn or the purpose is no longer served, unless law requires retention. In CRM terms, a "STOP" reply should halt every template, drip and reminder, and the lead record should be flagged, not silently kept in a nurture list. PIB says the DPDP Rules, 2025 allow an eighteen-month phased compliance period from their November 2025 notification, so build the opt-out flow now rather than waiting.

MahaRERA rules for Pune and Mumbai messages
If you sell projects registered with the Maharashtra Real Estate Regulatory Authority, your CRM templates and brochures are marketing material under the RERA Act. Section 11(2), as quoted in MahaRERA's orders, says an advertisement or prospectus issued by the promoter must mention prominently the website address of the Authority and include the registration number. MahaRERA Order 46/2023 (29 May 2023) adds that the promoter must prominently display a QR code on each project promotion or advertisement published after 1 August 2023, legible and detectable by software, beside the registration number and website address, and that this applies to the listed mediums "and in any other medium as may be directed by the Authority". Order 46B/2023 extends the QR display duty to real estate agents, and Rule 14(2) of the Maharashtra rules requires agents to quote their registration number in all documents relating to advertisement, marketing and selling, with the project registration number.
MahaRERA enforces this. In Suo Motu Advertisement Case 7 of 2024 (23 January 2024) it imposed a penalty of ₹25,000 on a promoter for an Instagram advertisement for a Nashik project without the registration number and QR code, and in Case 119 of 2024 (30 May 2024) the same amount on a real estate agent whose Instagram advertisement for a Parel, Mumbai project lacked the agent registration number and QR code. The orders do not say whether a private WhatsApp message counts as an advertisement, so do not assume it does not. Ask your lawyer, and design templates and brochure attachments that carry the project RERA number, your agent number and the QR code anyway. In the CRM, that means a template library with a mandatory-fields check per project, which is a good demo test. See our guide to real estate portals and agent plans for how portal listings fit with these rules.
Real estate CRMs compared on WhatsApp, portals and price
| CRM | What its own pages say | Price information |
|---|---|---|
| LeadSquared | Real estate page: "Reach your prospective buyers on WhatsApp", autoresponders, delivery and read receipts, saved templates; property marketplaces as an enquiry source; site visit scheduling and partner management | Sales CRM page: Sales Pro ₹2,500 and Sales Super ₹5,000 per user per month, billed annually; page does not mention WhatsApp in the plans. Book a demo from the real estate page |
| Sell.Do | Communication hub lists calling, WhatsApp, email, SMS, RCS and drip; site-visit management; channel partners and brokerage; post-sales module | Per active user per month, minimum 5 users, quote within about one business day; WhatsApp, telephony, SMS and email are usage-based communication costs; no rate card published |
| Makanify | Meta-approved templates on stage changes; lists portals such as 99acres, MagicBricks, Housing.com, NoBroker, Square Yards and PropTiger; builders can onboard 200+ channel partners | No prices on its home page; free demo |
| Leadrat | One plan with every feature, billed annually per user; "no feature gating" | Price fields blank on the page we read; per-user rate drops at 20, 30, 50 and 100 users; WhatsApp not mentioned on the pricing page |
| Business i | Site visits with GPS and cab tracking, plot inventory, booking workflows, automated CRM alerts on WhatsApp | ₹799 per user per month for up to 10 users and ₹699 for up to 20 (₹9,588 and ₹8,388 per user annually), 14-day free trial |
| LeadNXT | Real estate CRM with IVR and WhatsApp follow-ups; converts missed calls into WhatsApp conversations; Mumbai-specific pages | No price on its page; free demo with a written quote |
Using those published prices, a 10-user Pune sales team would pay about ₹95,880 a year on Business i's 10-user plan (10 × ₹9,588), against ₹3,00,000 on LeadSquared Sales Pro (10 × ₹2,500 × 12) or ₹6,00,000 on Sales Super, before any WhatsApp message charges, set-up or add-ons. Those numbers are not like-for-like, so treat them as a budget range and compare the demo, not the price card. Sell.Do and Leadrat will quote you after a call, and Sell.Do's 5-user minimum is worth noting for small brokerages.

Pune and Mumbai: how to scope the right size
None of the vendor pages we read gives city-specific pricing; Sell.Do's page lists Mumbai and Pune only as choices in a contact form. So the decision comes down to how your team sells, not the city.
A Pune developer with two projects, a few thousand portal leads a month and 40 channel partners needs lead routing by project, a partner portal with inventory access and brokerage tracking, and site-visit scheduling with reminders. Sell.Do, Makanify and Business i describe those modules. A Mumbai brokerage of fifteen agents handling resale and rental across 99acres and MagicBricks needs fast first response and clean lead-source tracking, which suits tools with strong portal capture and automation such as LeadSquared. A single-project builder in a smaller Maharashtra town may find a lower-cost CRM with plain WhatsApp alerts is enough.
For both cities, ask three scoping questions. How many leads per month will arrive from portals, Meta ads and walk-ins? How many users need full access, and how many only need view access? How many WhatsApp conversations per month do you expect, split between buyers who message first and buyers you must contact with a template? Those answers determine the user count and the message bill. Our guide on speed to lead explains why the first reply matters.
A three-week rollout for WhatsApp auto-reply
- Week 1: foundation. Register the WhatsApp Business number with your CRM vendor or BSP, confirm INR billing, and import last quarter's leads. Create a template library for: first enquiry acknowledgement, brochure and cost sheet, site-visit confirmation, visit reminder and post-visit follow-up. Put the RERA number and QR code in each.
- Week 2: routing. Connect portal and ad lead sources, set rules by project and budget, and test that a new 99acres or Meta lead gets an instant reply and an assigned agent within one minute. Our guide to lead scoring shows how to rank leads.
- Week 3: go live and measure. Switch on auto-reply for one project, track first-response time, site-visit bookings and opt-outs, then roll out to the rest. Keep humans in the loop for price negotiations and sensitive questions.
Ten questions to ask in the demo
Vendors answer these differently, and the answers separate a working WhatsApp flow from a screenshot.
- Is the WhatsApp number on your account or the vendor's, and who owns the template library if you leave?
- Is the WhatsApp account billed in rupees, given Meta's 31 December 2026 migration deadline for eligible customers?
- What is the per-message charge you pass on, and is it Meta's rate or a marked-up one?
- What happens when a lead replies after 24 hours: does the CRM switch to a template automatically or stop?
- Can one lead's WhatsApp thread, call recordings and site-visit notes be seen on one timeline?
- How are duplicate leads from 99acres, MagicBricks and Meta ads merged, and who gets the credit?
- Can the CRM block a template that lacks the RERA number and QR code?
- Can channel partners see only the inventory you assign, and how is brokerage tracked after booking?
- What is the minimum user count, and are view-only users free?
- How do you export your data and conversation history if you cancel?
Write the answers into a one-page scorecard per vendor and weight them by what would hurt your team most if it failed, such as duplicate leads, slow first replies or a template that goes out without the RERA details.
Who should not buy, and what else to consider
A solo broker with a few dozen leads a month can manage with WhatsApp Business app labels and a spreadsheet; a CRM subscription is not yet worth the cost. A developer with strict compliance needs should confirm with counsel before sending bulk template messages. Check real estate CRM and WhatsApp automation tools on App Advisor for more options.
FAQs
Which real estate CRM has WhatsApp auto-reply?
LeadSquared's real estate page lists WhatsApp autoresponders and saved templates, Makanify describes Meta-approved templates that fire on stage changes, and LeadNXT describes WhatsApp follow-ups and missed-call-to-WhatsApp conversion. Ask each to show the flow on your own lead.
How much does a real estate CRM cost in India?
LeadSquared lists Sales Pro at ₹2,500 and Sales Super at ₹5,000 per user per month billed annually, and Business i lists ₹799 or ₹699 per user per month. Sell.Do and Leadrat quote after a call.
Can I send WhatsApp messages to leads automatically?
You can reply freely within 24 hours of a buyer's message, but anything outside that window must be a Meta-approved template and is charged per message by category. Ask for the current INR rates.
Does MahaRERA apply to WhatsApp marketing?
MahaRERA's orders require the registration number and a QR code on project advertisements in listed mediums and any other medium the Authority directs. They do not name WhatsApp, so take legal advice and include the details anyway.
Where can I book a LeadSquared real estate CRM demo?
LeadSquared's real estate page has "Book a demo" buttons that lead to a real estate CRM demo page. Bring a sample export of your own leads.
