Quick answer: For one small school, ProSchool360 and Campus 365 publish prices, so you can budget before a demo. Multi-campus groups should ask Edumerge, MyClassboard and Entab CampusCare for quotes. Schools with an IT teacher can look at open source: OpenEduCat or Frappe Education. Test fee collection and parent-app consent first, because those two decide whether staff and parents actually use the system.
How we researched this: We read the vendors' own pricing and product pages for each school ERP named below, the text of the Digital Personal Data Protection Act, 2023 published through MeitY, and the Press Information Bureau's November 2025 backgrounder on the DPDP Rules. All figures are as checked in October 2026; none is a forecast for 2027.
What a school ERP has to cover before you compare prices
Most Indian school software lists the same twenty modules, so the module list is not what separates products. What separates them is whether the school's real workflow fits. Use this checklist in every demo and ask the vendor to show each item live, with your data, not a slide:
- Fee structures with exceptions. Class-wise fee heads, sibling concessions, staff-ward discounts, late fines and transport fees that depend on the bus stop. A product that only handles one flat fee per class will leave your accountant on Excel.
- Admission to enrolment. An enquiry form, document upload, a seat or batch allotment and a student ID without retyping the same data three times.
- Attendance. Manual class attendance, plus RFID or biometric capture if your school has gates. Ask which devices are supported before you buy readers.
- Exams and report cards. Marksheet templates for your board, grading rules, and a way to freeze results so nobody edits marks after the cards are printed.
- Transport. Routes, stops, fee linkage and, if you want it, live bus tracking. Read the privacy section below before turning that on.
- Parent communication. Notices, homework, leave requests and fee reminders on an app and on WhatsApp or SMS.
- Year-end rollover. Promoting a class to the next one, carrying forward dues and closing the year without destroying last year's records. Ask the vendor to run it on a test copy.
Our existing guide to school ERP and management software in India covers category basics, and our comparison of Campus 365 and its alternatives goes deeper on that one product. This guide adds the 2027 price and privacy checks.
Published prices, side by side
Most school ERP vendors do not publish prices, and the ones that do use very different units, so this table converts what each page says into a yearly figure you can compare. All prices are per the vendor's pricing page (checked October 2026).
| Product | What the pricing page says | Roughly per year | What to watch |
|---|---|---|---|
| Campus 365 Lite | ₹5,999 per month, billed yearly, for institutes with fewer than 300 students; a "getting started" note also quotes ₹2,500 per month for up to 100 students | ₹71,988 at the ₹5,999 rate | Enterprise plan has no listed price; the page says all plans include unlimited students |
| ProSchool360 monthly plans | ₹600 per month for up to 300 students, ₹800 for up to 600, ₹1,000 for up to 1,000 | ₹7,200 to ₹12,000 | ₹5,999 to ₹9,999 figures on its "yearly" cards are labelled "/ month" and the page is internally inconsistent, so get the yearly price in writing; GST is extra |
| OpenEduCat | USD list prices: Core platform US$489 a year, modules from US$79, user packs from US$29 | See the worked example below | Charged in dollars; the page says regional pricing for India applies in its configurator |
| Frappe Education | Open source ERP for academic institutions; the page shows an AGPL-3.0 licence | Software free to self-host | You pay for hosting, set-up and support |
| Edumerge, MyClassboard, Entab CampusCare, School Knot | No prices; demo or quote only | Not published | Ask for a per-student and a per-campus quote in writing |
Two readings of that table matter. First, ProSchool360's monthly plans cost a fraction of Campus 365 Lite per year, but they are not like-for-like: ProSchool360's plan cards list RFID gate attendance sync, WhatsApp alerts and circulars and a UPI fee collection gateway, while Campus 365 Lite's page lists 60+ features, unlimited live classes and online exams, a pre-integrated payment gateway for fees and free Android and iOS apps. Compare the features you will use, not the headline.
Second, OpenEduCat's dollar price book is modular. As a worked example from its list prices, a school that takes the Core platform (US$489), Fees (US$160), Parent (US$79), Attendance (US$160), Exam (US$79) and Transportation (US$160) modules and the 500-user pack (US$349) comes to US$1,476 for a year before taxes, onboarding hours and mobile apps, which are priced separately (US$889 for Android, US$1,179 for iOS per year). The page also says it charges no per-student fees and offers the third year free if you pay for two. Confirm what "users" means for your school before you rely on the 500-user pack. The vendor also offers a free, open-source community edition, and a 15-day trial with no credit card.
Fee collection: the part parents will judge you on
"Fee collection software school online" is really four separate questions.
1. Where does the money land? Ask whether parents pay into your school's own bank account through the vendor's gateway, or into the vendor's account first. Settlement timing, refund handling and who bears the gateway fee are contract points. Our explainers on UPI and gateway charges and on collecting payments faster with UPI links and reminders cover the questions to put to any gateway.
2. Does the structure match yours? Frappe Education's page says fee structures can be bulk-assigned to student groups, with monthly, quarterly, term-wise or yearly schedules, and that parents can pay through an out-of-the-box Razorpay integration while the accounting books update in ERPNext. Campus 365 says fee management includes payment gateway support, several payment options and automated reminders. ProSchool360 lists a UPI fee collection gateway on every plan card. All three describe the capability; only a demo shows whether it handles a ₹400 bus fee that applies to one child in a family of three.
3. Fee-only tools. If your school management software is fine but fee collection is the pain point, Fee Management by Jodo is a standalone option. Jodo describes its product as "a complete fee management solution for schools, colleges, and coaching centers" and says it serves 5,000+ institutes and 25 lakh+ students; those are the vendor's own figures, and its page lists no prices.
4. Reconciliation. Ask for the day-end report that matches gateway settlements to student ledgers. Without it, the accountant is the integration.
Parent communication apps and the DPDP Act
A parent app collects names, photos, attendance, health notes and, with bus tracking, location, all about children. The Digital Personal Data Protection Act, 2023 defines a child as anyone under eighteen. Section 9 says a data fiduciary must obtain verifiable consent of the parent before processing a child's personal data, must not process data in a way likely to harm a child's well-being, and must not undertake tracking or behavioural monitoring of children or targeted advertising directed at them. Section 9(4) lets the government prescribe exemptions for certain classes of fiduciaries and purposes.
The Rules followed. PIB's backgrounder says the DPDP Rules, 2025 were notified on 14 November 2025, with an eighteen-month phased compliance period, and that for children verifiable consent from a parent or guardian is required "unless the processing relates to essential services such as healthcare, education or real-time safety". It also says violations of obligations relating to children can attract penalties up to ₹200 crore. Read the schedule in the Rules themselves before assuming every feature of your product falls under the education exemption. Ask your school's lawyer.
What this means for a school buyer:
- Ask the vendor how consent is captured. An admission form clause that parents sign is one thing; an app that auto-enrols parents by phone number is another.
- Separate safety from marketing. Bus-location features sit closer to the "real-time safety" idea than a vendor sending promotional messages to parents.
- Check the data trail. Ask where the data is hosted, who can export it, and how a leaving student's records are deleted. Our guides on DPDP compliance software and Indian data residency for SaaS help with the questions.
- Check vendor roadmap claims. Campus 365's page says GPS bus tracking is "coming soon", which is a reason to ask for a delivery date in the contract rather than count it as a feature.
Matching the school to the product
| School | Likely fit | Why |
|---|---|---|
| 200-student primary school in Nashik, one accountant, no IT staff | ProSchool360 or Campus 365 Lite | Published prices, fee gateway built in, quick start |
| 800-student CBSE school in Indore with gates and buses | ProSchool360 growth tier, Campus 365 or a quote from MyClassboard | RFID attendance, transport and parent app all matter; ask each to run your fee rules |
| Three-campus group in Chennai | Edumerge, Entab CampusCare or MyClassboard | Quote-based, multi-campus; Edumerge says it supports 50+ campuses at once, which is its own claim |
| School with an IT teacher and a small budget | OpenEduCat community edition or Frappe Education | Open source, but you carry hosting, backups and support |
| Coaching centre with batches | See our coaching institute software guide | Different workflow to a school |
Entab says on its site that the Aditya Birla Group's 52 schools, a "45,000 student network across 12 states", use it, and Edumerge says it has "800+" institutions. These are vendor statements; ask for two reference schools of your size and board.
A 60-day rollout before the new session
- Days 1 to 10: pick three. Send your fee chart, class list and one complicated family to three vendors and ask for a recorded demo using that data.
- Days 11 to 25: pilot fees. Load one class and run mock fee collection, including a concession, a late fine and a refund.
- Days 26 to 40: import everything. Move student, staff and fee ledger data. Reconcile the opening balance for every class against the accountant's books before going live.
- Days 41 to 50: train staff in groups. Front office first, then teachers, then accounts.
- Days 51 to 60: switch on the parent app. Send a consent form with the admission packet, then a short how-to message, then turn on notifications.
If your school also needs payroll and attendance for teachers, read our HR software for schools and colleges guide. Admission-enquiry tracking sits in education CRM, and you can compare more products in school software.
When not to buy an ERP
Skip a full ERP if you only need fee receipts and parent notices for fewer than 100 students, where a fee tool plus a messaging channel is enough. Skip any vendor that will not give a written price for year two and for your next student count, or that cannot name a school of your size and board using the module you are buying. And do not buy a product on the strength of a feature the vendor marks "coming soon".
FAQs
Which is the best school ERP software in India?
There is no single best product. For small schools, ProSchool360 and Campus 365 publish prices; for multi-campus groups, Edumerge, MyClassboard and Entab CampusCare are quote-based options. Choose by running your own fee rules through a demo.
How much does school management software cost in India?
Published prices in October 2026 range from ₹600 per month for up to 300 students on ProSchool360's monthly plan to ₹5,999 per month on Campus 365 Lite. Many vendors publish no price.
Is there free school management software in India?
OpenEduCat offers a free, open-source community edition and Frappe Education is open source under AGPL-3.0, but you pay for hosting, set-up and support.
Can a school app track children without parental consent?
Under Section 9 of the DPDP Act, a data fiduciary must get verifiable parental consent before processing a child's data and must not track or behaviourally monitor children, subject to prescribed exemptions. The November 2025 Rules mention essential services such as education and real-time safety, so ask a lawyer how your features are treated.
What should a parent communication app include?
At minimum, notices, homework, attendance alerts, leave requests and fee reminders with a clear consent record. Test whether messages also reach parents who do not install the app.
