What Pipedrive is built around

Pipedrive's own features page describes a CRM you shape around "your ideal sales pipeline process", with automation meant to remove "sales reps' busywork and data entry". The idea is simple: instead of a contact database with deals bolted on, the deal board is the home screen. A rep opens the app, sees columns of stages, and drags a deal forward when something real has happened.

For a growing Indian business this matters because revenue rarely leaks from lack of leads. It leaks from deals nobody touched for nine days. A visual pipeline makes a stale deal obvious to the owner without a review meeting.

According to Pipedrive's features page, the product also offers:

  • email integration so conversations attach to the contact and deal
  • iOS and Android apps to reach customer information on the move
  • an AI sales assistant, an AI email writer and summariser, and AI reporting
  • customisable reports for forecasting and spotting winning patterns
  • sync with "over 500 tools", with Google, QuickBooks, Asana and Slack named

The features page does not describe a built-in lead scoring tool, so if scoring is a must-have, confirm it with Pipedrive before buying rather than assuming it.

Who it fits, and who it does not

A good fit:

  • A 3 to 25 person inside-sales team: an IT services firm, a B2B distributor, an education consultancy, a software reseller.
  • Businesses where a deal passes through clear stages (enquiry, demo, quote, negotiation, closed) over days or weeks.
  • Owners who want the team to follow one process without writing a manual.

Not a good fit:

  • High-volume lead businesses such as real estate or loans, where hundreds of enquiries arrive daily and the real problem is speed of first call. A tool with a mobile dialer and portal lead capture, such as Sell.Do for property or Cratio CRM for IndiaMART and JustDial style leads, is closer to that job.
  • Businesses that want CRM, tasks, HR and invoicing in one login. Bitrix24 or Odoo CRM lean that way.

The sales workflows it can automate

Think in terms of the weekly rhythm of a team rather than feature names.

Monday: pipeline review. Instead of asking each rep for a verbal update, the manager opens the pipeline and filters deals with no scheduled activity. Each of those is either dead (close it as lost with a reason) or neglected (assign a next step today).

Daily: activity-driven selling. In Pipedrive each deal is supposed to carry a next activity: call, email, meeting. The rep's day is the list of activities due. On new enquiry: qualify before the pipeline. Pipedrive's support documentation describes a Leads Inbox, a separate space for unqualified prospects so the pipeline is not cluttered. When a lead is ready, the rep uses "Convert to deal", chooses the pipeline and deal value, and the person, organisation, notes and files stay attached. Bulk conversion is also documented. For a team that gets a mix of serious and casual enquiries, this separation stops the board from filling with noise.

Weekly: reporting. Customisable reports let you see, for example, deals won by source or by rep. Decide two or three reports on day one; do not build twenty.

A 30-day rollout plan

Days 1 to 5: design the pipeline on paper. Write the real stages your last ten won deals passed through. Keep it to five to seven stages. Define what must be true to enter each stage ("quote sent" means a PDF went out, not "I plan to send one").

Days 6 to 10: import and clean. Export contacts from spreadsheets and phones. Remove duplicates before importing, not after. Decide who owns each contact.

Days 11 to 15: connect email and calendar. Make sure each rep's mailbox is linked so conversations land in the CRM without retyping.

Days 16 to 22: run one live pipeline. Train the team for an hour, then run the weekly review from the CRM only. If a deal is not in the CRM, it is not discussed.

Days 23 to 30: add automation and two reports. Only now add automations, once you know which manual steps are actually repetitive. Check CRM reports that drive growth for sensible starting reports.

Freshsales describes Freddy AI "intent scores" that help users focus on valuable leads, and its pricing page lists contact scoring from the Pro plan upward. Salesmate says it serves "8,500+ businesses globally" and lists a power dialer in its Business plan. Neither of these is automatically better; they answer slightly different questions. Pipedrive's pricing page blocked our automated check, so open it yourself to see current plans in your currency.

What to check before you buy

  1. Your currency and GST. Several global CRMs bill in US dollars. Ask what the invoice looks like in INR and whether GST is added.
  2. Per-user cost versus team growth. Per-seat pricing is fine for ten reps and heavy for fifty occasional users.

  4. Lead source connectors. If you buy leads from portals, confirm those sources connect or can be connected through the integrations Pipedrive lists.
  5. Exit. Confirm you can export all data.

When to pick something else

  • You want one tool across CRM and operations: look at Odoo CRM.
  • You are a real estate developer or broker: Sell.Do and real estate CRMs are built for inventory and site visits.
  • You have a tight budget and few users: free plans exist in other CRMs, such as Zoho CRM, which lists a free edition for three users on its pricing page.
  • You want a broader shortlist first: see the best CRM software in India.

How to measure whether it is working

Do not wait for a year-end revenue number. Track three things after the first month. First, the share of open deals with a scheduled next activity; it should approach 100 per cent. Second, the number of deals in each stage older than your normal cycle; this tells you where the process jams. Third, the lost-deal reasons the team records; after a month you will see whether you lose on price, timing or no response. These come from the CRM itself and need no extra tooling. The growth is not magic: it comes from fewer forgotten deals and faster decisions on weak ones.

It can be, if your sales process has clear stages and you sell to a manageable number of prospects. Check the current INR or USD price and GST treatment on Pipedrive's own pricing page before committing.

Does Pipedrive have lead scoring?
