Quick answer: For an Indian coaching institute or school with a counsellor team on the phone all day, LeadSquared is the closer fit: it has dedicated education pages, tele-calling connectors for Indian providers and WhatsApp Business API support, and lists data centres in India. HubSpot CRM suits a two-person admissions desk on its free plan, but its built-in calling does not work for India-to-India calls and WhatsApp needs Marketing or Service Hub Professional. Pricing is not like-for-like.
How we researched this: We read LeadSquared's pricing page, its education, multi-centre training-institute and telephony help pages, and HubSpot's pricing pages and help articles on calling, WhatsApp, lead assignment and data hosting. For student-data rules we read the Government of India's PIB note on the DPDP Rules, 2025. Everything is as checked in October 2026.
The comparison on the questions that decide an admissions season
| Question | LeadSquared | HubSpot |
|---|---|---|
| Published price in rupees | Marketing Pro ₹90,000 and Marketing Super ₹1,49,000 per account per year; sales CRM seats are not priced on the page | Dollars per seat; Sales Hub Professional $90–$100 plus $1,500 required onboarding |
| Free entry | None stated on the pricing page | Free CRM for up to 2 users and 1,000 contacts |
| Education-specific pages | Dedicated education and multi-centre training-institute pages | One education CRM page describing general features |
| Counsellor assignment | "Pre-set distribution logics" per its education page | Round robin, load-balanced or random via workflow; needs Sales Hub Professional or Enterprise |
| Calling from India | Telephony connectors; page names Exotel, Ozonetel, Ameyo and CTM | HubSpot's own calling does not support India-to-India calls; use a calling app |
| WhatsApp Business API | Listed, with pre-approved templates | Needs Marketing Hub or Service Hub Professional or Enterprise |
| Where data is hosted | India, US and Singapore data centres, per its pricing FAQ | Germany, US, Canada, Australia; India not listed |
The rest of this guide expands each row, because the cheapest-looking option on paper often turns out to be the dearest once calling and WhatsApp are added.
What each costs, as published
LeadSquared. The pricing page we opened shows two plans, both priced per account rather than per seat and billed annually: Marketing Pro at ₹90,000 and Marketing Super at ₹1,49,000, each with 2 users and unlimited contacts. Pro includes 100,000 emails a month, 2 GB of storage plus 20 MB per user, 1,000 chatbot sessions and 25 custom reports; Super raises these to 250,000 emails, 10 GB, 2,000 sessions and 50 reports and adds website event tracking. Sales CRM and Service CRM appear only as navigation links, so a counsellor-seat price for an admissions team has to come from LeadSquared. Its FAQ says custom plans are quoted within 24 hours, online payment is by major credit cards and offline payment goes through sales, and the page offers special pricing for select startups.
HubSpot. In dollars: Sales Hub Starter from $7 per seat per month (the page also shows $20), Professional $90–$100 with a required $1,500 one-time onboarding, and Enterprise $150 with $3,500 onboarding. Marketing Hub Professional starts at $800 a month with 3 seats included, plus $3,000 required onboarding.
A worked example, using only those published figures and before taxes: a three-centre coaching institute with 20 counsellors that wants round-robin routing (Sales Hub Professional) and WhatsApp through HubSpot's inbox (which requires Marketing Hub or Service Hub Professional) would see 20 × $90–$100 a month for Sales Hub, which is $21,600–$24,000 a year, plus $9,600 a year for Marketing Hub Professional, and $4,500 of one-time onboarding. That is $35,700–$38,100 in year one. Treat it as a planning range to confirm with HubSpot, particularly which seats counsellors need in the inbox.
The honest conclusion: you cannot rank these two on price from public pages. Ask each for a written quote that includes seats, telephony, WhatsApp setup and message charges, onboarding and GST.
Capturing leads and getting them to the right counsellor
What LeadSquared says it does. Its education page says inquiries arrive from websites, social media, ads, partners and walk-ins through "one-click integrations" and are assigned to a counsellor using pre-set distribution logics. Its multi-centre institute page says leads from "digital, social, education marketplaces" are distributed simultaneously to different centres and that centres can upload data in a standardised Excel format, which matters for walk-in registers that live in spreadsheets. Lead distribution in its telephony documentation can also account for agent availability, location, product interest, lead source and language.
What HubSpot says it does. Its education page says enrolment teams can collect leads from web forms, events and social media, track "every student interaction from first inquiry through enrollment", and report on leads by stage and speed to lead. Routing is a workflow action: HubSpot's help lists round robin, load-balanced and random distribution, skips users set to Away, and requires a Sales Hub Professional or Enterprise subscription for assigning leads (the lead version is labelled beta).
What changes week to week. In a real admissions season the daily task is not reporting, it is making sure a Meta-ad enquiry received at 9:40 p.m. is with a counsellor before the 10 a.m. call list is printed. Whichever tool you choose, build this sequence on day one: capture, assign, first call within an hour, callback task, demo-class booking, application, fee link, enrolment. Our guide to lead management CRMs for education and coaching maps these stages, and speed to lead explains why the first hour matters.
Calling and WhatsApp: where Indian institutes feel the gap
Counsellors sell by phone and WhatsApp, so this section matters more than any dashboard.
Calling. HubSpot's help page says that due to local regulations Twilio no longer supports local outbound calls in India as of 1 August 2024, that outbound calls from an Indian number to another Indian local or mobile number are not supported, and that HubSpot-provided phone numbers are not available in India. You would run an Indian provider's calling app instead. LeadSquared's telephony page says it supports "all the major contact centers, telephony, and IVR tools like Exotel, Ozonetel, Ameyo, CTM, and more" through its Universal Telephony Connector, with click-to-call, recording and call reports covering inbound, outbound, connected, unanswered and missed calls. See Exotel, Ozonetel and Ameyo for those providers, and our guide to dialers and tele-calling CRM in India.
WhatsApp. LeadSquared's education page says you can connect WhatsApp Business accounts, use pre-approved templates and track multiple conversations. HubSpot's help article says connecting a WhatsApp channel to its inbox needs a Marketing Hub or Service Hub Professional or Enterprise subscription and Meta Business Manager admin permission. It also says only new messages sync after you connect, sessions stay open 24 hours after the contact's last reply, and a limit of 1,000 template messages per month is shared across connected accounts. For a bulk fee-reminder campaign to several thousand parents, that limit is worth asking about. Student data, minors and the DPDP clock
Admissions teams hold names, phone numbers and often parents' details for under-18 applicants. The Government of India's PIB note says the DPDP Rules, 2025 were notified on 14 November 2025 with an eighteen-month period for phased compliance, which by our arithmetic runs to about mid-May 2027, inside your buying season. The same note says every data fiduciary must issue a clear, separate consent notice stating the specific purpose, must tell affected individuals about breaches in plain language, must answer access and correction requests within ninety days, and that violations of obligations relating to children can attract penalties of up to ₹200 crore. In practice, ask each vendor three things: where data is hosted (LeadSquared lists India, US and Singapore; HubSpot lists Germany, US, Canada and Australia), how consent from a parent is recorded on the lead, and how deletion requests are handled. Our note on DPDP Act compliance software goes deeper.
Who should skip each, and LeadSquared alternatives for education
Skip LeadSquared if you are a two-person admissions desk that wants to start free and learn, or if you need a published per-seat price before you talk to anyone; its pricing page does not give one for the sales CRM.
Skip HubSpot if most of your pipeline is built on phone calls to Indian numbers and WhatsApp conversations with parents. You can make it work with a third-party calling app and a Marketing or Service Hub subscription, but you will be paying for pieces that LeadSquared's education pages describe as part of one product.
A small desk of two or three people can start on Zoho CRM, whose free edition covers 3 users and whose Professional plan is ₹1,400 per user per month billed annually, with a Hindi interface; see the Zoho CRM pricing guide.
Kylas CRM lists a free Embark plan with unlimited users; its Elevate plan adds telephony, SMS and WhatsApp.
For fee collection, batch timetables and attendance rather than enquiries, you want ERP-style tools; our guides to coaching institute management software and LMS software for coaching cover those.

Two scenarios and a 30-day rollout
A CBSE school with two admission officers in Nagpur. Enquiries come from a website form, a Facebook ad and walk-ins,. HubSpot's free CRM (2 users, 1,000 contacts) is enough to prove the habit of logging every enquiry, and the officers can call from their own phones. The moment a third person joins or the contact list passes 1,000, move to a paid plan or a different tool.
A coaching institute with three centres and 20 counsellors. Leads arrive from ads, education marketplaces and centre walk-ins; each centre keeps its own Excel register; the owner wants one view of conversions by centre. This is the case LeadSquared's multi-centre page is written for, and the one where HubSpot's calling and WhatsApp gaps cost the most.
Rollout, weeks 1–2. Export last season's enquiries, clean duplicates, define five funnel stages and load them. Week 3. Switch on lead capture from your ad forms and website, assign by centre, and test calls and WhatsApp with two counsellors. Week 4. Run the whole team, review the speed-to-first-call report daily, and only then switch off the old spreadsheet.
Then ask both vendors in the demo: Can you show an Indian provider's click-to-call logging a call on the lead? What does the WhatsApp channel cost per month including message charges? How does a parent's consent get recorded? What does 20 counsellors cost including onboarding, GST and telephony? Can I export everything if I leave? Our CRM adoption guide covers keeping counsellors on the system after the demo glow fades.
FAQs
Is LeadSquared better than HubSpot for education in India?
For phone-led admissions teams it is usually the closer fit: it has education-specific pages, lists Indian telephony connectors and WhatsApp Business API support, and lists data centres in India. HubSpot is stronger for a small team that wants a free CRM and its marketing tools.
Does HubSpot work for coaching institutes in India?
It can for a small desk, since its free CRM supports 2 users and 1,000 contacts. A tele-calling team will need a third-party calling app because HubSpot's own calling does not support India-to-India calls, and WhatsApp needs a Marketing or Service Hub Professional plan.
What does LeadSquared cost for a coaching institute?
LeadSquared's pricing page lists Marketing Pro at ₹90,000 and Marketing Super at ₹1,49,000 per account per year. Per-seat pricing for the sales CRM is not published there, so you need a quote.
What is a good LeadSquared alternative for education?
Options in our CRM software category include Zoho CRM and Kylas CRM for small institutes. Check calling, WhatsApp and data hosting before choosing, as the comparison table above shows.
What CRM software should coaching institutes look at?
Look for lead capture from ads and walk-ins, assignment by centre, click-to-call with recording, WhatsApp templates, fee links and parent consent records. Our education CRM category lists the products.
