Work out your sales motion first. High-volume telecalling needs dialler integration, call recording and lead distribution. Long-cycle enterprise selling needs pipeline stages, quote management and forecasting. Very few products do both well.

Each lead gets an owner, a stage and a next follow-up date, so nobody has to dig through personal phones or notebooks to learn what was promised to a customer last Tuesday.
The better options fit how Indian teams actually sell: field reps on mobile data, pipelines that move through quotations and negotiation, and managers who want daily call and visit reports. Weak options look fine in a demo but make lead import painful, lock WhatsApp behind costly add-ons, or cannot produce a GST-compliant quotation, pushing staff straight back to spreadsheets within weeks.
Judge a CRM by how quickly a new enquiry becomes an assigned, followed-up lead. Test automatic capture from your website, lead portals and WhatsApp, then check round-robin or territory-based assignment. Look at the mobile app on a mid-range Android phone with weak signal, because field reps will live there. Finally, see whether pipeline reports answer your manager's real questions — conversion by source, stalled deals, rep-wise follow-up misses — without an export to Excel.

Most CRMs in India are priced per user per month, with tiers that unlock automation, custom modules or advanced reports. Annual billing usually costs less than monthly. Messaging is often metered separately: WhatsApp conversations and SMS are billed per message or per conversation, and telephony can be per minute or per virtual number. Some vendors sell a flat plan for a fixed number of users, which suits small teams with steady headcount.

Ask how duplicates are merged, what happens on the mobile app without signal, which features need a higher plan, and how WhatsApp messages are billed.
Startups need a CRM that stays out of the way while the sales process is still changing. Look for easy pipeline editing, email and calendar sync, and simple deal tracking that founders can use before a dedicated sales hire joins.
