Work out your sales motion first. High-volume telecalling needs dialler integration, call recording and lead distribution. Long-cycle enterprise selling needs pipeline stages, quote management and forecasting. Very few products do both well.
Check WhatsApp seriously. In India it is the primary sales channel for most SMBs, and 'WhatsApp integration' ranges from a click-to-chat link to a full Business API implementation with templates and automation.
Then check adoption. The best CRM is the one your team actually updates — if data entry takes more than a few seconds per interaction, it will quietly go unused within a quarter.

CRM software gives an Indian sales team one place to capture every enquiry, whether it arrives from a website form, an IndiaMART or JustDial lead, a WhatsApp chat or a missed call. Each lead gets an owner, a stage and a next follow-up date, so nobody has to dig through personal phones or notebooks to learn what was promised to a customer last Tuesday.
The better options fit how Indian teams actually sell: field reps on mobile data, pipelines that move through quotations and negotiation, and managers who want daily call and visit reports. Weak options look fine in a demo but make lead import painful, lock WhatsApp behind costly add-ons, or cannot produce a GST-compliant quotation, pushing staff straight back to spreadsheets within weeks.
Judge a CRM by how quickly a new enquiry becomes an assigned, followed-up lead. Test automatic capture from your website, lead portals and WhatsApp, then check round-robin or territory-based assignment. Look at the mobile app on a mid-range Android phone with weak signal, because field reps will live there. Finally, see whether pipeline reports answer your manager's real questions — conversion by source, stalled deals, rep-wise follow-up misses — without an export to Excel.

Prioritise click-to-call and WhatsApp logging from the phone, simple quotation creation, and a clean view of which leads nobody has touched. Most CRMs in India are priced per user per month, with tiers that unlock automation, custom modules or advanced reports. Annual billing usually costs less than monthly. Messaging is often metered separately: WhatsApp conversations and SMS are billed per message or per conversation, and telephony can be per minute or per virtual number. Some vendors sell a flat plan for a fixed number of users, which suits small teams with steady headcount.

In a CRM demo, ask the vendor to show your process rather than theirs. Give them a sample lead from IndiaMART or your website and watch it flow to a rep, get a follow-up, turn into a GST quotation and close. Ask how duplicates are merged, what happens on the mobile app without signal, which features need a higher plan, and how WhatsApp messages are billed.
Startups need a CRM that stays out of the way while the sales process is still changing. Look for easy pipeline editing, email and calendar sync, and simple deal tracking that founders can use before a dedicated sales hire joins. API access matters if you plan to link product sign-ups or trial data to the CRM. Avoid long contracts; your pipeline stages will likely look different in six months.
For an MSME, the CRM usually has to manage dealer and distributor enquiries alongside direct customers. A CRM is not a GST filing tool, but two things matter. First, the vendor should issue a proper tax invoice with its GSTIN, your GSTIN and the correct SAC for the subscription, so you can claim input tax credit on the 18% GST. Second, if you raise quotations or proforma invoices from the CRM, they should carry GSTIN, HSN or SAC codes and correct CGST/SGST or IGST splits based on place of supply.
Start looking for CRM alternatives when reps avoid logging activity, costs rise with every new add-on, or reporting needs an export every week. Before switching, export leads, contacts, deals, notes and activity history, and check whether attachments and call recordings come out too. CRM affiliate programmes usually pay a referral commission when someone you send signs up for a paid plan, tracked through a link or coupon. Before joining, check the cookie or attribution window, whether commissions apply to renewals or only the first payment, the payout currency and threshold, and whether TDS will be deducted. CRM partner programmes are generally meant for consultants and implementers who set up pipelines, migrate data and build integrations for clients. Check what certification or training is required, whether the vendor passes leads to partners, how implementation fees are split, and who owns the client relationship after go-live. A partner should also confirm access to sandbox accounts and technical support for the integrations they will build.
Reselling a CRM means buying licences from the vendor at a margin and billing the customer yourself, often with local support bundled in. Check whether you can set your own pricing, who issues the GST invoice to the end customer, how renewals are handled, and what happens to your margin if the customer later buys direct. Ask the vendor whether the sync is real-time or periodic, whether duplicate enquiries from the same buyer get merged, and whether the connector is included in your plan or charged as an add-on. The CRM feature may be included, but WhatsApp Business API conversations are usually charged per conversation, either by the CRM vendor or by the messaging provider behind it.
